The Amazon Factor in Higher Education 
The campus community often asks me if UC San Diego has a relationship with Amazon. My reply is always the same, “which Amazon?” There are many faces of Amazon that touch our campus: Amazon Web Services, Amazon Business, Amazon books/publishing, Amazon Pickup location, Amazon lockers—and likely other verticals that we’re not yet aware of. Each of these essentially functions as separate business units from an Amazon standpoint, which results in confusion to their customer base. From the earliest stages of our relationship with Amazon(s) we took the approach of identifying and promoting connections among related Amazon businesses on behalf of the campus. This helped bring the total value of the Amazon partnership into focus for both Amazon and UC San Diego. It’s ironic that some of the first interactions between personnel from related Amazon business units occurred in a UC San Diego conference room! Although this is still a work in progress, Amazon is starting to realize the value in engaging with UC San Diego as a comprehensive ecosystem as opposed to forming disparate strategies specific to students, faculty and staff.
 
Many throughout higher education administrative circles are fearful of the expanding influence of Amazon and have chosen to disengage. UC San Diego is taking a different approach. Acknowledging that Amazon is a growing reality and attempting to partner as they build their higher education strategy affords us the potential to influence their strategic direction. I’d personally rather be in a position to influence early in the evolutionary process than eventually be forced to adopt solutions that don’t meet our needs. Based on this philosophy, I’m often labeled as an Amazon “advocate,” which isn’t necessarily the case. I prefer the term Amazon “realist,” which means that I’m acknowledging the future influence and potential value of Amazon and attempting to harness the positive aspects on behalf of higher education.  
 
The Amazon pickup location adjacent to the Bookstore is a great example of our mutually beneficial partnership. We’ve seen double-digit annual increases in the receipt of student Amazon package volume to our Mail operation for the last 5 years. Students no longer load up their cars and drive to college, but rather purchase necessities online. Distributing the increasing package volume placed a significant operational and financial burden on our Mail operation.  Amazon was actually costing the university money. With the opening of the pickup location, a significant portion of the Amazon package volume was shifted to a central point on campus, managed by Amazon. A side benefit was the ability for faculty, staff and the community to pickup and return their Amazon packages. We’re now working with Amazon to determine if we can incorporate lockers and Amazon Business (B2B) purchases into this infrastructure, which will provide more purchase and delivery options to the campus.
 
UC San Diego IPPS was recently asked to serve on Amazon’s inaugural higher education advisory board with several other institutions including MIT, Johns Hopkins, Stanford, The University of Washington and ASU. While no-one can accurately predict the future direction of this behemoth of technology, products and services, I feel like UC San Diego is ahead of the curve and uniquely positioned to promote both innovation and accountability for Amazon in the higher education space.

Payment Compass Complete
The IPPS Technology Program Management team is thrilled to announce that the final phase of Payment Compass is about to go live!

Completion of the Payment Compass application is the culmination of several years of dedicated teamwork, and effective communication across IPPS units and campus clients. The project started in 2017 as an IPPS key initiative to streamline and maintain the way payees do business with UC San Diego. The ambitious project was rolled out in two phases beginning with accessibility and transparency to payment status, and streamlined payee registration and invoicing processes for Marketplace. The second phase broadened the scope of the application to replace the separate registration processes for various payee types with a single registration process for all.

The final phase of Payment Compass is slated to go live before the end of April. The new enhancements will expand the payee registration process to MyPayments and MyTravel payees, including UC San Diego employees and students. An added upgrade to this enhancement is the ability for payees to copy and edit existing registration information and update payment methods and payment terms for Marketplace payees.
Launching the final (and most complex) phase of the project is exciting because it means that we’ve accomplished a goal in transforming how we do business at UC San Diego… simplifying and standardizing the payee registration processes and providing transparency to the most important concern for a payee ‘when am I getting paid?’. Our team would like to give a big shout out to all of the department business officers who contributed to the project. Payment Methods - New, Low Risk Options for Payees
A UC system-wide effort to develop and implement more automated and efficient payment methods is currently being launched by IPPS. We are now offering several payment method options to our Marketplace payee (supplier) community, and they couldn’t come at a more critical time.
 
Institutions of higher education continue to be the target of complex fraud schemes, per the Campus Notice. Over the past several years, UC San Diego has been the target of multiple types of fraud including purchase order fraud, credit card fraud, and supplier imposter fraud.  
 
IPPS is continuously looking at ways to aggressively combat these attempts. Transitioning Marketplace payees to more secure payment methods that are being adopted throughout higher education is one way to protect the university, as well as our payees. The more secure, preferred methods mitigate payment risk assumed by the university and require partnership with third-party providers that may charge a fee, although not more than standard credit card fees.
 
What this means for UC San Diego payees
  • New payees: During registration in Payment Compass, new Marketplace payees will be offered low risk, preferred payment method options including a virtual credit card and direct deposit (ACH) through a 3rd party, Paymode X, which will safeguard the university and its payees.
    • UC San Diego will no longer offer internally managed direct deposit (ACH) for new Marketplace payees, and will instead offer direct deposit (ACH) through Paymode X. Direct deposit (ACH) has been universally identified as the highest risk payment method, which is why we are partnering with Paymode X.
       
  • Existing payees: Existing Marketplace payees whose direct deposit (ACH) was managed by UC San Diego are being asked to consider the virtual credit card option. If they choose to stay on direct deposit (ACH) they will eventually have their direct deposit (ACH) transitioned to Paymode X. Our teams are working to identify and transition existing direct deposit (ACH) payees.

Avoiding Costly Fines Just Got Easier
The IPPS Outbound Shipping Team is excited to announce a major improvement to the function-specific training they offer to UC employees who need to ship biological substances, category B, and dry ice on their own. The required training certification is now offered through UC Learning as a self-paced, online course. The course replaces the three-hour, in-person training that could only be offered once per quarter. Transitioning certification training to an online course opens up accessibility to campus and makes it easier for employees to keep up with the biannual re-certification requirement. 
Failure to comply with international and federal transportation regulations when shipping hazardous materials can result in civil penalties of $78,376 per occurrence, and criminal penalties may include up to 10 years of imprisonment

BKM Punchout Enhancements

BKM has added to its services and revamped its Marketplace punchout to improve the shopping experience. A video demonstrating how to navigate all of the new features has been added to the landing page of the BKM punchout.

IPPS has been actively evaluating and planning how the various processes and applications we manage will adapt in the new financial system and are currently in the process of selecting the best tools to meet campus needs. More announcements to come as decisions are finalized.

As we start making decisions on technology features and processes, we would like to stay in close contact with you, our campus clients. Need short-term storage? 'Valet Storage' space is available in Suite 300. This open storage area provides departments more flexibility from the constraints of cage units. Suite 300 is intended for short term usage (less than 6 months) and requires Moving Services for storing items. Valet Storage is the perfect solution for storing office furniture during a department move or office remodel.

UC San Diego | Lyft shared rides sweepstakes begins April 1st

Shared rides are a more eco-friendly and cost-effective alternative to single passenger rides. To encourage UC San Diego | Lyft users to choose the shared ride option, Lyft is sponsoring a spring quarter sweepstakes. Five winners will receive $300 in Lyft credit. 

To participate:
  1. Open the Lyft app
  2. From the menu tap 'Promos' and enter code UCSDSHARED 
  3. Take one or more shared rides to or from campus between April 1st  and June 3rd to qualify

The University of California recently launched a program to promote the purchase of high-quality, energy-efficient light bulbs that are nearly half the market price! Inspired by research conducted at the California Lighting Technology Center at UC Davis, the Million LED Challenge brought together a team tasked with using specific performance criteria set by the California Energy Commission to select lamps for use across California.

These light bulbs are already available in Marketplace! Search for ‘MLC_LED’ to see all of the offerings. And the best part – you can purchase them at the discounted price for your home too! Visit the Million LED Challenge website to purchase the light bulbs and have them shipped to your home.
ASK Updates
Did you know that ASK averages 9,000 cases per month?

A significant number of those cases are reopened when a customer is satisfied and wants to say 'Thank you!'. This is great for morale, but not so great for keeping the case volume down and response time up. With that in mind, updates were made to ASK that improve both the client and agent experience. Now you can thank agents as often as you'd like without adding to the caseload. This translates to faster response time on ASK cases overall. In addition, the optional survey has been updated to allow clients to provide actionable feedback, and an action column has been added to the case list to allow campus to close their own case, view details of a case, and rate the service. You won't believe the things you can find at UCSD Surplus Sales! Sure we have couches, pianos, and microscopes; but did you know we also have cat skeletons? Yes, really. Because science.
Judging by the mountains of inventory that is salvaged from every corner of the university each year, it is clear that Surplus is no secret to UC San Diego employees who have been adding their department's surplus items to the stockpile at an alarming rate. But students have yet to discover the warehouse; a gem of a bargain outlet tucked away on Trade Street in Miramar.

Given the expanding, eco-forward influence of our student body, it is hard to believe that the majority of Tritons have never heard of Surplus - one of the longest standing sustainability programs at UC San Diego - or visited the Surplus Sales outlet store. We want to bring the sustainability efforts of the Surplus program out of the shadows so that more students, alumni, friends, and family, can get involved and benefit from it. Creating a social media platform is a step in that direction.

Joy Contemprato

Buyer, Marine Sciences and Technology - Strategic Procurement
Joy will be stepping into the big shoes once filled by Sara Stoddard, as our new SIO Buyer. Joy comes to us from Housing, Dining & Hospitality, where she was a familiar name and face to many in IPPS. Joy has a Master’s Degree in Business Administration and is coming up on her five year anniversary at UC San Diego. 

Mike Diena

Mail Processor, Mail Services Student Mail
Mike has accepted a contract position with Student Mail to support the continued increase of on-campus students. With new construction at Mesa Nueva adding 800+ students this Fall, 1,100+ students for Fall 2020 and North Torrey Pines La Jolla Living and Learning Neighborhood also opening in Fall 2020 with 2,000 students, Mike will have his work cut out for him.

Nicole Johnson

Admin Specialist - Accounts Payable
Nicole Johnson is the newest member of the Accounts Payable team. Nichole will be supporting invoice processing and client resolution as well as providing cross-functional support when needed. Nicole comes to us with over 11 years' of experience with suppliers such as Cintas, HD Supply, and Waxie Sanitary Supply.  

Julia Sprouse

Payment Services Administrator - Payment Services
Julia, a recent graduate of UC San Diego, is the newest member of the IPPS Payment Services team. Her main role is check administration; processing unclaimed payments, and performing some functions related to wire payments. Before stepping into a career position Julia worked as a temporary employee with Payment Services for several months where she gained the necessary experience and valuable knowledge required to fully support the team.

Procurement Process and Bid Technology Specialist - Strategic Sourcing
Lynda 
started her IPPS career as a student worker with Procurement in 2014. She proved to be a great asset to the Professional Services team for several years and was highly recommended to start a TES role after graduation last Spring. We are fortunate to have Lynda join the IPPS family full-time as the new Procurement Process and Bid Technology Specialist in Strategic Sourcing.
