CMS quick tip: How to delete a file


At the recent Mass.gov authors & editors meeting, we received several questions about how to delete a file. Here’s how you can delete files:

Replace the file (useful if you have a more up-to-date version):

  1. Find the document in the “All Documents” menu.
  2. Click the “edit” button on the right.
  3. Scroll to the file field.
  4. Replace the file. You’ll see a pop-up message confirming the file will be removed.
  5. Scroll to the bottom and click save.

Unpublish it:

  1. Find the document in the “All Documents” menu.
  2. Click the “edit” button on the right.
  3. Scroll to the bottom & uncheck “published.” 
  4. Save. 

Note 1: Going forward, the steps above will work. However, we recently identified a bug that prevented files from being deleted. We’ve fixed this bug, but some older files are still affected: They’re unpublished, but you can still get to them. 

If you discover a file that users can still find and view even though it’s not published, you can “edit” the document, make sure that “published” is not checked, and click save. Hitting save will unpublish the file and make it unviewable.

Note 2: If you remove a file, make sure you use Pages Linking Here to ensure it’s not linked to any content. 

If you’ve tried these steps and a document is still visible, please submit a ServiceNow support request to let us know. 

You can now search within an organization’s content 

Last week, we added an “Organization” filter to Mass.gov’s search. Now, you can choose an organization from the dropdown menu to the left of the search bar, and your search will only return results published by that agency or department.

We know that many of you serve audiences that depend on your organization’s content for their jobs. This feature makes it easier for this group of frequently-returning users to find what they need quickly.

To make sure your content appears in filtered organization searches, open a page in “edit,” and make sure the organization(s) field at the bottom of the “Overview” tab lists your organization. 

Note: Currently, filtering by organization only includes HTML pages, not documents. Next week, you’ll get documents, too. 

Org Page change: You’ll no longer need an image behind the Services Offered section

We’ve removed the background image from the Services Offered section of Organization Pages. This makes it easier to see this section's buttons and reduces how many sections you’ll need to fill out when you create an Org Page. 

Analytics Dashboards (Beta): Findability will now include social media and home page traffic

You’ll now see traffic from social sources in the “Important Sources” chart in the Dashboards for service suite pages. This includes traffic from social media (Facebook, Twitter), link shorteners (bit.ly), and social media aggregators (Hootsuite, Buffer). 

You’ll also see traffic from the home page (www.mass.gov).

Note: Though you can see how much traffic you get from these sources today, they won’t be included in your Findability score until next month. Keep an eye out Sept. 1 for a more accurate score.
