Christmas Festival 2019 - Important Event Info

Dear <<Company Name>>,

With under 1 day to go, plans are progressing well with the Cleckheaton Christmas Festival & Lights Switch-On. Hopefully everyone has installed their Christmas Windows and are entering into the spirit of Christmas by trading the day in Victorian Dress.

We have fast approaching 7800 that have expressed an interest in attending this years event via the OFFICIAL Facebook page. [3000 at this point lst year!] Based on previous years, we anticipate that 8000+ will visit during the day and this is your opportunity to market your business to those who attend!

I have highlighted key points below and ask that you take a few minutes to read through.

IMPORTANT - FESTOON LIGHTS
Unfortunatly it will not be possible this year to install festoon lighting to Cheapside or Albion Street. This is due to scaffolding affecting both streets and the tempoary disconnection of a key cable that provides power. We have spoken directly to all businesses on these streets and thank them for their understanding.

**If you trade next to a NEW retailer/business etc.... can I ask that you print a copy of this email and let them have it to ensure they are "in the loop".**

Regards,
Nichola & Mark

Event Safety Officer
A condition of the road closures has been to employ the services of an Event Safety Officer. This person has overall control of the event and automatically overrides ANY Chamber of Trade Member/Organiser. Our priority is to ensure the safe running of the event as a whole and his decision in relation to Roads, Attractions, Crowds, Stalls etc is final!

Event Security, Marshall & Crowd Management
This year we have again engaged Pulse Rate Events to oversee the festivals security and Marshaling. Pulse Rate are an experienced, Hull based company which provides various Health & Safety related services with one of their main clients being Hull FC. In addition we have a volunteer group, traders and Cleckheaton Rotary Club on hand for the day.

Medical & First Aid
A fully equipped Ambulance will be located on Cross Crown Street for the duration of the event. This will be managed by Pulse Rate Events.  Should anyone require help or assistance, please contact a member of either Security, First Aid or Marshall who will be in radio contact with the Ambulance and will ensure help is given.

Event Stage & Fair Ground
This will be return to the bottom of Northgate & Market Street. The fairground will fill the remainder of Market Street & small Crown Street Car Park. The fair will again be run by Herbert Hirst.

Our own event stall & Tombola
This is a major income generator for the Chamber and contributes approximately £750 towards the cost of running the event. Again, if you can spare some of your time etc, it would be extremely welcome!

Savoy Square
This will house a Marquee for Father Christmas and operate from 12noon. The focal point will be a traditional Carousel and side stalls, with small catering outlets & festive petting farm.

Market Stall Locations [as last year]
Northgate - In the parking bays
Cheapside - opposite the parking bays
Albion Street - in the parking bays

This plan is now CONFIRMED with Kirklees and we CANNOT make any amendments. The stalls will be erected from 5am and we will do our best to ensure suitable access to stores/businesses, **Those with concerns should be present at 5am to help with their arrangement! - once erected they cannot be moved/tweaked!**

Market Stall Traders
Stall holders have all agreed to trade 9am until 6pm with traders asked to run their stall in Victorian Dress to create an atmosphere and buzz. An agreement is in place to ensure all stallholders trade safe! Should ANYONE have ANY concern regarding a stallholder, safety or items being sold; then an event Coordinator/Marshall should be contacted in the first instance.  All stall holders MUST remove their own rubbish at the end of the day to ensure that the Town Center is tidy for the following days Remembrance Parade.

Road Closures
These are in place from 6pm Friday 15th November and affect Northgate, Market Street, Cross Crown Street, Cheapside, Albion Street and Crown Streets 'small' Car Park. Access for loading & unloading will be limited on Saturday 16th between 7am & 9am when all vehicles have to be removed. Only on the instructions of the Safety Officer, Jon Hilton will roads be re-opened for vehicle access & we expect this no earlier than 6/6.30pm.

**If you are expecting a delivery or need access to a vehicle in a service yard affected by the closures then you will have to make alternative arrangements prior to 6pm on Friday 15th, unless already agreed.**

Restriction FREE Parking
I am please to say that we have been able to agree with Kirklees Council that all parking restrictions will be lifted on the day of the event. [Kirklees Car Parks only] They have been extremely supportive and this means that our visitors can enjoy a stress free day out. However..... we CANNOT guarantee that restrictions have been lifted in private car parks and ask that you adhere to their signage before choosing to park.
