Keeping TRF Group Chairs informed
 
Dear TRF Group Chair,

Firstly Happy New Year.  The TRF Board of Directors continue our commitment to send information in advance to Group Chairs and Group Officers.  This will enable the senior TRF officers to be prepared for any questions that TRF members may have over any information to be released in future. 

As mentioned in several emails across last month, we are in final preparation fo the TRF AGM.  This will be held on January 8th at Village Hotel Club Swindon,Shaw Ridge Leisure Park, Whitehill Way Swindon SN5 7DW.  and hosted by the Wilts TRF chair Derek Sadler and voting counted by Andrew Byatt of Wilts TRF and Derek Vannsittart of South London & Surrey TRF.

Formal Notice has been sent to all members  and information on the background to the AGM was included in the Decembers Chairman's email Click Here for a copy.

Highlights include;
  • Record Road Conservation success - a higher activity and number of lanes saved that ever in the past
  • Membership number higher then in the past resulting in higher revenues.
  • Actual Operational costs down in real money terms.
  • Financial reserves are up giving the TRF more financial clout for legal fights
  • External PR success across the past year beyond the Trail riding community including the 200k reach over the Westminster MP & Trail riding campaign & Crowdsourcing /Hexham lane
It is important that your Group are represented and that members representing your group brings proxy vote forms which have become an important part of deciding the TRFs future.   By way of example the interests of a large group with 300 people but only sending 3 members and no proxy votes would be outvoted by a much smaller groups sending 1 person but having 50 proxy votes.  The deadline for receipt of Proxy votes in 5th Jan.
Trail Magazine

It has been a few months since Fred Ellison stepped down from running Trail magazine.   At the National conference at the end of November we caught a glimpse of what TRF Marketing had in mind for Trail going forward.   We are still open for suggestions in this area before we launch early next year.   If you have any views over Trail , please let us know at marketing@trf.org.uk 
Group Returns

In response to her request late last year, Sharon has now received 25 Group Returns and is waiting for 17 to come in.  Two of these she knows are due to late AGMs in January.  Sharon has already sent one reminder and will send another one next week.   For any queries Sharon can be contacted at Sharon@trf.org.uk or membership@trf.org.uk
LAF Strategies

A few TRF local groups have enquired about a strategy for the TRF presence on Local Access Forums (LAFS.) (https://www.gov.uk/guidance/local-acces ... lic-access)

Suggested TRF objectives could include
We are looking for TRF friendly standard text for inclusion in ROWIPs to distribute amongst all TRF groups. 

If you have written any of this we would be grateful if you could share it before we write one?
Currently we are minded to include our promoted initiatives;
 
  • Economic Value of Trail Riding
  • Green Exercise /Outdoor recreation
  • Social vigilance in rural areas
  • Reporting Flytipping
  • Green Lane Clearance
  • Disabled Access & Riding
  • Responsible alternatives to vehicle Anti Social Behaviour activity
  • First Aid & Emergency response in rural areas
  • Advanced Motorcycle Rider training
  • Sustainable trail riding policy and responsible riding
and also other relationship building initiaves;

Running TRF Events & Insurance

A reminder for all Group Officers that the TRF groups are busy organising events around the country and that they can viewed here

Keeping your events insured need not be difficult or onerous.  

To keep events insured the TRF require the following six key actions
  • A nominated Event Manager responsible for the event.
  • Review the TRF Scope of activities document which we send to our insurers- to check you activity is within the scope.
  • Risk Assessment to include Ride leaders check list,  Briefing to include - riders responsibility to stop, Coc LIG and give way to other users.
  • Sign on sheet so you know who has attended and who has not. 
  • Accident Book to record any injuries.
  • Director approval for the event (normally given by return email to marketing@trf.org.uk)

It has been a trouble free year with the insurers Zurich, found by Chris Cole at Devon TRF covering motorcycle related issues.   We hope to build on this success and continue progress in this area.
