Greetings Burners!

Attached is a call for participation in forming this year's Sunburn Event Council. The council will be a new body wholly dedicated to the production of our Regional Burn. This is a departure from past years where the line between the burner community and event production was not clearly defined.

Why the change? Producing Sunburn each year is a huge task, and its rigors were taking their toll on our community such that continuity and burnout were huge problems. The hope is that this new structure will help create an independent succession process within each group that will keep things spread wide and our community more engaged.

We hope to have initial council formation meetings scheduled in late January or early February, so please take a look and fill out the form sooner than later. If you have any questions, the form is also a great place to ask them. In order for us to make sure the council properly reflects the community, we need to make sure there is broad representation from within it. Even if you have ideas but can't commit to being a lead, getting involved early will make your voices that much louder.

Please note that this is not a call for volunteers, that will go out after the council has been formed.

Call for Participation - Event Council Letter of Interest

Thank you for your interest in becoming part of the new SunBurn Event Council. While this entity is still very much in its creation phase, we’re excited to better delineate and delegate tasks specific to the Event Council versus those that are the financial, legal, and administrative responsibility of the NMSPF90 LLC, New Mexico Burning Man community’s Board of Directors. This new Event Council will be separate from the LLC and will be responsible for SunBurn’s individual departments, creating an event budget for LLC approval, decision-making regarding event production, managing and overseeing the event’s volunteer staff, boots-on-the-ground event execution on-site, and event follow-up, to name a general few.

The Event Council will use the 10 Principles of Burning Man to guide its decision-making.

The Council will liaise closely with the LLC, especially in this first year of the Council’s creation, with the hope that the LLC, as experienced event producers, will merely mentor the transition process. The goal is for the standing Council to “pass the torch” to the next Council the following year, should members step down and need replacement and without the involvement of the LLC unless necessary or requested.

Before we can work with a standing Council, we need to create one, and the LLC is very interested in opening the floor for interested individuals to have a hand in determining its structure. We have come up with a few ideas for the structure of the Council, but we are also keen to allow the Council to organically form a structure that works for them.
A few important points that came up in our discussions were:

★ The possibility of a co-lead from each department on the Council pre-event, while the other co-lead takes up the role of the primary contact on-site.
★ Adding a Volunteer department, strictly dedicated to managing and wrangling volunteers. Tasks could include: assign them to departments of interest or in need; assist department leads in creating a schedule; sign up volunteers who have not done so when they arrive on-site and connect them to department leads.
★ One (two is even better) Council Representative(s) to oversee budget creation and submit to the LLC for approval, most directly liaise with the LLC, oversee budget spending across all departments, ensure the event’s safe execution, etc.

Council members should be able to: multitask, have attention to detail and follow-through, calmly make decisions and act under pressure, and maintain an eager ability to uphold the integrity of the event. Council members may need to be able to easily access email, phone/text, and Slack workspaces up to 2-8 hours per week, likely increasing as time draws nearer the event, along with a few Council and/or department meetings. It may be required for some or all Council members to be involved in and present for pre-event set-up and post-event tear-down, if any/some department leads are in the Council.

Don’t worry if you are unsure about your ability and availability to commit to the Event Council but want to be able to give back to the event. The initial forming of the Council will be a fluid process in the coming months, and there will be opportunity to self-define the role that you will play in creating the event. As the Council forms and crystallizes a more formal structure, there will also be an opportunity to decide how best serving on the Council matches your own time-commitment and which role that works best for you and the event.

There will also be plenty of other opportunities to contribute to the experience of SunBurn closer to the event itself! Announcements will be going out soon about signing up with individual departments, art grants, work weekends, and a whole bunch more. Please complete this Interest Form as soon as possible. Submissions will be used by the Provisional Council for planning and assessing interest. Hopefully this meeting will be scheduled in late January or early February. Once this date and location are firm, respondents will be notified via e-mail and the information will be posted to the NM Burners Facebook page as well as community mailing lists.
