Regional Membership Meeting September 15 – Humboldt
The OSAC Board of Directors will be holding the September Regional Membership Meeting at the Bella Vista Inn Saturday September 15 at 1 PM. I have sent out invitations to Arts Councils within 90 minutes or so of Humboldt but if you would like to attend just let Kevin know by September 10, 2018. New at this meeting is that the OSAC Board will be providing lunch at Noon in the Charleston Room, where the meeting will also be held.

Silent Auction Items Needed
It is that time of year again where we are looking for Silent Auction Items for the conference in October. We are always thankful for the terrific items that are donated by Arts Councils and individuals every year and we hope everyone will be generous again this year as this small fundraiser helps OSAC in various ways. You can complete this form, save it and email it to me or print and fax it to 306-586-1550. Please bring the item to Showcase but forwarding the form in advance is a huge help to us in the office.
 
Youth Bursary
OSAC is once again offering a youth bursary – 29 or younger in 2018 – where an Arts Council can bring a youth delegate and we will reimburse the registration fee of $150.00 which includes 5 meals. Just select Youth when registering the delegate. We will then send them some information, and once they complete the post event evaluation, OSAC will issue a cheque to the Arts Council.
There is no application form per se and if you have any questions feel free to contact me directly.

 
Presenters' Vitality and Impact Survey
“The Presenters’ Vitality and Impact Survey is a pan-Canadian survey of performing arts presenters and festivals led collaboratively by presenting networks. It will gather information about the scope, vitality, economic impact, and practices in the presenting sector. This initiative will contribute to performance measurement in the sector, to strategic watch over the health of the sector, and to advocacy.
 
We acknowledge the support of the Canada Council for the Arts, which last year invested $153 million to bring the arts to Canadians throughout the country.”

To protect the privacy of OSAC members, as we always strive to do, the Arts Council delegate, or designated main contact, will receive an email from me with an explanation of the survey and a link where it can be completed. It is important that as many of our Arts Councils that present Performing Arts complete this survey with as much accuracy as possible. These types of surveys are vitally important to show funders and all levels of government the impact the Performing Arts can have on communities. As always if you have any questions or concerns do not hesitate to contact me.

 
New Login Button
You may notice a new Login button at the top of the OSAC website. You do not have to login to access the website.  We have developed a section for performers and visual artists to login to submit their price list or resource person information. We will be launching the Member login section later this summer.
 
Serving Liquor at Arts Council Events
On May 28 I sent an email to each Arts Council regarding a letter that was included in the Liability insurance renewal from Henderson Insurance. The insurance underwriters are requiring that anyone who serves alcohol at an event must have servers who have completed the Serving It Right (SIRs) program. It took me about an hour to complete the course and exam and the cost is $10 for organizations who use Special Occasion Permits.
If you did not receive the email, or would like more information, do not hesitate to contact Kevin .
This is very important as the insurer could refuse a claim if something happens and the Arts Council and whoever is named on the permit could be liable for settling the claim. Please look into this over the summer prior to the Fall season starting. This would include a Wine and cheese reception at an exhibition opening or having a bar at a concert.

 
ISC Registration
The office has had some questions regarding being registered with ISC. While not an absolute requirement of being an OSAC member, I would strongly recommend that each OSAC Arts Council spend the time, and a small amount of money to become registered. Many granting organizations now require a non–profit number if you are applying for additional funding, including a bingo licence. It also offers some protection from certain legal issues. You can find more information here including the benefits of registering. If your Arts Council is registered, please send your Non-Profit number to the OSAC office when you are paying your Arts Council Membership – the invoices were sent out this week. Just a Post It note with the number will suffice.
 
Districts’ Workshops
I would strongly encourage all OSAC members to register for the newsletter from their local Sports Culture and Recreation District. You can find a map and links to the District websites here. That way you will be getting the most up-to-date information. Please remember that some workshops will qualify for support from OSAC if financial support is not available from the District.
 
Logos Logos Logos
Thank you to the Arts Councils that have updated their websites to have the correct, and most current logos. If you have yet to update your site, please ensure you have all the latest available logos on your site. They can all be found here.
 
We do understand that website design and upkeep can be challenging for Arts Councils. One idea is to reach out to the local High School or Community College to see if someone in the IT classes may be interested in volunteering to help with your website. Also, if you are a registered charity or non-profit, you may be able to access web design tools through TechSoup Canada at a vastly reduced cost. You can learn more about TechSoup Canada here

2018/2019 PA Grant cheques in the September mailing!
Please be on the lookout for your September mailing.  We will be sending the first ½ of your PA grant cheques this month.  The mailing is expected to go out on or about the 17th.
 
Artist Directory
We now have a login button at the top of the OSAC website page.  We have been working with artists and agents to create an online searchable artist directory. We expect to have it available for arts councils to view by the week of September 10th.  We will be sending you usernames and passwords, so you can login and view the artist listing with search functions, pricing for artists etc. Our hope is this give you an easier way to find artists based on your criteria.  We will be printing the printed price list and will have copies of the showcase artists price listings available at Showcase.
 

Ticketpro
I am still waiting for responses from a few arts councils on Ticketpro.  If your tickets are not yet on sale, please let me know what your plans are.

Artist Directory- New Version of the Resource Person Listing
We now have a login button at the top of the OSAC website page.  We have been working to create an online searchable artist directory that will take the place of the Resource Person Listing. We expect to have it available for arts councils to view by the week of September 10th.  We will be sending you usernames and passwords, so you can login and view the artist listing with search functions, location of resource person, media, etc. Our hope is this give you an easier way to find artists and adjudicators based on your criteria.  We will give a demo on how to use the listing during the Sunday morning VA Exchange. REMINDER
Exhibitions must be shipped by the 26th of the month to ensure that they reach the next venue with enough time to install by the 1st. Please understand that other Arts Councils have programming built around the exhibitions in their communities and late shipments can have a negative effect on programming.

Important Reminder- Jay’s Trucking
If you require a tailgate at your venue, please call them three days in advance of pick up and ask that a tailgate be used- let them know that we have an agreement and that OSAC pays the extra tailgate fee. If they do not provide a tailgate and it has been requested contact me immediately at zoe@osac.ca  Please make sure to use the Bill of Lading that we provide in the Exhibition Kits when shipping exhibitions out from your community. We include the correct number of crates and weights and this prevents us from being over charged. If you did not receive or have lost your Bill of Lading, please contact me and I will email you the correct document.

Fall Tours
Dumpsta Dragons and Aytahn Ross: The Great Balanzo both begin their tours on September 17.  I look forward to attending performances while they are on tour with OSAC.

Hip Hop Hoop Dance will tour from October 15-23 to 13 schools, and school packages will be mailed the week of September 17.

What’s New at this Year’s Conference?

MacKenzie Art Gallery Tour
A tour of the MacKenzie Art Gallery will be offered on Saturday, October 13 for a minimal cost for each delegate that is interested in attending. Bus transportation will be provided to the gallery and back to the hotel. Please register in advance as the maximum attendance is 50 delegates.
 
Registration
The registration for Showcase will be held on the main level of the Ramada Plaza just adjacent to the front-desk in the Business Centre. Registration will be open Friday, October 12 10am-5pm. Those registering on Saturday please visit the Showcase Office in the Maple Room on the second floor.

Visual Arts Exhibitions
To provide more viewing opportunity for our delegates we will have a larger exhibit space to take in the visual arts exhibitions throughout the weekend. Please visit the Aspen, Birch and Cedar Rooms at the Ramada Plaza.
