Indian Hill Club

Dear <<First Name>> <<Last Name>>

A socially distanced hello to all of our IH Club Wahoo family! In fact, we just recently held a virtual meeting of the IH Club Board. While we want to be respectful of everyone’s time in the wake of all of the activity taking place with respect to the pandemic, your IH Club Board feels that everyone deserves, and would appreciate, some updates and we need to hear from you. As we all have found out, nothing is definite and we seem to be dealing with a moving target. We apologize in advance for the length of the message, but felt it necessary to convey a significant amount of information about the season, account charges, and membership dues options.

Upcoming 2020 Season

We are constantly monitoring Governor, Ohio Department of Health, CDC, USTA and other directives. Ohio’s current stay-at-home order remains in effect and with new guidelines coming out for a slow opening of Ohio, we anticipate a transition period back to permitted social gatherings, along with direction regarding permitted numbers and required spacing.

As such, our opening date on Saturday, May 23, 2020 most likely will need to be postponed and all aspects of our operating schedule are currently tentative. We will continue to monitor the situation on a regular basis and will send and post updates on the Club's website as needed. Dates may be a moving target, and the decision will not be ours alone.

Because the pool has been closed since well before the start of the COVID-19 pandemic, we do not anticipate that any part of the pool property has been contaminated by the virus. In addition, our normal preseason cleaning should eliminate any potential contamination. We will take all steps recommended by health officials to ensure that the grounds and all facilities remain safe. Once the pool is able to open we will follow and comply with any required and suggested cleaning and safety protocols as directed by the State of Ohio Health Department in conjunction with Hamilton County.

Social distancing will be in effect for the foreseeable future. The safety of our membership is of paramount importance. We are considering what opportunities are available at the Club facility as a whole to offer a safe experience for the membership. No decisions, however, have yet been confirmed.

2019 Charges

In preparing for the 2020 season, we have found that system did not generate snack shack/account invoices for a large portion of our membership for the 2019 season based on a sales tax issue. As a result, several members have charges relating to last season snack shack purchases that have not been paid. We apologize for this oversite and because of the inconvenience, the IH Club has decided to cover the sales tax for all of the historical charges. Email notifications of these invoices have now been pushed and the total 2019 account charge (without tax) will appear as a line item when reviewing your membership account on the Club’s website (see example below). We welcome everyone to review those invoices at this time.

The specific charge detail for the invoiced charges is available at https://ihclub.com/membership/manage-account/#/charges

Membership Dues Options

While the Club is currently in a strong financial position and we have the ability to postpone some long-term capital improvements (e.g., parking lot improvements), there are year-over-year Club expenses for real estate taxes, debt repayment, insurance, minimum maintenance expenses etc. that will require a minimum payment of membership dues to sustain the Club until opening, whether it be this season or next year. Certain season-specific expenses and operating expenses can and will be deferred until the time when the Club can open, and the Board is assigning priority for season-specific expenses based on economy and efficiency in order to stage and prepare the Club for a 2020 season. This will ensure we can safely, compliantly, and promptly open once the State provides approval to do so.

Typically, membership dues have already been invoiced and due at this point in the calendar year; however, given the uncertainty for the summer season we delayed collecting full membership dues. Thanks to those of you who have previously submitted payments.  At this time, the Board has proposed the following membership dues options and billing schedule in accordance with Club's Code of Regulations.

By May 10th we ask that each member choose one of the following:

1. Seasonal Hold to Suspend Membership -

$250 fixed charge.

Members selecting this option are electing to pay a hold fee to suspend their membership account for one (1) season. This will preserve the membership to be reactivated in future seasons, without the need to re-apply and pay a new initiation fee. A Seasonal Hold election anticipates and expects the account member(s) will have no use of the Club or Club facilities during the season, including as a guest.

2. 2020 Membership Dues Installment -

Installment will be based on membership type and will range from $150 to $250.

Members selecting this option are making a down payment toward their season dues. The balance of 2020 dues will be determined when the Club can open for the season and will be prorated based on the number of the days in the season that the Club is able to open. Should the Club not open for the 2020 season at all, the Dues Installment will be converted automatically into a Seasonal Hold Fee that suspends membership until the next season (as in option 1 above).

3. Termination of Membership -

While terminating your membership is always an option at the beginning of the season and your termination may not be related to the pandemic, this year it is especially important for us to accurately track who will be retaining membership at the Club. In normal times this is worked out quickly with the pool's opening, but given possible opening delays this season we ask that all members seeking to terminate their memberships notify us at this time for planning purposes.

Visit https://ihclub.com/membership/payments/ and log in. This will take you to the selection page (see screenshot example below).  Please make your selection for your 2020 status and click “Next” at the bottom of the screen. This should take you to the payment screen for the 2020 membership charge and your 2019 charges (if any). Please enter your payment information and click “Submit.”
Note: the Club is covering the credit card transactions costs for membership dues payments.

No payment
: If you are terminating your membership and you have no 2019 charges, please choose "payment by check option" and click next so we receive notice that you have terminated.

Swim & Dive Team Seasons

While we have little concrete information at this time regarding Swim and Dive Team seasons, we are able to report that the league is exploring alternative dates to the seasons. Once pool openings are established, Swim and Dive Team seasons will be addressed.

In the end, we know we are all hopeful to return to whatever our new “normal” will be and look forward to, and are hopeful to be able to, enjoy the warmth of late spring and summer with fellow Wahoos for the 2020 season at the IH Club.

Feel free to email any questions to info@ihclub.com

Thanks,
Your IH Club Board
