Dear DOCF Affiliates, Friends, and Members
 
Happy New Year! As we embark on another year, as is often done, I have reflected on our past accomplishments of the season. Along the way we have had a few misses, but assuredly, we have reached several milestones:
- We retired our largest debt: the mortgage on the Delta Center! A host of thanks to those that sacrificed and contributed: YOU made it possible. 
- DOCF Programs expanded our mission through actions to improve the lives of women and their families. Under the leadership of Pamela Murphy Lewis and Charleta Wylie we grew our community partnerships. It is with heartfelt joy that we will host our first month of Room In The Inn (RITI) beginning January 18th. 
Deltas of Charlotte Foundation will partner with the Urban Ministry Center to provide shelter and food for ten homeless women during the winter months of January 2020 through March 2020. The Delta Center will be utilized as temporary shelter for one weekend a month for three months with the greater goal of offering a loving relationship between women experiencing homelessness and members of the Foundation. We are grateful for our partnerships with Elevation Church, Brownie Troop 870, and Charlotte Alumnae Chapter of Delta Sigma Theta for their support. Your individual donations have been very generous, now we need YOU to extend compassion and positive vibes with your presence. I encourage you to sign up below. 
- Under the leadership of DOCF Vice Chair, Sabrina Richardson, we saw another successful Legacy Film Showcase and an added feature to include Student Film Showcase: Student Stories. We moved away from the Bachelor Auction and introduced a new signature event “Bow Ties & Pearls.”
As the Delta Center ages, we will move forward with another capital campaign in the near future to ensure we maintain our asset and add needed enhancements. 
-Strategically we are working to assess and define DOCF’s niche in the community while overcoming today’s challenges. 
- Financially, we continue to look for additional revenue streams in order ensure that we have the income and reserves to sure up our position as an organization. We continued our partnership with CAC in support of the Debutante Cotillion. In addition, DOCF partnered with CAC to launch the inaugural Scholarship Gala. 
- In April, we will have an opportunity to select a new leadership team. This is an enormous opportunity to define the future and legacy of the vision for the Foundation that started over two decades ago. Simply put: we need you. Please take a moment to view the open positions and requirements below. 
- In our humble beginnings, DOCF sought to be the fundraising arm of the Charlotte Alumnae Chapter. As we have matured and the risk framework changed, it was necessary to distinguish DOCF as a formal third party of the Charlotte Alumnae Chapter. To that end, we are able to extend our membership to non-Deltas. Norva McGee and Tracy Woodard have taken on a yeoman’s task of integrating our new members, and navigating the sometimes complicated nuances of expanding our membership footprint. Thank you ladies! Our Affiliate members have hit the proverbial ground running. 
- A huge “THANK YOU” to the Facility Management team that keep the proverbial lights on and keep the Delta Center available for the public. 

To all board members and supporters, we appreciate you. I ask that you lean into what is kind, what is responsible, and quite honestly, what is needed. We have accomplished a great deal. Someone once said that “life is not about waiting for the storms to pass. It is about learning to dance in the rain.” As we move forward, I am reminded of the light, drive and inspiration of one of our beloved members that we recently lost. In her spirit I close with this: we have done some good things, but friends, put on you rubbers and ponchos, because we have s@!t to do.

DOCF Nominating Committee

Strategic Leadership

The DOCF Nominations Committee is seeking to fill the slate for all Executive Committee offices and six (6) vacant board seats, for the upcoming biennial. Viable candidates must be in good financial standing with DOCF. Please see the following description of the impending open positions:
 

ELECTED OFFICERS

Officers are expected to make a financial commitment to DOCF.  In order to serve as an Officer, a member must have paid a $300 Commitment Fee and pledge an annual commitment at the time of nomination with the funds paid by the end of the calendar year. The minimum for the annual commitment is $100 and does not include ticket purchases. 

Chair

The Chair shall be the Chief Executive Officer of DOCF and preside at all meetings of the Membership and the Board of Directors.  She shall have general management and control of DOCF and all business affairs.  The Chair shall sign all documents on behalf of DOCF unless another person is granted that authority in writing.  The Chair shall be an ex-officio member of all committees except the Nominating Committee. 

Vice-Chair 

The Vice-Chair shall, in the absence of the Chair, exercise all powers and perform the duties of the Chair as described above. In addition, the Vice-Chair shall generally assist the Chair and exercise other powers as prescribed from time to time by the Board of Directors. The Vice-Chair shall be Chair of the Fund Development Committee. 

Recording Secretary 

It shall be the responsibility of the Recording Secretary to maintain all official records of DOCF. She shall keep accurate minutes of the Board of Director meetings and General Body meetings; determine if a quorum is present before the transaction of business; send notification of the General Body meetings to the membership; and maintain correspondences received by DOCF. She shall perform all duties incident to the office of Secretary. 

Assistant Recording Secretary 

It shall be the responsibility of the Assistant Recording Secretary, in the absence of the Recording Secretary, to exercise all powers and perform all duties of the Secretary as described above. The Assistant Recording Secretary shall generally assist the Recording Secretary, send notification of all meetings and maintain all correspondence.  In addition, she will maintain the attendance record for all Board of Directors Meetings and shall monitor Board of Directors’ absences. 

Financial Secretary 

It shall be the duty of the Financial Secretary to receive, receipt and submit all monies to the Treasurer for deposit. The Financial Secretary shall maintain a record of all receipts. It is also the responsibility of the Financial Secretary to maintain a current contributor roster, including contributions by DOCF Officers, Board of Directors, Affiliate Members and DOCF Advisors, to be provided annually to the Board of Directors. The Financial Secretary shall serve as a member of the Finance Committee. 

Assistant Financial Secretary 

The Assistant Financial Secretary will be the primary financial officer responsible for CAC Cotillion receipts and will generally assist the Financial Secretary with her duties. It shall be the responsibility of the Assistant Financial Secretary, in the absence of the Financial Secretary, to exercise all powers and perform all duties of the Financial Secretary as described above. The Assistant Financial Secretary serves as a member of the Finance Committee. 

Treasurer 

It shall be the duty of the Treasurer to maintain all financial records for the organization in a complete and accurate method. The Treasurer shall deposit and disburse all funds as requested and authorized by the DOCF Chair and the Foundation, keeping written accounts of all transactions. The Treasurer shall serve as Committee Chair of the Finance Committee. In addition, the Treasurer shall provide a financial report monthly to the Board of Directors at the Board of Directors meeting, and at each regularly scheduled DOCF General Body meeting. Additionally, the Treasurer shall provide financial reports as required by any Memorandum of Understanding between DOCF and CAC. 

Assistant Treasurer  

The Assistant Treasurer will be the primary financial officer responsible for CAC Cotillion finances and will generally assist the Treasurer in all activities related to budget development and expenditures.  It shall be the responsibility of the Assistant Treasurer, in the absence of the Treasurer, to exercise all powers and perform all duties of the Treasurer as described. The Assistant Treasurer shall serve as a member of the Fund Development and Finance Committees. 

ELECTED BOARD MEMBERS (AT LARGE) 

The Elected Board Members (at-large) of DOCF shall be elected by the Membership to serve a two (2) year term. No Elected Board Member (at-large) shall serve more than two (2) consecutive terms in the same elected position. 

Six (6) Board Members (at-large) shall be elected each fiscal year for a two-year term (staggered terms).

Duties and Responsibilities 

Each Elected Board Member (at-large) is expected to actively participate and lead DOCF efforts by serving as a DOCF Committee (or Sub-Committee) Chair or Co-Chair.  The Chair or Co- Chair position will be appointed by the DOCF Chair.

DOCF FINANCE

Fiscal Management

Donors who contributed at least $100 to the Deltas of Charlotte Foundation (DOCF) in 2019 will receive an emailed Tax Donation Letter no later than Friday, February 7, 2020.   

Contributors to the cotillion, please refer to your emailed receipt.  Tax letters will not be provided.  If you have any questions, please send them to docftreasurer@gmail.com.  Thank you.
