Welcome to this edition of the RIW Transition Newsletter.

Your ‘to do’ list 

Planning: Depending on what type of RIW Participant you are (an operator, a contractor, labour hire or sole trader for example) you’ll have to do a certain amount of planning ahead of the changes. There are working groups being established to enable RIW Participants to support one another throughout the transition process; these groups discuss a variety of topics and receive direct information from ARA and MTA regarding the transition plan, documents, areas to address etc. If you think participating in a working group may assist you or the people in your organisation please email us at riw@ara.net.au    

Data accuracy: It’s important that your details are up to date in the RIW system. Right now, you can make sure that, at minimum, your name and contact information is correct. That way, there won’t be any issues when the new smartcards are issued down the track.  

Surveys: This week key personnel working in organisations that participate in the RIW Program will receive an email from network operators regarding two surveys that have been established to collect information and support the detailed planning required for transition.   
 

Goings On   

Throughout the initiation, planning and design phases of transition:  

The National Rail Industry Worker Governance Committee (NRIWGC) has been initiating activities within their respective organisations to support transition including:  

  • Identifying key personnel in their organisations to inform and support transition activities.   

  • Coordinating supplier, contractor and project contact points and identifying important information that those stakeholders will need.  

  • Preparing plans and schedules to ensure that internal staff and external suppliers have the knowledge and ability to work effectively after the go-live date of 30 March 2019.   

  • Working with other members of the committee, together with the ARA and MTA, to identify and resolve risks, issues, dependencies, constraints and test assumptions.  This work has also included design, configuration and customisation conversations, as well as discussions regarding changes to the way the RIW Program is designed and administered.   

  

Metro Trains Australia (MTA) has brought onboard several key employees and delivered a variety of presentations and workshops to various stakeholders. These presentations have been designed to: 

  • Raise awareness about the transition and the role of MTA.  

  • Gather additional requirements from a broad range of stakeholders, including Network Operators, Primary Contractors, Authorised Health Professionals and Registered Training Organisations.   

  • Share information, guidelines and templates to support industry through transition.   
     

This week one of MTA’s key partners, Reference Point, visited Australia to deliver system demonstrations and continue the development work required to integrate solutions components.   

  • The ARA has been supporting the NRIWGC and MTA, as well as the contractors and operators we’ve heard from since the announcement in September. The riw@ara.net.au mailbox receives regular queries on a wide variety of topics and where we can’t respond directly we’ve helped to work out who is best placed to address the topics raised. We’ve also been working on the points listed above and have been: Facilitating or coordinating events and materials.  

  • Producing and/or reviewing critical documentation to support both the transition to MTA and the future business-as-usual operations.   

  

The entire transition team is aware how critical these changes are and the impact they’ll have. We are glad to see that in recent weeks the number of queries we’ve received and the amount of feedback we’ve gotten has increased. We look forward to seeing engagement increase between now and Christmas as more and more people begin to reach out to hear about the transition and future operations of the RIW Program.   

  



System Features  

The RIW Transition Team is working hard to ensure that the new software that’ll be used for delivering the RIW Program is ready for launch on 30 March 2019.  Included in the RIW transition changes are enhanced levels of service and support for contractors and cardholders. Overall, the RIW Program will continue to fulfil the general function it performs for industry and will deliver associated services such as ID checks etc. Key differences will include a new user interface with more screen options, a stronger focus on privacy and security, as well as a live 24x7x365 service desk to assist all RIW participants.  

The future of the RIW Program and the increased level of support it will provide for industry has been factored into every aspect of the planning executed to date. The goal of securing improvements for industry has been pivotal in the design, configuration and upcoming implementation of the system.
