Hello Advising Network,

As you know, this is not going to be a typical fall semester!
Here's some helpful information to welcome our students into our virtual environment.

A term start up email was sent this morning to all new and returning students with important information from the Registrar's Office. We will resend the message on August 5 and August 10 to newly matriculated students who missed the first email.

Registrar Updates

Financial Assistance, Awards and Student Fees
Students have a lot of questions about finances this year. These financial FAQs, including a new section on tuition and fees during COVID-19, will help you respond. Direct any further inquiries about fees to vps@ryerson.ca.

In rare circumstances a student may have appropriate grounds for an appeal to have fees either reversed or refunded, in part or in full. 
Students can now submit fee appeals through RAMMS. See the guidelines and procedures for details. A few things to note:
  • Students may not submit another fee appeal while they have one under review
  • Students can only select from courses they have dropped within the current term or past two terms
  • Supporting documentation must be submitted in PDF form
Any questions related to fee appeals can be sent to feeappeal@ryerson.ca.

Student Awards and Scholarships 
The Student Awards and Scholarships office supports the Ryerson community from the creation and promotion of student awards, through the application, selection and disbursement processes, and then, finally, the celebration! Encourage students to complete their AwardSpring profile after August 17, 2020 in order to be automatically matched to awards and scholarships they may qualify for. During the 2019-2020 school year, $20 million was awarded to over 20,000 students in continuing education, undergraduate and select university-wide graduate awards!

From the First Hello: Creating a Virtual Connection

Meeting all of our new students online is going to be an unusual experience for many of us! Join managers from the ServiceHub to unpack how you can create a virtual connection. We will discuss how to verify student identity, utilize a five step virtual client service model to get the heart of the issue, and build a great relationship from the first hello.

For Students

Incoming Email Template
Welcome your new students with a snazzy email (if you haven't already)!  Contact advisingnetwork@ryerson.ca to get access to a template you can paste into your own communications. Feel free to add your own banner and content, and make sure to update the photo and fields.

ServiceHub Webinars
New students have lots of questions! Feel free to invite your students to the next webinar All About Online Services on July 30, 2020 at 2 p.m. for information about registration and online self-serve options. On Thursday, August 27 at 2 p.m. the ServiceHub will host "Get the Most Out of Ryerson" with info on dates, deadlines, and resources for success.
Making Online Advising Accessible

Access Ryerson is a university wide initiative with a goal of removing barriers to the full participation of all community members with disabilities. In addition to resources for accessibility in the classroom, they also provide a number of guides to assist you in planning services, communications, and events.

Captioning
Captioning can be helpful for any online presentation, meeting, or group advising session, with the caveat that automatically generated captions are not always correct! Speaking slowly helps, but it's still not great with names. If you compare conferencing tools, Google Meet automatically generates captions, where Zoom requires a 3rd party app or a live person. However, if you use Google Slides, captions can be automatically added to your presentation, even when you are using Zoom. Another Zoom option is to record the session to save the chat file and automatically generate a transcript - where you can clean up typos before providing it to participants!  

Sign Language
Access Ryerson provides information on booking interpretation services. When using sign language interpreters, only the speakers, interpreters, and people requiring interpretation should have their webcam on, so the person requiring sign language has a direct view of the presenters and interpreters. If using Zoom, you can also provide instructions to the participants.
