President Message

Warm Greetings to all members,

Greetings to all clubs and Societies,

Welcome to a new year of photographic activities and events! While the festive and holiday season came and went the VAPS committee were busy behind the scenes working hard to finalise many finer details and arrangements for the 2020 Interclub, the all new look website, update insurance and liability details and gather the final information needed for our convention.

This year our convention in Wangaratta is going to be wonderful. Emphasis on Travel and Landscape but not forgetting portrait and the finer points of printing. In the coming days I urge you to all take a close look on our re-vamped website and check out the information posted on what to expect this year!

Register early and be part of the programme, its one not to be missed.
There will be at least one free workshop/shoot offered on the Saturday, Sunday and Monday for all those that register!

The half yearly VAPS meeting is coming up in March and I encourage every club to have at least one representative there to hear the latest news and information. I will have just returned from my Arctic workshop in Norway in time to attend and would love to catch up with as many of you as possible.
Enjoy your summer photography everyone

Warmest regards to all

Ian Rolfe (President VAPS)

VAPS Information
Interclub News

Several changes to the VAPS Interclub upload system have been made over the last few months that took a lot of testing to get it right.
  • As we have lost the facility to copy award winning prints for the catalogue all Clubs must upload digital copies of print images. This includes representative images of any AVs submitted.
  • In the event that a camera manufacturer again offers a prize for the best image taken with their brand of camera all members should include EXIF Metadata (specifically camera type) with their images. Missing EXIF Metadata will not affect the Interclub entry but will affect the chance of getting that prize.
  • The Interclub upload system also now has the facility for clubs to complete the AV ID Information and application form online.
  • Clubs are asked to use Wetransfer or Dropbox to send the AVs to interclub@vaps.org.au instead of including a flash drive (memory stick) with the print bags.
  • All club logins older than 12 months will be removed. If you have to create a new login please ensure that you include the club name in your login ID. Club names should not be abbreviated, for example, to CCC for Casey Camera Club as we have several clubs that have similar abbreviations. The word “Casey” would be adequate or Casey CC. in 2021 we will remove all logins that do not have the club name in the Login ID.
  • Titles longer than 30 characters will be rejected by the upload system
  • Titles can only have letters, numbers and spaces. No special characters or punctuation marks will be accepted.
Website News

Attention to all club committees: Re Meritorious and SSVAPS awards

Please go online (login and go to “Camera Clubs – Awards Information”), on the VAPS website, and complete your applications for Meritorious and State service awards by the 29th March which is the half yearly VAPS general meeting.  No costs in regard to the medals for these, but we need them in, by the due date, so that we can get citations written up and medals engraved.  Also please, please give lots of details to help me with writing the citations. Years of service in each category helps to correctly assess each application so send this information if you have it.  If not, give as much information as you can.

Also your applications for year bars are due by this date.
They have been reduced and are $10.00 for each medal, but with a new design, we hope to reduce prices even further in the future. As for Meritorious and Service Awards the Year Bars application form is on the website.

Mounting Techniques
Over the last few years we have had several issues with the mounting of prints for the annual Interclub competition and exhibition.

Poor mounting techniques
  • Insufficient tape mounting the print to the mat board
  • Insufficient double-sided tape where the backing board was the same size as the front mat board.
  • Sticky tape used to adhere the backing board to the front mat board instead of masking tape.-Total thickness greater than 5mm. Thick prints take up more total space and hence a transport problem.

Understandably members have been upset when their prints come back damaged. As prints get handled up to 18 times during the judging/exhibition process, it is necessary for both the exhibition personnel and the print owners to protect prints appropriately. With this in mind it would be an excellent step if comp stewards could promote the following requirements, so that their members become familiar with what is expected for the VAPS exhibition. Some clubs have changed their club rules to comply with VAPS exhibition rules to achieve this.

Most clubs already use the A2 art folio/folder. These are available from Office Works at a cost of $60. (recommend: Jasart A2 College Portfolio). The cheaper ones tend to fall apart after a while. Fifteen prints, if mounted appropriately, will comfortably fit into this type of folder.

Because of this need to fit the required sized folder, there is a problem with the thickness of the mounted prints. The problem arises when some members use 5mm foam core backing instead of a piece of mat board taped to the back. This makes the finished print thicker than 5mm and the total thickness of 15 prints is then about 90mm which will not fit into one folder. Hence some clubs have sent their prints in a cardboard box or Australia Post bag.

5mm foam core backing is banned from 2019. Those members who persist in using foam core backing may use 3mm foam core backing which is readily available. Total thickness of 3mm foam core and 1mm mat board will be a bit over 4mm.

To ensure print protection, please promote the following:

Prints must be mounted correctly so that the mat board does not separate from the print or from the backing board. If you use double sided tape it must be at least 20mm wide and completely taped around all four sides. 10 mm pieces of tape do not adhere long enough.

Good quality masking tape (not cheap painters’ masking tape) is available from any hardware store. Framing tape is preferable for attaching the print along the whole top edge to the mat board.

Prints must not be wrapped in cellophane as it has to be removed for judging and therefore creates extra handling and work for the volunteers.

Prints that have backing thicker than 3mm, or start to fall apart because they are not mounted correctly, will be withdrawn from the judging and the exhibition. In 2019 seven prints were removed but three were replaced by the clubs in time.

We ask that clubs change their practices and rules so that members do not have to prepare their prints specially for the VAPS Interclub.
VAPS Interclub Upload System
VAPS UPLOAD SYSTEM FOR THE 2020 INTERCLUB

The system will open on Monday 3rd of February.

Clubs must note that this year in addition to EDPI requiring an image to be uploaded Prints and Audio Visual entries also need to have a digital image of the print and a representative image of the AV uploaded.

If Clubs have lost their login or password, you can request a new one from the log in page.

The VAPS upload system can be found on the VAPS website under the Competitions tab, or directly at vapscomp.org.au

The cut off for entries is Sunday 29th of MARCH, after that date the system automatically closes, and entries cannot be accepted online.

Prints must be delivered to the Half Year meeting on that date or by arrangement as previously advised to club Secretaries.

Note for convenience Audio Visuals can be sent by WeTransfer or Dropbox to interclub@vaps.org.au at any time up until the close off date.

The AV ID and Information form must be completed and that can also be uploaded into the VAPS system when entering AV information.

Alternatively, it must be included with your AV entry sent vie the above Internet Upload system.

Any queries please contact the VAPS stewards via the upload system page

VAPS Website
The new website is now live.
https://vaps.org.au/

Please explore the site so that you become familiar with it. We have tried to make it user friendly. The development of the site is an ongoing process and as we find issues will update them.

Some areas of the site require a login. These areas are used by relevant members of your club committee.
  • Uploading club member images to the club gallery
  • Annual Club Affiliation (membership renewal)
  • Application for Year Bars and Awards
  • Club contact details
  • Victoria Judges list - for use by your competition steward
So if you can't login, please don't contact us as it is more than likely that your club committee has not given you login details as you don't require them.

The 2020 convention details will be updated as we develop and finalise the program and the convention fees. Some convention information has already been posted.

Exhibitions and What's On
Focal Point Darkroom & Gallery is Geelong’s centre for photography and we would like to welcome groups from visiting camera clubs.

We have a new and exciting exhibition in our expansive gallery every month. Our reference library consists of almost 700 books on photography, and we have the largest and best-equipped public-access darkroom in Australia.

We are currently installing a small studio, which will be suitable for portraiture and product photography. The studio will be fully equipped and, best of all, will be available for hire from professionals and amateurs alike.

Groups are most welcome and we can tailor your visit to suit the needs of your members. We can include a workshop on darkroom techniques or film photography in general, or simply a demonstration of producing prints in the darkroom. If your members have no interest in the darkroom I’m sure you will enjoy the exhibitions in the gallery and we will put on morning or afternoon tea.

We can also host club exhibitions, events and meetings.

There are often other great photography exhibitions in Geelong, and the region is teaming with great photographic locations, so why not make a day or a weekend of coming to Geelong and include Focal Point Darkroom & Gallery in your itinerary.

Give us a call or send an email for more information on how we can welcome your group.

Cheers,
Watto.
