Payroll Users Need to Install 2020.1 Update: Because Sage 50 version 2020.1 addresses changes to payroll tax calculations for the new year, all payroll users need to install the 2020.1 update before their first January payroll and before installing the January payroll tax update. Since the 2020 tax tables haven't released yet at the time I'm writing this I haven't been able to test to find out what would happen if you don't install the upgrade before doing payroll, but I'll take Sage's word for it. Here is a quote from their announcement.

As previously mentioned, Sage 50—U.S. Edition 2020.1 includes payroll updates required for compliance with the revised Form W-4 for payroll tax year 2020. Before you process your first payroll for 2020, you must upgrade to version 2020.1 and then update your payroll tax tables at a later date. Failure to do so will cause your software to be unable to accommodate the 2020 IRS-mandated changes to the Form W-4 and their associated tax calculation adjustments. The payroll tax table updates for 2020 will be available later in December.

Sage 50/Peachtree Tip - New Withholding Info Tab

As I mentioned in my October newsletter, the IRS has released a new W-4 form to be used starting in January 2020 (read the FAQ for details if you haven't already.) The new form is considerably different than the old one. So different, in fact, that Sage had to redesign the Withholding Info tab of the Maintain Employee's window. Here's what you need to know about the new screen.
  • Existing employees don't need to fill out a new W-4 unless they want to change their withholding. But starting in January all new employees must use the new format. Because of that Sage had to accommodate both styles. So there's a new check box in the upper left section of that screen labeled "Employee uses W4 prior to 2020." This box will automatically be checked for your existing employees.
  • For all new employees, clear that check box to enable the new fields that correspond to the new W-4 form.
  • If existing employees want to adjust their withholding in the new year, they must fill out the new form W-4. When they do that, you need to clear the "Employee uses W4 prior to 2020" check box.
  • The default setting is to turn off the "Employee uses W4 prior to 2020" setting for new employees. So if you hire someone before the end of 2019 be sure to check the box (I mention it because I've already gotten this question.)
  • Don't overlook the "Multiple Jobs" check box. It corresponds to section 2 of the new W-4 and affects how the employee's taxes are calculated. It's intended to prevent employee's with multiple jobs from under withholding and ending up with a large tax bill because their wages at each job don't accurately reflect their total earnings.

Excel Tip - Jumping to Precedent or Dependent Cells

In Excel, the other cells that are referred to in a formula are called precedents. Conversely, the cell containing the formula is a dependent because it needs the cell containing the data to complete its function. I’ve written before about the ability to trace precedents and dependents, But I recently learned two keyboard shortcuts that take you to your current cell’s precedents or dependents.

Ctrl+[ will move your cursor to the precedent(s) of the current cell, that is, the cell or cells that a formula in the current cell refers to.
Ctrl+] will move your cursor to the dependent(s) of the current cell, that is, the cell or cells with a formula that uses the current cell.

Some of you are asking why anyone would want to do that. Here are three good reasons.

  1. Checking Formulas. If you want to quickly check to make sure your formula is pointing to the right cell, Ctrl+[ will take you to the cells referenced in your formula. Then Ctrl+] to get back where you started.
  2. If you’re thinking of deleting or changing a cell but don’t know what it will affect, Ctrl+] will tell you if it is used in any formulas.
  3. Formulas now become shortcuts to help you navigate large spreadsheets, allowing you to jump between and detail sections and totals.
