CHANGES ARE COMING IN 2019!

ApollyCon 2019 is shaping up to be our biggest event yet, and with growth, comes change.


Before we get to the ticketing information, we want to share the upcoming changes to the 2019 event's signing structure Friday & Saturday.

 

CHANGES TO OUR SIGNING STRUCTURE:

Over the last two years, we have hosted two days of signings; a shorter Titan signing Friday, and a longer general signing session Saturday. While we plan to still incorporate this system (with two days of signings), we will be shifting the way it will be set up. We anticipate having 130+ authors at ApollyCon 2019, which is almost double the number of authors we've had in years past. To help alleviate crowd and line sizes, we will be dividing the authors into two separate event spaces for the Titan & Saturday signings. On Friday, there will be a 3-hour Titan signing (for Titan pass holders), and on Saturday (general signing session) there will be two 3-hour-long sessions with a break in between.
 

HOW WILL THIS WORK?

During our Saturday signing, attendees will be split into two groups of 600; "GROUP A", and "GROUP B". For the first 3-hour session, attendees in GROUP A will be in room #1, and GROUP B will be in room #2. After the first 3-hour session is over, there will be a timed break where each group will have the opportunity to swap spaces for the second 3-hour-long session (where GROUP A will be in room #2, and GROUP B will be in room #1). The group assignment will be indicated on the ticket listing on the Eventbrite ticket page. For example, there will be two listings for TITAN, APOLLYON, DEITY, and GENERAL ADMISSION tickets; one listing for Group A, and one listing for Group B. (So "TITAN PASS - GROUP A" and "TITAN PASS - GROUP B", so on and so forth.) * NOTE: Each group of attendees will have an equal amount of time in each signing room, so there is no need to buy tickets for both groups. For the Friday signing, ALL TITAN PASS HOLDERS will be able to go through both signing rooms throughout the 3-hour Titan signing. There will not be a "group" session split.
 

TICKETED AUTHORS SYSTEM:

After the event tickets go on sale, we will be polling ticket holders in hopes of being able to anticipate which authors we need to preemptively have numbered line-control wristbands for. We plan to have high-traffic/ticketed authors in both signing rooms to help with spreading out lines, and over-crowding. Once an author's line begins getting long, we will immediately begin distributing numbered wristbands (there will be a staff member at the end of the line/in proximity to the line handing out numbered wristbands) to additional attendees who would like to "hold their spot" in line. When the line begins to move, we'll call out numbers over the PA system for those with wristbands (within the numbers) to get in that author's line. There will not be any "pre-registering" or early sign-ups for ticketed author wristbands prior to the event.


BOOK/ITEM LIMITS:

There will be a 3 book/item limit PER AUTHOR, PER TABLE VISIT unless otherwise specified. We will make announcements if there are authors who have lower limitations prior to the event. We will have staff on hand to make sure that the limits are properly enforced, however we ask that attendees be mindful to adhere to the limitations. If you are at an author's table, and there is no line behind you, you can get any additional items signed (above the 3 book/item limit) while there. We highly suggest that you plan to prioritize which books you want to have signed, as we do not anticipate extending the signing times for the sessions on Saturday.

CART POLICY:

For ApollyCon 2019, WE WILL NOT BE ALLOWING WHEELED CARTS IN THE SIGNING ROOMS. The event hotel informed us that 1 cart = 1 person (in the headcount), which would mean that we would have to lower the amount of tickets being sold for the event. Also, because of the change to our signing format (with groups of 600 having to switch rooms), it will be easier to maneuver everyone from room to room (and up and down escalators) without having carts getting in the way.

APOLLYCON 2019 TICKETS GO ON SALE SATURDAY, JUNE 9TH, 2018 AT 8PM ET!



Here are the ticket types that will be on sale: 

TITAN PASS - $125 + $7.87 Eventbrite fee
*NOTE: As previously mentioned, there will be two listings for Titan Passes--a GROUP A, and GROUP B. This group assignment will pertain to SATURDAY ONLY. (There will not be group sessions during the Titan signing Friday.)

There will be 600 TITAN PASSES for our 2019 event! We are downgrading our Apollyon pass level to accommodate more Titan pass holders, and as a result, we will will be increasing the Friday Titan signing by 1 hour (for 3 hours total)! TITAN PASS HOLDERS WILL HAVE ACCESS TO 9-hours of signing time split over both Friday and Saturday. When tickets go on sale (via the Eventbrite page), if you plan to purchase a Titan pass, you will be asked at checkout which JLA (Jennifer L. Armentrout) book you'd like to receive with your badge (at the event).

TICKET FAQs:

 
  1. When do tickets go on sale? Tickets go on sale SATURDAY, JUNE 9th, 2018 AT 8PM EASTERN TIME.
  2. How many tickets will be available for purchase? There will be 1,200 signing tickets (600 Titan, 200 Apollyon, 200 Deity, 200 General Admission) available for purchase. (Keep in mind each signing room will only have 600 attendees max per session.) There will be 400 tickets available for the Sunday Q&A event featuring Colleen Hoover & Jennifer L. Armentrout. (250 Brunch tickets, and 150 Q&A Only tickets.)
  3. Where will I be able to buy tickets? As with previous years, we will be selling tickets via Eventbrite. Note: the Eventbrite ticket page will NOT be live until JUNE 9th, 2018. We will send out the direct link for the ticket page via our email newsletter the day before tickets go on sale, and will post the link via our website and social media at 8PM ET on June 9th.
  4. What form of payment is accepted for ticket purchases? All major credit cards will be accepted when purchasing tickets via Eventbrite. We will no longer be utilizing PayPal as a form of payment.   5. Will there be a child ticket for 2019? No there won't--children under the age of 10 will be admitted for free; any children over the age of 10 will need a GA ticket. (If you are unable to get a GA ticket for your child within your group session, email us at info@apollyconevent.com so we can work with you.) 
  6. I plan to buy different ticket types for people coming with me. How do I make sure we're all in the same group sessions? Since there will be both a "Group A" and "Group B" ticket for each ticket type (Titan, Apollyon, Deity, GA), as long as you get tickets that are all in the same "group", all will get you entry into the same session. And as a reminder: if you are getting all Titan passes, the sessions/group letters only apply to Saturday's signing. All 600 Titan pass holders can free roam between both signing rooms during the 3-hour Titan signing on Friday.
  7. I've never used Eventbrite before, where can I get more info? Go HERE for a ton of helpful Eventbrite links to be prepared for ticket day! (https://www.eventbrite.com/support/lifestages?focus=AttendingAnEvent&lg=en_US)
  8. What is the refund policy for ApollyCon 2019 tickets? All paid tickets/passes purchased for ApollyCon 2019 are non-refundable. Should you no longer be able to attend, you can resell/transfer your ticket through March 16th, 2019. We will also post a ticket thread in the ApollyCon Attendees Facebook group where people can search for/resell tickets for the event. This thread will be monitored by the Event team, though ticket resale transactions will be handled by the seller who posts via the thread. The ApollyCon event team does not assume responsibility for any transactions, so please be mindful to not exchange sensitive/personal information with sellers you're not familiar with. We highly suggest submitting payments via PayPal, as it protects the buyer in case there are any issues.
  9. If certain ticket/passes sell out, will there be a wait list? Due to the fact that ApollyCon 2019 tickets will be non-refundable, there will NOT be a waitlist via Eventbrite. If/when tickets for the event have sold out, we will open up a ticket thread in the ApollyCon Attendees Facebook group where people can search for/resell tickets for the event. This thread will be monitored by the Event team, though ticket resale transactions will be handled by the seller who posts via the thread. The ApollyCon event team does not assume responsibility for any transactions, so please be mindful to not exchange sensitive/personal information with sellers you're not familiar with. We highly suggest submitting payments via PayPal, as it protects the buyer in case there are any issues.
  10. I plan to purchase multiple tickets/passes for ApollyCon under my Eventbrite account. Do I need to have each person's name on each ticket? Short Answer: NO. You don't need to have all of your tickets under individual names if you plan to pick up all of the tickets at the same time (on site). However, you can add an individual name on each ticket (as you'll see when you go to complete purchase). Also, if you have any typos in the info you put in at checkout, you'll have until March 16th, 2019 to update it.
  11. I have a disability/need additional assistance to enter the event space(s). What should I do? During the checkout process, there will be an option for you to indicate if you have need special assistance/have a disability that event staff needs to be aware of prior to the event. If you are an attendee with mobility issues/special needs (wheelchairs, scooters, canes, service dogs, etc.), indicate it via the Eventbrite checkout then afterwards email us at info@apollyconevent.com (put "2019 Attendee: Special Needs" in the subject line) to let us know so we are best able to accommodate you. If you need special assistance that will require additional service modifications (a companion ticket, ASL interpreter, etc) please inform us no later than November 1st, 2018 so that the ApollyCon event team has ample time to accommodate your requests/needs. It is our intent to try our best to accommodate all attendees who have special needs, however, we can not guarantee that special requests that come in after November 1st, 2018 will be accommodated. If you have any questions or concerns leading up to the event, please contact us via email (info@apollyconevent.com).
  12. Will there be a hotel room block for the event? Short answer: YES! Long answer: The link for the room block will be included in the Eventbrite ticket confirmation email (which will be sent after purchase). In order to give ticket holders priority to the available discounted rooms, the room block link will not be publicly posted until a week after tickets go on sale.
