New Updates - 4/3:  Set Your Building

We completed our update in the system this morning and are currently experiencing an unexpected issue.  When a person is logged in as a system administrator for a district, she will often be accidentally logged out of the system when doing certain tasks, such as doing a search of employees in the district.

The specific reason for this is that the system admin in question does not have a building selected in her own personal profile.  The fix is a simple one; you will want to make sure you have a building selected in your own profile.

To do so:
1. Log in at our training system.
2. Go under your name in the upper right, down to "edit profile"
3. On the next screen, click on the employment tab.
4. Then, scroll down to "building" and check at least one of the buildings in the district.  You can select more than one or all of them if you prefer.  Some districts even add a "district office" or "district-wide" as a building, which you could do as well.
5. Be sure to save your changes.

This will take care of the issue (you might need to log out and log back in).  We are aiming to fix it on our back end as well.

New Update - 4/3: Dashboard



When you have logged in and clicked on either "admin" or "dev", you will now see a new look to the site.  Whereas before, your menubar only had a few of the options based on which level you were at, you now see them all at once.  This allows jumping from one location (say you are editing a person's profile) to another (say, clicking on the district reports), much easier.  You no longer have to click back on the Admin tab at the top.

Please note, the dashboard looks a little different depending on which browser you are in.  The screenshot above is from Chrome, which puts in extra spaces between different groups that Firefox does not.  This will probably be fixed in the near future.

New Update - 4/3: Mailing Address

Another new feature on the system is the mailing address within your profile.  This is under the "personal" tab.

We are in the process of importing the mailing addresses of those who have completed courses through AEA PD Online in the past, so you may see your address there already.  If not, that is okay.  You can add it if you would like; it is an optional field.

Since the system will be used for a universal login for all AEA systems in the future, some of have functions where they can mail an item to one's home address.  The address field has been added in anticipation of that down the road.

Please note, at the moment, Alaska is listed in the state drop down because we do not have the "select one" item displaying correctly.  Your state is NOT Alaska within the system, unless you were to click to save what is there... Alaska only appears as the header from the list.
 

New Update - 4/3: Import Employees

One of our (eventually) most important updates is the ability to import rosters of district employees into the system.  You will see this from the Admin tab by clicking on the Import button.

Let me first start by saying this is an initial step.  There will be more updates to this feature during our summer update.

For the import, you will be uploading a CSV file (commonly created via Excel or other spreadsheet programs).  We have a very specific format you need to follow.  That format is spelled out on the page, and there is a sample CSV file at the bottom you can download.

We will be updating our tutorial with this information, which will go through this problem in more detail (with video).  Our summer update is planning on adding the feature to export a CSV file with all of your current employee information, which will make it much easier to modify.  For this reason, I advise districts to wait until this summer to update personnel information.

For those who are looking at the import now, there are some basic steps:
• For a person not in the system, put in all 9's for folder number if it is unknown, or if the employee does not have one.  This is the cue to the system to generate a new folder number for them (not a real one for the BoEE, but one that has a letter in the front of it)

• Alternatively, put in the real folder number if a person has one through the BoEE.

• If, when you upload the file, the system sees that a person's email is already in the system, you will not be able to import them (there will be an error for that person in the process).  You will need to edit the file and re-submit.

• You can also update current users instead of adding them.  You need to have their folder numbers in your file in order to update them (all 9's won't work).  You also need to mark column M with TRUE in order to tell the system to update the information given.

• The system won't update an email if another account has that email.  This is typically an issue with a person having multiple accounts.  To merge accounts, you will need to contact us through our support desk, or support@aeapdonline.org.

• The system won't update any information in the system if it is left blank.  So, the best thing to do is to upload a file with only column A (folder number), the columns you wish to update, and column M filled.
