1 Set the tone for the event at the beginning. If you open with a typical video chat, the whole event will feel like a Zoom call. There are many ways to set the tone. Kick off the event with a pre-recorded video that instantly grabs everyone’s attention, utilize a studio space to give an immersive and engaging visual for the attendees, or simply add some of your event theme and branding into the background of your camera shot. Ask your technology partner for creative ways to set the tone to create a one-of-a-kind virtual experience for your guests.

2 Prepare your attendees for success. Send clear instructions with screenshots and examples on how to join the virtual event and how to engage during the interactive portions. Include a live chat function on your virtual event platform for those who need more guidance on getting connected.

3 Include pre-recorded media. Pre-recorded videos, interviews, performances and sponsor information are all pieces of content that can be created and planned in advance to help take the pressure of the portions of the event that are actually happening in real time during the live virtual event.

4 Include opportunities for social engagement. Creating engagement among your audience can be tricky but ultimately makes your event memorable and worth-while. One way to create social engagement is to use Zoom Rooms to simulate the table environment that happens at in-person events. Instead of sitting at a 10-top table, those same guests can join a common Zoom Room. This allows guests to interact with one another and experience the event as a group, even though they are not in the same physical location. Each Zoom Room becomes a personal watch party for the event. This is very successful solution for sponsor tables!

5 Do rehearsals! Rehearsals are just as, if not more, important than if the show was an in-person event. Anyone presenting via video or audio should run through a tech-check rehearsal to ensure all internet connections are solid and all remote presenters are set-up properly. Rehearsals allow for troubleshooting issues in advance, which allows for a seamless virtual event for your guests.
