Dear Valued Tenant

On the 11th of March, COVID-19 was upgraded to a Pandemic by the World Health Organisation. At that time there were over 100,000 cases world-wide and over 4000 deaths.  Schools have closed down in the worst-hit countries. New Zealand has eight confirmed cases but the worst-case scenario forecast by the ministry of health for NZ is that 40% of the population catches it over an 8 week period. This could mean 30% of staff being unwell and unable to work. It could mean hundreds of elderly at risk with health services unable to meet the demand.


PRACTICE DRILL - Charta are taking action and have implemented a contingency plan for our staff, clients and customers. Tomorrow the 16th March we are doing a practice drill where we close the office and everyone works from home.

ACTION PLAN

There are a couple of scenarios that we are preparing for and that may or may not effect our service to you.

SELF ISOLATION - Apartment Buildings

If you have to self isolate we would appreciate it if you would send us an email and notify us of the end date of your isolation.  We will be leave a small number of signs in a handy place in the building for use of tenants.  They will simply state that you are self isolating you can write more information on these if you wish.  You do not have to use these, they are simply a courtesy message for other tenants and our staff.

STAFF: are taking precautions and will use face masks and gloves when attending viewings, inspections, installs and vacates.  We have provided them with anti-bacterial wipes and have hand-sanitiser on order and recommending they use these.  They have been briefed on practising good hygene etc.  This is a precaution for both staff and tenants.

OFFICE CLOSURE: If we should have to close the office, the team is well set up to work remotely.  In the case of a complete staff lock-down we will have to postpone all field work for 2 weeks.  That includes viewings, inspections, installs and vacates.  If your property is affected by this we will immeidately contact you and reschedule where possible. We have requested they cancel/postpone any overseas travel for the duration.  
If someone in the office is confirmed with Covid-19, the entire staff will be quarantined for 2 weeks, tested and working remotely for the duration.  Because we are not supposed to leave the house for the duration, we will only be attending to essential services, via phone.  This amounts to urgent maintenance matter and lock outs only, as we have contractors who can do this for us.

After the 14 day period and we have results, we will return to work as normal. We will inform you should the situation arise.


ADMIN:  Because our administration systems are automated and cloud-based we are able to access remotely.  Our administrative staff are able to work from home and make sure that your rent is paid and water bills go out.  If there is any delay, as above we will let you know as soon as possible.

POSSIBLE MAINTENANCE DELAYS:  If our contractors and maintenance people are unavailable we have sourced "back-up" contractors for the short term.  It may be that we will have to concentrate on urgent maintenance and repairs only and postpone non-urgent ones.  If this happens we will inform you as soon as is practical and ask for you understanding when it comes to completing maintenance issues.
