Indian Hill Club

June 25, 2020
Dear <<First Name>> <<Last Name>>
Thank you so much for your patience and cooperation as we approached and are now 3.5 weeks into the 2020 season.  We are so happy to have the pool open for all members to enjoy.

We will be expanding the Club hours on Friday, July 3rd and Saturday, July 4th. While we can't make these time changes permanent at this time, we wanted to be able to maximize our membership's ability to visit the Club during the Holiday Weekend.

We have made an adjustment to the timing of Advance Reservations.
We have reduced the advance reservations to one week.  Many of you have already noticed that we have decreased advance reservations daily, so that on June 26th, reservations for July 3rd will be made available.

While we are unable to facilitate our traditional 4th of July celebrations, we will still be festive.

Beginning Monday, July 6, we are happy to update some policies.
1) we are reinstating the Club's bylaws benefit for Grandparent members to bring their grandchildren as complimentary guests to the Club. This benefit is for all time slots except 12pm -2:30pm, because that time block consistently has a waiting list.

2) Child Drop-offs at the Club will be permitted for children 11 and older. However, unless a child is at least 16 years old, they are not permitted to take care of, or be dropped off with their younger (<11 years old) siblings.

Some tips and reminders on Pod Reservations:

Waitlists - generally we are able to clear most members who are on waitlists during most  of the time slots. Many members have asked how the waiting lists clears.
There are two main limiting factors for use of IHC this season set by the Health Department:
1) IHC must be able to provide Socially Distanced space for all those attending pool; and
2) we have a maximum pool capacity that we must stay below at all times.

Therefore, there are two ways of clearing.
The first is a member with a reserved pod cancels their spot and SuperSaas automatically places from the waiting list in this Pod type.
The second is if the total capacity based on the "Number Swimming” is less than our allowed capacity, staff will manually place people in an additional pod.

The Upper Pool - Picnic Pod and the BYO Pods are the only pods where a waitlist can be cleared Manually.  Up to this point we have been able to move members (who were on a waitlist) into these pods in order of when they joined the waitlist. Going forward we will not clear any of the chair pods manually. Therefore, if you not particular about your pod type (and want to have the greatest likelihood of getting into a particular time slot), the easiest pod type from which to clear a waiting list is in the Picnic Pod or BYO Pod.

Cancelling Reservations - To cancel online, simply click the link in your reminder email or use the agenda page to view your reservations from there you are able to edit the reservation or choose Delete Reservation.  If you are placed from the waitlist please try to remember to cancel any other waitlist reservations or other pods for that day.

Lap Swimmer Pod - We are adding Lap Swimmers (no chairs) as a lower pool option.  This is for those who plan to just use the lower pool for laps and typically aren’t here the whole reservation.  Please note this does not guaranty a lap lane.   This is not the spot for the family not intending to swim laps to register.   These spots are for singles/couples using the lower pool.

Baby Pool Pod - The Baby Pool Pod has been infrequently used for Baby Pool purposes.  Therefore we have removed that Pod and added a Picnic Spot.  The Baby Pool is still open if you would like to use it, reserve a picnic pod and in Number Swimming indicate your number and add Baby Pool - which will tell us your capacity will not be in the main pool.

Multiple Reservations on the Same Day -
Waiting lists are cleared daily so if we find that members have multiple reservations on the same day in advance of the day we will be deleting reservations.  Unfortunately, we will not be able to guess at which time slot pod  intend to use, so in order to get the most members to the pool we will delete from the pods with the waiting lists first.  For example, if a member reserves for 6/29 a 10am, 12 and 3pm pod (none of the reservations being on the waiting list) and the noon and 3pm have other members on the waiting list, the Club Desk will delete the noon and 3pm reservation spots, leaving the member to attend at the 10am slot or wait to see if anything opens within the hour to the beginning of a slot.   Due to the number of members and the number of spots, we all need to work together and choose only one advance time slot per day.   The exception is if you are on waiting lists for two different time slots.

Thanks,
