Office Spotlight
Campus Event Services Office (CESO)
The Campus Event Services Office is responsible for reserving space on campus for Registered Student Organizations (RSOs), departments, and the campus community. CESO is able to help RSO’s get space in Memorial Union, Union South, the Red Gym, campus classrooms, and outdoor locations (Bascom Hill and Library Mall).  Due to the construction on the Memorial Union some of these spaces will be unavailable this year, making the job of CESO much more complicated. With these space restrictions there have been a few new guidelines added to ensure that organizations are allowed equal consideration:
For Union South, Red Gym and Memorial Union, student organizations can have:
  • One, 1-hour space reservation per week, unless they are booking one week or less in advance of their event date
  • Two, 4-hour space reservations per semester
  • Limited to one large event space per month (Varsity Hall 1 & 2, Varsity Hall 3, or On Wisconsin)
**Classroom reservations do not have limits for frequency or length of reservation, but are subject to availability.

Advisor Session #2: Diversity & Social Justice
Join us for another Advisor session: Wednesday, November 18, 2015 at 5:00pm in the Red Gym!  This session will focus on Diversity, Social Justice, & Inclusivity in Student Organizations.  This session aims to provide you with the knowledge and skills to respond to and initiate conversations about diversity and inclusion in the organization you advise.

Spring Student Organization Fair 
Mark your calendars because on Tuesday, February 2, 2016 the Spring Student Organization Fair will be held at the Kohl Center from 5:00pm-8:00pm!  Sign-up for student organizations will open Monday, November 16th at 12:00pm.  Emails will be sent to the student organization primary contact about how to sign-up in the coming weeks. 
 
RSO Spring Lottery
The Spring Lottery will be held on Monday, November 16 from 5:00pm-7:00pm in Varsity Hall III in Union South.
As an overview:  RSO large room reservations on Fridays and Saturdays are determined via a lottery. Each fall and spring, a lottery will be held to determine large room space allocations for the following semester.  All student organization primary contacts received an email with more details.

“It’s All About The Money!”
Knowing what resources are available in terms of funding can sometimes be the key to success within an organization!  It is not only important to know how to receive funding as a student organization, but also how to manage it.  Here are some resources that might be helpful.
Grants

On campus, there are a variety of resources that are available to student organizations to help fund the work they are doing.  Two opportunities for funding are provided by the Associated Students of Madison (ASM) and the Chancellor’s Fund.  ASM will help to fund day-to-day expenses with the Operations Grant and the Open Fund grant.  Additionally, ASM offers travel grants and event grants.  The Chancellor Fund grants are administered through three different offices on campus and only provide funds for events happening that are educational, free, and open to all UW-Madison students (the same is true of ASM Event Grants).  There are more details and some additional grants that are available to organizations that are listed in the Student Organization Resource & Policy Guide: http://www.guide.cfli.wisc.edu/org_finances_funding.htm.

When applying to grants, please always remind your students to know important deadlines and requirements of the grants.  More often than not, there are not exceptions for these deadlines and requirements!

 
Tips for Success 
As an advisor for a student organization, we believe it is important for you to assist in creating and supporting a safe and inclusive environment in the student organization.  Inclusivity in a student organization includes members feeling valued, respected, and supported.  Inclusivity is about focusing on the needs of individuals and ensuring that the environment enables each member of the organization to achieve their full potential.  Below are just a FEW tips to assist in creating an inclusive student organization.  During our Advisor Session on November 18th, we will talk more about how to not only be an inclusive advisor but also how to build inclusivity in a student organization.

Increase Self-Awareness
  • Build an understanding of yourself and your social identity.  Social identity relates to how we identify ourselves in relation to others (gender, race, religion, socioeconomic status, ethnicity, ability, etc.)
  • A better understanding of yourself will enable you to see your own biases and build an awareness of things that are happening around you.  This self-awareness can give you an ability to intervene and promote inclusion and understanding.  
Promote Advocacy
  • Advocacy can be conducted in various ways
    • Through advocating on behalf of the students you advise
    • Through helping them advocate for themselves
    • Working with them on how to advocate on behalf of the students they serve
Value Opinions
  • When misunderstanding or conflict arise, show students how to respectfully share their beliefs
  • Communicate in ways that promote understanding, not debate
  • Treat all people with respect and dignity while remembering that your definitions of respect and dignity might be different than others
Safe Space Creation
  • In creating a safe space in an organization, the Advisor is helping the group create an environment where anyone can relax and be fully self-expressed, without fear of being made to feel uncomfortable.
  • This can be done by:
    • Using inclusive & gender neutral language
    • Not making assumptions about others’ identities
    • Working with students to help them develop an awareness of specific words or phrases that may be offensive to others
