Program Intern
Ecological Farming Association

EFA is looking for a Program Intern to assist EFA in organizing the annual EcoFarm Conference. The ideal candidate will be able to juggle multiple projects at once and to meet high standards of accuracy and timeliness. EcoFarm is the oldest and largest agricultural event in the West, and this position will have a hand in many aspects of the conference planning. The ideal candidate will have superb computer skills in a Mac environment, but also very proficient in Microsoft Office. Database experience and IT knowledge a plus.

The position will be involved in organizing and helping to realize various projects for this year’s conference, including but not limited to: creating and entering information into databases, assisting with logistics on-site, and other special project support for the conference.

This is not a paid position. Hours are flexible, but preference will be given to someone who can commit to 10-18 hours per week, and who is able to adjust their hours according to the need to meet EFA deadlines. Work would take place in EFA office with potential to work off-site as appropriate.

Required duties:

Work with EFA staff to plan, promote and administer the EcoFarm Conference programs, including:

  • Assisting in coordination of the EcoFarm Fellowship and Scholarship Programs
  • Supporting the Program Coordinator in organizing speakers, workshops and events
  • Working with the Communications Coordinator in editing documents for online and print media
  • Helping EFA staff in management of all necessary details of the conference production schedule
Qualifications:
  • Self-starter with demonstrated follow-through
  • Detail-oriented, especially with multiple streams of data
  • Excellent communication skills
  • Able to take direction from multiple staff members
  • Produce high quality work in a deadline-driven environment
  • Experience with Microsoft Office, especially Excel

The ideal candidate will also:

  • Attend the annual Hoes Down Harvest Festival on October 4-5 at Full Belly Farm in Guinda, CA.
  • Attend and assist staff at the 35th annual EcoFarm Conference, from January 21-24, 2015 at the Asilomar Conference Grounds in Pacific Grove, CA.
  • Have an interest in and commitment to EFA’s mission in ecological agriculture.

Communications Intern

The ideal candidate will have superb computer skills in a Mac environment.

The position will be involved in organizing and helping to realize various communications projects for this year’s conference.

This is not a paid position. Hours are flexible, but preference will be given to someone who can commit to 10-15 hours per week, and who is able to adjust their hours according to the need to meet EFA deadlines. Work would take place in EFA office with potential to work off-site as appropriate.

Required duties:

Work with EFA staff to plan and promote the 35th annual EcoFarm Conference, including:

  • Relationship building with our online community by maintaining and creating creative feedback and viral loops through Facebook and Twitter and other accounts.
  • Support creation of content for a new EFA website as well as monthly e-newsletters and conference announcements.
  • Maintain media and public relations by communicating with bloggers and reporters and maintain systems for tracking and reporting media placement and contacts.
  • Contribute design ideas for new organizational display to bring to EcoFarm Conference and other events.
  • Set up creative promotion and organization for selling merchandise at EcoFarm Conference.
  • Develop signage for EcoFarm Conference events and workshops.
  • Assist in development of EcoFarm Membership program.

Qualifications:

  • Excellent written, verbal and visual presentation skills; including the ability to manage and present information effectively in a variety of media formats.
  • Familiarity of online media platforms including Facebook, Twitter, YouTube, blogs, and other web applications.
  • Proficient in Microsoft Office and Excel. Experience preferred in Website platforms: Drupal, WordPress, HTML/CSS; Adobe Creative Suite/Photoshop/InDesign; Database software/CiviCRM
  • Initiative, creativity, high personal standards for the quality and timeliness of work-products, a proactive problem-solver, and collaborative team player.
  • Professional and effective under the pressure of production details and deadlines.

The ideal candidate will also:

Pollinator Program Office Assistant
The Xerxes Society

BACKGROUND: The Xerces Society is an international nonprofit organization that protects wildlife through the conservation of invertebrates and their habitat. Invertebrates are essential to the reproduction of most flowering plants, including many fruits, vegetables, and nuts; they are food for birds, fish, and other animals; they build the stunning coral reefs in our oceans. Yet invertebrate populations are often imperiled by human activities and rarely accounted for in mainstream conservation.
 
Established in 1971, and named after the extinct Xerces blue butterfly, the Xerces Society is at the forefront of invertebrate protection, harnessing the knowledge of scientists and enthusiasm of local citizens to implement conservation and education programs. We protect endangered species and their habitats, produce ground-breaking publications on insect conservation, train thousands of farmers and land managers to protect and manage habitat for beneficial insects, and raise awareness about the invertebrates of farms, forests, prairies, deserts, rivers, wetlands, and oceans. The Xerces Society is headquartered in Portland, Oregon, with regional offices in California, Nebraska, Minnesota, New Jersey, North Carolina, and Texas. We currently have 27 employees and multiple contractors, including 13 pollinator program staff, and an annual budget over $2,000,000.
 
SCOPE: As part of the pollinator program and under the direction of the Pollinator Program Administrator, the Pollinator Program Office Assistant will provide administrative and outreach support for all workshops and events, provide administrative assistance to pollinator program staff across the country, provide communication support for the program, and assist in all other aspects of the Pollinator Conservation Program. 
 
MAJOR JOB ACTIVITIES: Working closely with the Pollinator Program Administrator and other program staff, the Pollinator Program Office Assistant will support the program in the following ways:
  • Pollinator Program Staff conduct over 100 events a year, reaching thousands of people. The office assistant will help manage workshops and public events including:
    • communicating with diverse partners to help organize and set up events,
    • establishing and managing online event registration systems, web pages, and email announcements using Constant Contact
    • tracking registration payments,
    • assembling and shipping event materials,
    • managing contact information for event participants, and
    • assisting in follow-up surveys with event participants.
  • The Pollinator Program receives numerous requests for information, speakers, materials, and more every week. The office assistant will provide outreach support including:
    • serving as the first line of response to telephone and email inquiries from the public,
    • supporting outreach activities by mailing fact sheets, books, and publications, and
    • helping track outreach successes.
  • The Pollinator Program produces ground-breaking publications that relay the latest science-based information to the public for on-the-ground conservation. The office assistant will support communications, including:
    • using Adobe InDesign to create professional publications,
    • updating and maintaining pollinator program web pages using WordPress, and
    • tracking and managing publication inventory, including proofreading, editing, and ordering publications.
  • Program staff reside in regional offices across the country, the office assistant will provide general administrative assistance to regional staff including:
    • sending publications and other outreach materials,
    • scheduling meetings,
    • making travel and lodging reservations, and
    • other general office duties.
  • Assist in other program activities as needed such as:
o   representing Xerces Pollinator Program at events
o   editing reports or other written materials
o   assisting with file and data management

REQUIRED SKILLS/KNOWLEDGE
  • College Degree (ideally in environmental science or nonprofit administration) or equivalent experience;
  • Experience managing events;
  • Excellent computer skills, including strong familiarity with the following programs: MS Office Suite (Word, Excel, PowerPoint, and Outlook), Adobe Acrobat, Adobe InDesign, and Internet;
  • Excellent organization and high level of attention to detail;
  • Ability to juggle multiple tasks while meeting shifting deadlines;
  • Strongly prefer experience working with WordPress websites;
  • Strongly prefer experience working with Constant Contact email, event marketing, and surveys;
  • Excellent written, communications, and time management skills;
  • Experience creating professional looking documents and correspondence;
  • Ideal candidate will be technologically savvy;
  • Background in office administration (2+ years preferable) or similar experience;
  • Proven ability to work as a member of a team;
  • Ability to complete work with little supervision;
  • Aptitude for recognizing areas for improvement and capability to actively come up with innovative solutions;
  • Good sense of humor; and
  • Dedication to environmental conservation (specific knowledge of invertebrates is not required).

COMPENSATION: $29,000 - $35,000 annually (paid at an hourly rate), depending on experience
 
BENEFITS: This position includes a generous benefits package: eleven paid holidays, paid time off, medical and disability insurance, an annual public transportation pass, a health savings account pre-tax contribution benefit option, and a flexible work environment. After first year of employment, eight percent of the base pay will be contributed toward a SEP retirement account.
