Future-Proof Your Work

Last week, we talked about planning for future projects. As you go forward into the new academic year, it's equally important to ensure that you will be able to access your current project in the future, whenever you need to refer to it again.

How can you do this? With a good backup strategy.

I know, you've heard it a thousand times – just like flossing your teeth, getting daily exercise, and saving for retirement, backing up your data is one of those things you know you should do and will definitely get around to at some point.

While backing up files strikes many as a dull task, it's very, very important. All too often our support team hears from users who did not back up their projects and then experienced either a hard drive problem or had their computers stolen. Don't let the same thing happen to you!

What are the best ways to prepare for any contingency? First off, if you're someone who is fairly chaotic when saving files related to your thesis, make sure that you are regularly creating backups of all your documents. Connect an external hard drive to your computer and then set up the Windows File History to automatically save copies of your files. This couldn't be easier and ensures that your work will be available in case anything happens to your computer.

If your external drive is in the same building as your computer, make sure to also regularly save backups in another location. This can either be a cloud storage service or another physical place, such as your office or even a friend's apartment. While an automatic cloud backup service can be great for ease of use, be sure to read the service's data privacy terms before signing up.

Citavi also automatically creates a backup of your project file and saves it to the location of your choice each time you exit the program. In addition, the Citavi Word Add-In automatically creates backup copies of any document you use it with. Any files attached to your project (i.e. full-text articles in PDF format) are not included in these backups, so make sure to save them regularly on an external drive and in another location as well.

If you ever do experience a problem, simply restore your Citavi project from one of your backup copies and continue working. And then breathe a sigh of relief that you took the time to future-proof your work.
