Items of note for this week

Time for staff to step up and complete their admin

As we approach the end of the month and end of the quarter, all staff need to ensure their administration items such as CM9 and IRIS for projects, time sheets, vehicle log sheets, and so forth, are up-to-date as soon as possible. All staff need to be good citizens when it comes to their admin, otherwise it causes major headaches for team members who require that data to complete other tasks. This is a great opportunity for staff to get some good seven virtues karma.

Workplace Live event rescheduled, further updates to come on email Monday afternoon

With a number of updates regarding COVID-19 and ongoing work arrangements due to be made to DPIE (Tim Reardon, Secretary of Premier and Cabinet) and LLS (David Witherdin, CEO) on Monday afternoon, the Workplace Live event has been rescheduled until 11 am tomorrow (Tuesday) morning. Apologies to everyone that had scheduled it in for this afternoon, but with the updates to come out this afternoon, it wouldn't have allowed Erlina to provide the most up-to-date information for staff.

DPIE LLS Western Workplace group — live video update with Erlina at 11 am on Tuesday, 24 March.

Events, meeting and non-essential travel on hold

As per the emails and other announcements from among others, Erlina and David Witherdin, last week:
  • our events have been postponed until further notice
  • face-to-face meetings will change to video conferencing where possible or be postponed, depending on the circumstances
  • for events/meetings that are organised by others which you plan to attend, you must discuss these opportunities with your supervisor and have their permission to attend
  • interactions with our customers, such as property visits, should only go ahead if necessary and if strict health guidelines can be adhered to, such as:
    • checking with the landholder to make sure they are comfortable for you to attend
    • ensuring everyone is feeling 100%, any less and they should not attend
    • maintain accurate records and contacts for the people involved in the visit/interaction
    • no physical contact, including hand shaking, and where possible limit contact to no closer than 1.5 metres
    • everyone providing their own lunch/consumables
    • washing hands regularly and using hand sanitiser.
At this stage, staff are to continue to work on events which are scheduled to occur in the second half of the year, however, if you have any concerns or questions about this, please discuss with your supervisor in the first instance. If you are planning to undertake field operations, or are called to do so at short notice, please ensure the above guidelines are met, and if you are unsure or uncomfortable at all, discuss with your supervisor.

Personal and office hygiene

At all times, but particularly in the current environment, staff should ensure they are keeping good personal and office hygiene. Things like ensuring you are washing your own kitchen utensils such as plates, cups and cutlery, and storing them in the appropriate spot, as well as keeping your office and communal spaces clean, are all tasks that individuals need to take responsibility for.

Work, health and safety incident report

Staff that log a work, health and safety incident are reminded they need to contact their supervisor immediately so they are aware an incident has occurred. This contact should be via a phone call to ensure the supervisor is immediately aware of the incident and the time frames for it to be logged (24 hours) and investigated (72 hours).

Minister appointed Board members — internal announcement

At the end of last week, the General Managers of the 11 LLS regions were informed of who had been appointed to the regional LLS Boards by the Minister for Agriculture, Adam Marshall. In Western, there were three positions available, which have been filled by:
  • Magnus Aitken (Chair)
  • Lawrence Clarke (member)
  • Hugh McLean (member)
Congratulations to Magnus, Lawrence and Hugh on their appointments. For Lawrence and Hugh, their first board member will be via video conference in May. An announcement regarding these appointments will be made once the ratepayer election has been held.

LLS ratepayer elections — time to request a voting pack

Now is the time for eligible LLS ratepayers to select how they wish to vote in the upcoming ratepayer election. Ratepayers have two options:
  • postal voting pack — need to apply by 5 pm Monday 30 March
  • electronic voting pack — need to apply by 6 May
Ratepayers can make their selection via the LLS website or by visiting our offices and completed a paper based form.

The paper form can be found here. A poster to be displayed in our offices, and around our local communities, was circulated to a staff member in each office on Friday by Charlie.

All eligible ratepayers will take to the polls from 9 April to 8 May, with eligible ratepayers automatically included on the electoral roll.
