Review of PROV Standards & Specifications

Between 2009-2011, PROV worked with people from many Victorian Public Sector agencies to develop a comprehensive set of Standards and Specifications. PROV conducted a survey in 2016 regarding their quality and usability, with feedback being that they were generally of a high quality but were difficult to apply due to:
  • the number of requirements;
  • some confusing and complex wording;
  • some differences in the tone, language and level of detail between Standard areas; and
  • the need to comply with both the Recordkeeping Standards / Specifications and the VERS Standard / Specifications.
To address these issues, PROV proposes merging the Recordkeeping and VERS Standard Frameworks (VERS will continue as a Strategy); combining the Capture Standard area with the Control Standard area and reviewing the Principles and Requirements across all Standards and Specifications (apart from the Disposal area which has been undertaken recently).

Please email alison.mcnulty@prov.vic.gov.au to receive updates and invitations to workshops over the next 12-18 months.

Physical & Digital Survey Reports

Findings now available

PROV has undertaken surveys on the physical and digital record holdings of government, in order to assist agencies and PROV in their planning and to raise awareness of issues and challenges.

Thank you to all the involved agencies, your information has been invaluable.

A summary of findings, plus the full reports can be viewed here.

Development of Recordkeeping Assessment Tool

Seeking final feedback

PROV is asking for any final feedback on content for the Recordkeeping Assessment Tool (RKAT).

A big thank you to all those who have provided input into earlier drafts. We are planning to finalise the content by January and then publish it for agencies to begin to use or view, while the actual online tool is built.  The technical specification for the tool has been sent to selected companies, with responses due before Christmas.

The latest draft of the content is here.

Our blogpost notes feedback is due by 15 Dec, however we are happy to receive input up to Christmas Eve.

PROS 07/01 - Update of Common Administrative Functions RDA

A project is currently underway to update PROS 07/01 to modernise and streamline the RDA, which was originally issued in 2007 and has only been varied slightly since this time.

This RDA relates to functions such as finance, human resources and property management and is the most widely used RDA as it applies to all agencies.

Feedback on the RDA is currently being sought.
If you would like to contribute to this project, please click here for further details.
