February 2017 Newsletter

President’s Letter
Your Overlee Board members, staff and volunteers have been hard at work all fall and winter to make Summer 2017 one to remember. We are particularly excited because we celebrate Overlee’s 60th Anniversary this summer and will have some special events to mark this milestone!

Our Annual General Membership Meeting is on Wednesday, February 8th beginning at 7:00 pm in the clubhouse with a social gathering, including an opportunity to meet Andrew Koons, the new Head Swim Coach, followed by the start of the membership meeting at 7:30 pm. I encourage you to come and hear about plans for the upcoming season, approve the association budget, preview the master calendar and join in the discussion.

Last season was a great success. Our swim, dive and synchro teams all had more participants and many successes. Our swim and dive lessons improved the skills of many. We enjoyed many social events that included a movie night, moon bounces, dance parties, the annual volleyball tournament, adult crab feast, water polo scrimmages, ice cream socials, and more. We closed the books on the final lingering projects associated with the pool renovation and embarked on the next project that will keep Overlee as a top-rated pool and community association in the area. 2016 saw the formulation of a bath house renovation committee that has begun to explore the options regarding the renovations of the bath house.

I want to thank my fellow board members, Manager Greg York, Business Manager Maureen McManus and all of the staff for their dedication and hard work at Overlee that has made my time as President pleasurably memorable. I am looking forward to seeing everyone again in 2017 – which is shaping up to be another great summer at Overlee!

Bob Neuman – President, Board of Directors

Treasurer’s Report, Budget Highlights, Capital Plan  (Scroll to end to view detailed FY18 Annual Budget)
Treasurer's Report: The finance committee is pleased to report on the financial results of the current fiscal year-end (February 28, 2017) which are summarized in the table at the end of this newsletter. It is estimated that Overlee will have approximately $669,000 in cash at the end of the year which is about $8,000 more than anticipated in the FY2017 budget. While the net income from the Pool Operations and the Developmental Swim Programs fell short of the budget, the capital income was higher than projected due primarily to the higher number of new members -- 58 new vs. 45 projected. Most of the shortfall for operations was caused by one-time expenses that will likely not be repeated and plans are in place to correct the shortfall in the developmental swim programs for the upcoming season.

The proposed budget for the year ending February 2018 (FY2018) contains minimal changes from the budget for FY2017. It has been approved by the Board of Directors and members are asked to vote on this budget at the annual membership meeting on February 8th.

Budget Highlights: It is projected that based on the proposed budget, Overlee will finish the year ending February 2018 with approximately $720,000 in cash or an increase of about $50,000 over the estimated year-end FY2017 balance.
Member Fees and August Passes: For the current budget cycle, we are proposing to maintain all member fees at the same level as 2016. In addition, we are proposing a $25 increase in the August pass fee to $400 per family.
New Members: This year, we are again estimating the number of new members at 45 which will bring in $135,000 in new capital. The initiation fees of $3,000 per new member are the primary source of funds used to pay for our capital improvements.

Capital Expenditures: During FY2017, capital expenditures totaled about $86,000. Approximately $33,000 was spent on new gutters for the bathhouse and concrete repairs to the front steps and the area by the lap pool; $40,000 went toward improvements to the lap pool ("white coat") and a winter cover for the social pool. Most of the remainder was spent on replacing items for the pool operations including additional lounge chairs, tables and chairs and several new umbrellas. The FY2018 budget for capital expenditures is again proposed at $100,000.

Capital Plan: In 2016, a committee was formed and plans are underway to review and evaluate potential opportunities for renovation of the bath house.  The proposed capital budget includes $30,000 for a feasibility study for this project. Approximately $32,000 is designated to complete the payments for the lap pool improvements ("white coat") and to purchase a winter cover for the lap pool. Other planned expenditures include the needed replacements of pool chairs and umbrellas as well as the replacement of several trees and shrubs. The Board continues its commitment to the sustainability of our beautiful facility through preventative measures to reduce ongoing maintenance and extend the anticipated lifespan of the infrastructure.
