DONCASTER TENNIS CLUB INC. ANNUAL REPORT 2019

PRESIDENT’S REPORT

Mike Hindson

It has been quite a successful year for your Club. Here are just some of the successes: • Doncaster Tennis Club has again been ranked a Top 50 Club in Victoria by Tennis Victoria. Actually, the Club is ranked 11th for participation.
  • 4 Club members have achieved highly. Read all about them in the “Hall of Fame” articles within this Annual Report. Congratulations to each of them.
  • Membership has again shown strong growth – see how much we grew.
  • The Trivia Night was a great success both in raising funds for the Club and as a social night for members.
  • Our Treasurer, John Shaw, has instigated a change in our Accounting package to Xero. A large project which will benefit the Club in the longer term.
  • The Club finally obtained a BYO Liquor license thanks to Committee person, James Manger.
Some other matters that are (still) being pursued are:
  1. Resurfacing of Courts 6 & 12 which were due to be completed 2 years ago. Council is eager to have the large tree next to Court 12 retained and have had 3 tries to obtain a reasonable tender for the project. The first drew a cost wildly in excess of what they are prepared to pay. They did have a budget of $90,000 and the cost came in more than 3 times that amount. The second tender was withdrawn – not sure why. The third tender is in progress and hopefully we will have a positive outcome soon. The delay in this project has caused the Club to defer some of its own projects as we are unsure how much will be asked of the Club.
  2. Car Parking issues have been discussed with Council for well over a year now. A further suggestion from Council was recently received and is under negotiation. However, it will require Club members to have a Permit on their cars and also need Day Permits for Visitors etc. Members will be kept informed regarding this issue.
  3. Committee has approved the implementation of Tennis Victoria/Australia’s Book a Court system. However, delays have been encountered due to withdrawal of a $6,000 grant scheme from Tennis Australia. Once again, we hope to be able to have this system in place in the next 12 months and Members will be kept informed.
Thank you to all of the Committee of Management for your hard work over the past 12 months. The Committee comprised:

President & Membership Mike Hindson
Secretary & Club Captain Gail Norman
Treasurer John Shaw
Juniors Convenor Jill Morrison
Mid-Week Ladies President
& House and Grounds
Nina Socratous
Webmaster Nik Dulics
General Budi Salim
  James Manger

As always, the administration of the Club falls to those on the Committee. There are 2 vacant Committee positions available. It would be great if we could fill those positions. So, I am asking you to consider “putting back” into the Club some time to assist. The Committee meets once a month (First Monday) usually for about 90 minutes. I would not expect any new Committee member to take on a specific portfolio in the first year, but rather lend assistance where possible.

There are a few more “thank you’s” required:

Vicky Lee and her coaching crew for the wonderful coaching they provide to members and the assistance provided for numerous Club activities.

Pat (and Paul) Carty for looking after the competition tennis ball distribution and court hiring.

The Mid Week Ladies who volunteer in many ways and do working bee’s to keep the clubhouse tidy and clean.

Kamran Sedghi who looks after the social Sunday afternoon members and visitors’ group.

Hopefully by this time next year we will be able to report that all of the outstanding items above – Court 6 & 12 resurfacing, Car Parking and Book a Court system – will be completed.

Please read the Daylight Savings period court usage restrictions in the Membership Report.

TREASURER’S REPORT

John Shaw

2018-2019 was another satisfactory financial year for our Club.
We had expected that during 2018-2019, our landlord, the Manningham City Council, would have worked with us to upgrade several of our courts. Unfortunately, the Council did not provide their resources for this to happen. Consequently, our Club accumulated funds which we now expect to expend in 2019-2020. During 2018-2019 the Club had total income of $112,848 (approximately 75% from Membership subscriptions), with expenses of $56,329 (with routine Court Maintenance of $12,584). The Surplus for the year was $56,519.
In those years when the Club undertakes court replacement upgrades (normally every three to four years), our Court Maintenance expenditures can be more than $75,000, so in those years the Club incurs a planned deficit. It is very important that the Club accumulates surpluses to have funds available for when those major expenditures occur.
At the end of this Financial Year the Net Assets of the Club were $192,419.
During the year the Club undertook a significant upgrade to our financial systems by moving to the cloudbased software package “XERO”. We hope this will reduce the time and effort to produce our Monthly and Annual Financial Statements and provide the Committee with improved management tools and an integrated invoicing system for Membership payments.
In 2018-2019, the Club has been very fortunate to have Dr Margaret Salter continue as our Honorary Auditor. Margaret’s expertise and guidance is invaluable, and I am pleased to report that we have again received an unqualified Audit.

MEMBERSHIP REPORT

Mike Hindson

Membership has continued to increase over the past year with an overall rise of over 18%. All classifications rose (Junior Competition members by 25%) with exception of a small reduction in Students playing Competition.

With such a large increase in Membership comes the issue of availability of court time especially in peak periods being Saturday & Sunday afternoons as well as midweek late afternoons.

PLEASE READ BELOW.

The Club has had a policy for some years that during Daylight Savings months (starting from Sunday 6 October 2019) members are requested to vacate their court after 60 minutes if other members are waiting. It would be appreciated if ALL members adhered to this policy to enable all members to participate at the Club. Any member waiting can (in a friendly manner) enquire from members on court when they commenced their hour of use so that they can indicate that they are waiting.

This policy will mean that some members will need to shift courts after they have been on the one court for an hour if they want to continue. They can then enquire from other courts when that court’s one-hour usage will be completed.

SHOE TAGS

Members are required to wear their membership shoe tag on the court. If it is not worn, then they must produce it when asked by a Committee Member. Please don’t be offended if you are not wearing the tag on your shoe and are asked to confirm your membership. As members, we all should welcome checks that people who are not members or court hirers are removed from YOUR Tennis Club.

TOP 50 CLUB

Doncaster Tennis Club has again been recently announced as a “Top 50 Club” by Tennis Victoria. In fact, it is better than that!
Our Club is ranked No 11 in the State. Our highest participation ranking ever.

HALL OF FAME – Shirley Whitaker

HALL OF FAME Shirley rose to number 1 in the world in her age group (85 + years) in August of this year.

She achieved this ranking by first of all, defeating the French woman Sabine Leflaive who was number 1 in this age group at the Austrian Senior Championships.

Shirley then went on to the European Senior Championships where she defeated Anne Williams, a British player. She is also ranked number 3 in Mixed Doubles!

Shirley is a finalist in the Most Outstanding 35+ Tennis Senior category at the forthcoming Tennis Victoria Champions Dinner on 18 October.

CLUB CAPTAIN'S REPORT

Gail Norman

WEEKEND TEAMS
We had a total of 5 weekend competition teams playing in the 2018-19 Summer Season:
  • 4 Saturday teams (3 x ERT teams: SD3, OS7 and OS10; 1 x WDTA team: Mixed Rubbers B Special 2)
    and
  • 1 Sunday team (1 x ERT: OSD2).
One Saturday team made it through to the Grand Final but unfortunately SD3 had to settle for being
runners-up. Commiserations to the players on the day: Patrick Fong (C), Ozan Sevik, Barry Chan and Melvin Leong (and thanks to Steven Fong, Jack Maxwell, Eric Soong and Victor Wan for their contributions during the season).

Our Sunday OSD2 team finished on top of the ladder and was victorious in their Grand Final match.
Congratulations to David Lo and Ozan Sevik (C), who played on the day and thanks to Matt Louey
and Philip Chan for contributing throughout the season.

Matt, Ozan, David & Philip

Our 2019 Winter team numbers are always less due to many of our players taking part in the Tennis Victoria Pennant Season.

We entered 2 teams into ERT: OS7 and initially OS9 who, after 4 matches, was switched into OS8.

And we had one team in WDTA: Mixed Rubbers B Special 2.

OS7 finished in 3rd place at the end of the home and away season. Commiserations to Bronwyn Dreher, Tim Schlatt, Jeremy Tay, Kristian Kempen and all other contributors on losing the semi-final.

Mixed Rubbers B Special 2 finished in 2nd place at the end of the home and away season. The team of James Manger, David Gibbs, Sue Smith and Renee Paterson won the semi-final with ease. The Grand Final was played at Glen Waverley TC against Glen Waverley and for the first time, Doncaster had a win against this team.

Congratulations to David Gibbs, James Manger, Gail Norman and Renee Paterson who played on the day; many thanks to Sue Smith and Michael Lee for their contributions throughout the season.

SENIOR CLUB CHAMPIONSHIPS

We again held these at the end of the Summer Season and yet again, we were challenged by the unseasonable (and absolutely unreasonable) weather conditions on the Saturday. I would like to especially thank Vicky Lee for her immense organisational skills in keeping as many matches as possible continuing between rain showers.

The patience and understanding of all participants is GREATLY appreciated by both Vicky and me. All trophies were presented on the day of each final.

Thank you to the many club members who actively supported these events and we look forward to your presence next year. Please bring sunny conditions with you!!!!

MELBOURNE TENNIS MONTH

Doncaster TC took part in an initiative promoted by Tennis Victoria in February – Melbourne Tennis Month.

There were 17 attendees on the day – a real mixture of ages and abilities. The aim was to promote our club to the wider community. Most of the children who came are already having lessons, but the adults ranged from ‘never having played’ to ‘I used to play as a junior’.

I would like to thank our Club Coach, Vicky Lee and her staff for their immense input on the courts and to the DTC Committee Management members who actively supported and assisted on the day.

PENNANT

David Lo

This year saw 3 pennant teams from Doncaster Tennis Club competing in Grades 5, 6 and 9. Well done to all teams this season. It was great to see the positive team culture building amongst all.

Grade 5 Section 3
  • Finished 3rd out of 8 teams within the Section.
  • The Grade 5 team had a great season, qualifying for the Sectional Finals against Devon Meadows Tennis Club. Although it didn’t end with the result they were looking for, it was still a very high level of tennis being played on the day.

Grade 6 Section 6
  • Finished 5th out of 8 teams within the Section.
  • The Grade 6 team had a number of good wins throughout the season. It was a close contest all the way to the final rounds for qualification into the Sectional Finals. Despite the result, it was once again a sold season for the team.

Grade 9 Section 3
  • Finished 6th out of 8 teams within the Section.
  • The grade 9 team completed the season with a fantastic result. They qualified for the Sectional Finals against St Mary’s Tennis Club (Greensborough) however were unfortunately defeated in a close contest. Transitioning from Junior competition, this was the first time for all players within the team competing in the Pennant Season. It was great to see the team enjoying the new format.

Pennant Player of the Season
The 2019 pennant player of the season goes to Ethan Butson. Qualification for this award is to have played a minimum of 4 matches throughout the season, with the winner determined by their win/loss ratio. The Doncaster TC Perpetual trophy will be presented at the 2019 Annual General Meeting held on Monday 21st October 2019.

The club will continue to advance junior players into Pennant and ensure progression through competitive singles and doubles matches. We hope to grow our team entries in years to come and further build our positive team culture.

Finally, I would like to take the opportunity to thank the captains of each team along with the individual players and emergency players for making the season so successful. We look forward to continuing our success in 2020.

HALL OF FAME – Jill Morrison

Jill was presented with a Tennis Victoria Highly Commended Service Award at the Junior Christmas Break-up in December 2018. Tennis Victoria presents just 10 of these each year so the recipients need to have contributed to tennis in VERY special ways.

Jill has been an active member of our club since 1963 both as a player and Committee member, where she has been Club Captain, Social Convenor and in recent times, Junior Convenor.

Under her guidance, the number of junior teams has risen dramatically with a corresponding rise in the number of successes in competition. She also organises the annual Junior Club Championships and annual Christmas Break-Up, with record numbers of entries in both events.

In a typical week, Jill will volunteer 15-20 hours of her time to Doncaster Tennis Club and over the years, she has actively contributed to the
HALL OF FAME
formation and selection of night tennis teams, pennant teams, weekend teams and midweek teams – as well as the junior teams. She has a wonderful ability to successfully transition players from our Hot Shots program into the Easter Region Junior Development Competition, followed by the older junior players into the senior ranks.

In 1997 Jill was awarded Life Membership in recognition of her immense contribution to our club; and in 2010, Tennis Victoria also recognised her contribution to tennis when presenting her with their Tennis Service Award.

Jill’s commitment to her juniors, our club and tennis in general is unwavering and unceasing. Congratulations on your great achievements.

HALL OF FAME – Nina Socratous

Nina was presented with a Tennis Victoria Service Award at the Tennis Seniors event at Doncaster TC in April 2019.

Nina joined our club in 1985. She became a general Committee member In 1996 and held the positions of Vice President and House & Grounds Co-ordinator for 2 years.

In 2005 she joined the Committee as Mid Week Ladies President and in 2006 she again took on the role of House & Grounds Co-ordinator. In2010 she took a well-earned break from both of these positions.

In 2014 she was again elected Mid Week Ladies President and again joined the Committee of Management and took on the role of – you guessed it – House & Grounds Co-ordinator! She continues to hold both of these positions and fulfils them both extremely capably.

In addition to her various administrative roles, Nina has been an active player in all the various competitions that the club offers – mid week, Pennant, Saturday afternoon and night time.

She has organised a Tennis Seniors tournament at DTC since 2013 and has had a record number of people attend in the last 2 events. She has co-ordinated and/or supported a variety of social events and has been instrumental in encouraging people from all walks of life to give tennis a go – and join our club!

In 2016 Nina was awarded a Life Membership at Doncaster TC in recognition of her immense contribution to our club. Her powers of persuasion are legendary throughout the club and her ability to ‘get things done’ is an inspiration to us all.

Nina is a worthy recipient of this award – well done, Nina!

MIDWEEK LADIES REPORT

Nina Socratous

I wish to thank my Mid-Week Committee:
  • Jan Freestone (Secretary),
  • Denise Gibbs (Vice President),
  • Heather Smith (Treasurer),
  • Jenny Mitchell (who keeps up the kitchen supplies for the club and does an amazing job),
  • Judy Ramanauskas, Renee Paterson, Chris Hogan and Jenny Thompson who work around the Club,
    as well as
  • all the Mid-Week ladies who take home tea-towels and clean up the kitchen etc, and
  • Margaret Dreher (who distributes all the balls to the competition teams and social play on Mondays – great job)
When we hold our yearly Tennis Seniors Round Robin in April all these ladies work endlessly on the day and make it such a huge success. We usually get over 80 players attending on the day and make good money for the Club.

We also held a Bunnings Sausage Sizzle this year and raised over $1500. I would like to thank all the people who turned up to help on the day – Vas, John, James, Budi, Shirley, Kay, Kelli, Gail, Marie, Jenny Thompson, Jenny Mooney, Jenny Mitchell and a big thank you to Chris Hogan, who helped me organise all the things prior to the day. Without her I could not have done it. She approached many supermarkets and obtained vouchers which contributed to our money raised on the day.

HOUSE AND GROUNDS

Nina Socratous

HALL OF FAME We try to keep the courts fully operational with our maintenance guy always taking care of the them. We have continued to make sure that the synthetic courts have sufficient sand on them whilst the en tout cas courts are always topped up, with the lines on courts 7 & 8 being replaced.

On 12 April we were extremely fortunate to have the team of Michelle, Debbie, Sue-Anne & Jo from Bunnings Nunawading, Box Hill & Croydon do a fantastic job at our club. They chopped, sawed and pruned much of the overgrown greenery at the back of courts 9, 10, 11 and 12 and along the pathway near court 6. To carry out this work took a mammoth 5 hours of hard work. We are extremely grateful to this hardworking team.

We ask every member to please look after the courts, bag when necessary and also keep the clubhouse neat and tidy.

As you can see, we have placed black bins on courts 2, 3 & 9 for players to put their rubbish in them, including the metal lids from the ball cans. These are very dangerous, especially to young children and should be placed in the bins.

Please consider everyone and place chairs back around the tables in the clubhouse and leave it tidy.
We are all volunteers and if everyone did what they need to do around the club, our job would be made much easier.

HALL OF FAME – Vicky Lee

The Tennis Victoria Awards were held in October 2018
and Vicky was awarded the Coaching Excellence Club or Centre award.

COACHING

Vicky Lee

Again, over the past 12 months we have worked hard to create easier and more accessible participation pathways into our Club, breaking down barriers to participation platforms such as learning the sport, meeting others for social play and forming teams. This includes a great focus on technology developments, including:
  1. A new website to receive more detailed and inclusive enquiries.
  2. New book-a-free-trial lesson avenues online.
  3. Ability to communicate instantly online via messenger services.
  4. Commencement of additional social media platforms.
  5. Coach schedule and student attendance records via smart devices.
One barrier to participation is language; in addition to our Chinese Translator, we have translators on call for all languages as required. If a neighbour or new school member has arrived in our country, encourage them to make contact and we will arrange a translator to help them into our club and welcome them.

An ongoing barrier is time-poor parents; we have developed relationships with 15 local schools and offer before school and lunchtime lessons to address this barrier. Once children are at a level of “rally, score and compete”, we recommend a transfer back to DTC and aim for representation in Club teams.

Our “Advantage Autism – The Au-Tastic” tennis program, is growing in momentum and we have a large number of children and young adults participating in this program in all levels of engagement. We look forward to more time on court with the “Advantage Autism” crew. Additionally, this program runs onsite at Bulleen Heights Autism Spectrum school.

The Squad Training platform is the ideal pathway for players to transition into competition-ready players and extend players beyond technique learning. We currently have squad training platforms available for red stage, orange stage, green stage, yellow stage and talented athletes. These five levels create a constant ongoing flow into junior teams, year after year.

Our Coaching staff was strengthened by the signing of Tennis Australia Professional Coach Ash Singh, who has an extensive coaching and playing background:

Has played tennis all his life, achieving a top 50 ranking in Singapore, and was a sparring partner to professional player Shaheed Alam. Ash has over 15 years teaching experience all over the world, from beginners, to intermediate and performance players.

Qualifications:
Tennis Australia Qualified Junior Development coach
Tennis Performance Specialist Coach (International Tennis Performance Association)
Tennis Certified Performance Trainer (International Tennis Performance Association)
Qualified Tennis Instructor USPTA (United States Professional Tennis Association) and the Professional Tennis Register (PTR)
Diploma in Sports Coaching

Additional areas of study undertaken:
Social psychology
Exercise physiology.

Vicky Lee has won numerous awards in the past 12 months:
  1. Tennis Victoria Coaching Excellence Club or Centre Award for 2018.
  2. Disability Sport Victoria Coach of the year 2019
  3. Tennis Coaches Australia – Victoria (TCAV) 2019 Coach of the year.
Vicky is currently a finalist in two award categories at the 2019 Tennis Victoria awards:
  • Coaching Excellence Club or Centre
  • Most Outstanding Inclusion Initiative – “Advantage Autism – The Au-Tastic Tennis Program.”
We continue to push boundaries to participation in all inclusion streams including deaf and hard of hearing, intellectual and physical disabilities, social and emotional disabilities. Tennis really is the sport for life, and caters for everyone, so we encourage every member to encourage their friends and families to become a part of our amazing club.

Finally, I would like to take a moment to thank the members and the committee for everything you do to make our Club the place to be. It is so welcoming and a delight to see every member using the facilities for the social, and physical health benefits. Keep hitting!
