Meeting Minutes - 13th January 2020

Dear <<Company Name>>,

Please find below, minutes from the January meeting.

Our Annual General Meeting will be held at St Johns Church in Cleckheaton from 5.30pm on Monday 10th February 2020. .

Unfortunately, due to work commitments, our President Ray Norris, has had to tender his resignation. Therefore, we have no present nominees for the position of President. If anyone would like to be considered for this position for the upcoming financial year, please contact the secretary, James Shingleton, by email at jamesshingleton@brearleyssolicitors.com or by telephone on 01274 864002.

In separate news, we had a really positive news story broadcast on Calendar News on Thursday 16th January. Thank you to all traders that took part with interviews. Special thanks to Fiona Shackleton of Fine & Dandy Marketing for co-ordinating this and for representing the Chamber in the broadcast. If you haven't seen the news piece, take a look on facebook.

We are very positive about the upcoming financial year. Please come along to the AGM and join with us in representing our community.

Look forward to seeing you at the AGM on Monday 10th February.

Kind regards,

  1. Presentation by Stephanie Tague and Bob Boocock regarding 1960’s weekend
Stephanie and Bob had asked to attend the meeting to discuss their plans to hold a 1960’s weekend on the 15th August 2020.
They confirmed that they had 4500 members on the Cleckheaton Whats on page and they have now created a Cleckheaton Town Events page on Facebook with a view to arranging future events in the town.  Bob Boocock is the chairman of the group, Stephanie Tague is the treasurer.  The group has a constitution and are inviting new members to join and assist in putting on events in the town.    The main focus at present is the 1960’s event and they are currently finishing the licensing application.  They are looking to close the car park on Crown Street for the event as they plan to have some Marquee stalls and potential street performances.  They are hoping to have approximately 1000 to 1500 visitors at any one time in the town and they are working with businesses and pubs.  They have eight pubs that have already agreed to take part in the event and have 1960’s themed performances and live acts.
Stephanie stressed that they are not looking to step on the Chamber’s toes and want to work in synergy with the Chamber.  If any members would like to get involved, they can contact the Facebook group or email at Cleckheatontownevents@gmail.com
Stalls are likely to be pop up tents/Marquees and there will be no fixed market stalls.  The planned road closures are only likely to be for the entertainment.
Sharon Colledge believed that Saturday was the wrong day as it affects business in town and will contribute to filling the car parks with visitors for the 1960’s event.    The pubs and cafes will do well out of this but she is concerned that it does affect the independent retailers.  She also raised concerns about closing Cheapside and Albion Street if there are no plans to hold stalls.
Cleckheaton Town Events next meeting is on the 5th February 2020 at Rose and Crown at 7.30pm. Stephanie asked that anyone intending to attend that meeting needs to let them know beforehand to become a member.
  1. Minutes of last meeting
Minutes of the last meeting were approved as a true record with no matters arising.
  1. Election of officers
RN asked whether there were any candidates in the room who wish to be considered for nomination as an officer for the next financial year. No one raised their hand.  David Sugden confirmed that he was happy to continue as vice president, JS confirmed that he was happy to continue as secretary, RN said that if no one else comes forward he would be happy to carry on as president and NG, who joined the meeting later confirmed that she would be happy to continue as treasurer provided no one else came forward.
*ON THE 20TH JANUARY 2020, RAY NORRIS CONFIRMED THAT DUE TO UPCOMING BUSINESS COMMITMENTS, HE FEELS UNABLE TO CONTINUE IN THE ROLE OF PRESIDENT AND THEREFORE GAVE NOTICE TO RESIGN FROM THE POST OF PRESIDENT AS FROM THE 10TH FEBRUARY 2020.
  1. Marketing
Fiona Shackleton had come up with an idea for membership benefits to circulate and to offer different levels of benefits and sponsorship options.
Fiona confirmed that Victoria from Calendar news had been into Cleckheaton twice, before and after Christmas, and that Calendar would be broadcasting live from Cleckheaton at 5.45pm from Victoria Court on the Thursday 16th January.  Fiona confirmed that she will put a post out on the closed Facebook group to see if anyone would like to come along and contribute towards the broadcast.

Kirklees had also contacted Fiona on Facebook regarding their events magazine and they are wanting to put the events in Cleckheaton into their publication.  Fiona said that she would respond on behalf of the Chamber.

  1. Treasurer’s report
NG confirmed that the balance on the account was £4,671.50.  There is still a need to pay for the 8 additional stalls that we had at  the Cleckheaton Christmas Festival and £140 to pay to Hollybank.
There is further money due from the Fair at the Christmas festival but the additional amount is to be confirmed.  There is also the £1,670 Grant money still to be deposited in the account.  Mark Hepworth has chased this up with the Council.
NG confirmed that the race night will take place on Saturday 14th March at 7.30pm.  It will be £5 per ticket with the first race starting at 8pm.
NG also talked about other events that we could hold during the year to raise further funds.  She said that we could possibly have during the Easter period a car treasure hunt and/or a trolley dash in Tesco’s car park on Easter Sunday.  The Easter Egg Hunt could take place on the Saturday before Easter.
In May, we will be having the Superheroes Day on a date yet to be confirmed.  In June there is nothing planned as yet but Sharon suggested that we could possibly hold a Summer Market and use Market stalls on the street.  In July we have the Folk Festival and will likely have a Stall again to raise funds.
Sharon Colledge thinks that we should have regular markets like the monthly farmer markets.  We could even possibly encourage the existing stall holders at the farmers market to take part in the market on the streets.

  1. Spacehive
JS confirmed that we would submit an Application to Spacehive.  This would be a crowd funding project to raise approximately £4,600 for a new festoon of Christmas lights on Cheapside and Albion Street.  No lights were erected this year due to the fact that the present festoon is beyond repair.  JS confirmed that he would submit the application within the next month.

  1. Suggestions for next years venue
The three venues to be considered at the AGM will be as follows:-
  • Rose and Crown
  • St Johns Church
  • Wickham Arms
  1. Three year plan
JS suggested that the slides from the three year plan presentation should be sent out as a PDF along with the minutes.  Fiona confirmed that she would send the membership proposal/sponsorship options to JS also so that these can be circulated after the AGM.
  1. Planters
RN confirmed that the cost to supply 1200 wide x 300 deep x 300 tall decking board would be £38.73 plus VAT each which equals £46.47.  RN worked out that we needed approximately 22 new planters which would be a total cost of £1,022.34.  This would not include the plants or soil.  Papyrus are to be asked to provide a quote for the planting of any new planters.  The costs for sponsoring a planter will be included in the membership package
  1. CGLA
Caz Goodwill, secretary of Cleckheaton Gomersal and Liversedge Association (CGLA) was invited to attend the meeting by JS.  JS confirmed that she is welcome to attend any future meetings so that she can keep the members of CGLA updated with what the chamber is doing.  Similarly, Caz confirmed that someone from the chamber is welcome to attend their meetings.  They meet once a month at the Wickham Arms on the third Thursday of the month.  Caz provided us with some leaflets to distribute.
  1. Any other business
ST Johns Church are holding a Burns night event on Friday 24th January.  A poster was on display in the church and everyone is welcome to attend.
