Reminding your patients of their upcoming appointments is about to get a whole lot easier!

New in version 2.2.9, Blueprint OMS can automatically send appointment reminders by email or text message (SMS).

What's more, patients can confirm their attendance (or request rescheduling) with a single click!

Blueprint OMS is even smart enough to send the reminder to an alternate contact, if they have been marked as the patient's primary contact.

Reminders

A few days before the appointment, Blueprint will send a reminder to the patient. Email is the preferred method, and will be used if an email address is available. SMS will be used instead if the patient has only a mobile phone number on file.

Patients can easily respond to confirm their attendance or request rescheduling, by tapping a button (email), or sending a Y/N response (SMS).

The Blueprint schedule now clearly indicates the status of all appointments, with special icons indicating appointments for which reminders have been sent, and reminder details in the appointment history (see screenshots below).

The schedule and appointment history are instantly updated when a patient responds to a reminder.

Invitations and notifications

Whenever an appointment is scheduled, the patient (or alternate contact) will receive an invitation via email, including an iCal attachment for easy addition to their calendar (Outlook, Google, Yahoo, iCal, etc).

If the appointment is rescheduled or cancelled, the patient will also receive a notification via email.

In cases where a reminder has been sent by SMS, the patient will also receive an SMS notification if the appointment is rescheduled or cancelled in Blueprint.

When responding to an appointment reminder, the patient will also receive a confirmation message via the same medium as the reminder. 

Configuration options

The following reminder types can be enabled or disabled as desired:
  • Email reminders (tentative appointments)
  • Email reminders (confirmed appointments)
  • SMS reminders (tentative appointments)
  • SMS reminders (confirmed appointments)
The interval between the reminder and the scheduled appointment (e.g. 4 days) is also configurable. Tentative appointments can use a different reminder interval from confirmed appointments.

There are also separate templates for the various invitation/reminder/notification messages, which allows for customization of the message body.

Pricing and getting started

Costs for using the appointment reminders feature are as follows:

Monthly fees
  • First location:  $19/month
  • Each additional full-time location:  $9/month
Usage
  • Email messages: Unlimited, no charge
  • First 100 SMS messages each month: Included, no charge
  • Additional SMS messages: $0.05 each
Note: Both outbound (reminders sent) and inbound (responses received) SMS messages are counted towards the total monthly usage.

There are also a couple of things which need to be set up in advance (such as the email address which should be used for reminders sent from your clinic). These items are detailed here.
