Normandy Travel Update (March-2019)


Hello LHAB Normandy Travelers:

We are under 3 months to travel date for Normandy. Much work is still going on behind the scenes to organize and coordinate items.  Normandy rehearsals are scheduled April 13 and May 4 and we encourage you to attend.  Everyone has been doing an exceptional job in keeping up with the trip payments.  We have 536 confirmed travelers attending this incredible adventure.

ACTION ITEMS FOR LHAB MEMBERS AND GUESTS:
1.  The travel questionnaire form and medical release form are due NOW and are required for all travelers and guests.  For minor children traveling with LHAB parent, please submit separate forms as their parent/guardian.   These forms are required for travel from Historic Programs and LHAB.

2.  We are seeking additional WWII stories connecting our members to D-Day or WWII events.  The Texas Exes Alcalde is writing a piece on this event and would like some additional content and/or photos to use.  Please send to GeofSloan@gmail.com as soon as possible

We only have 360 completed of the total required.  Please expedite and submit as soon as possible.  You will receive an email copy of your submitted form answers.

MEDICAL RELEASE FORM
We have only received 228 responses.  EVERYONE is required to submit their response for travel.  Many people have only completed the travel form and not the medical form, so please go back and update your medical release form information.

Reminder: Medical insurance is NOT included as part of the trip fee.  Medical insurance is similar to travel insurance and is a choice for you to make. Please research and use the company you feel best suits your needs.  HTH Travel Insurance is an example to use.
 

REHEARSALS AND MUSIC (Dr. Scott Hanna - Director)

All performers are highly encouraged to attend both rehearsals if possible.  Audio files and sheet music are posted online on the LHAB website member.  Login with your credentials and go to Music tab to download audio or sheet music.  Please print your own music prior to attending rehearsals, as we will NOT provide copies at rehearsal.

This is also the date of the UT Orange/White scrimmage at 6:30 pm.  Everyone is welcome to stay and play this event if you chose.  More details to come later.

FLIGHT ARRANGEMENTS (Cherish Walser – Historic Programs)

If you still need to book your own flights, arrival must be scheduled to meet the LHAB group between 7:00 am - 12:00 pm on June 5th at the Charles DeGaulle (CDG) airport in Paris, France. Please give yourself time to consider any delays in flights or traffic in Paris.

If you are arriving in Paris before June 5 ahead of the group, you will need to arrive at CDG on June 5 at between 9 am - 9:30 am.  We will have a designated waiting area and will be notified of the exact location at a later date.  

Buses will be departing CDG airport on June 5th to Normandy.  All travelers will be notified as to their assigned to bus and hotel very soon, as we're about complete on this item.

 


HOTEL ROOM ASSIGNMENTS (Jo Lyn Peters – Chair)

Jo Lyn is coordinating with Historic Programs on hotel configurations and room assignments. We will be in multiple hotels in both Normandy and Paris.  When arrangements are final, we will share more information on hotels and attendee list.



INSTRUMENT SHIPPING (Mike Haecker – Chair)

The $100 instrument shipping fee per person will need to be paid no later than March 30, 2019, thru the MyTour Account.

Michael Haecker is working equipment and instrument shipping and compiling the list of folks shipping personal instruments.  This is why it's critical for you to submit that information on the travel questionnaire, so we can create the final manifest.  Once the list is complete, if he requires additonal info, he will contact you.

Personal instruments to be shipped to France by the LHAB must be at the LHB Band Hall no later than the May 4 rehearsal. 

ALL INSTRUMENTS MUST BE PROPERLY TAGGED AND LABELED WITH A STURDY SHIPPING TAG WITH YOUR PERSONAL INFORMATION PER AIRLINE SHIPPING GUIDELINES:  NAME / ADDRESS / CITY-STATE-ZIP / PHONE / EMAIL.

Some important notes regarding personal instrument shipping:  
Most airlines have baggage limitations on international flights.  If you are planning on checking your personal instrument with your bags, please double check with your carrier to be certain you comply with their policies.

UNIFORMS (Greg Wilson – Chair)

Distribution will be conducted 2 hours before each rehearsal on April 13 and May 4, and we encourage you to pick up your uniform at this time.  If you’re unable to attend either rehearsal, please find someone in your local area to pick up and bring to you.  We’re trying to save on unnecessary shipping costs. For those out of state, we are arranging your shipment and have anticipated those costs.

There will be "uniforms packaging party" with Longhorn Band KKY/TBS students at the Longhorn Band Hall on March 30, 12:30 pm to 3:00 pm.  If you would like to help, please attend and bring a friend.

We are arranging with the LHB office to allow uniforms to be picked up during their office hours with advance notice for those who are able to pick up from band hall if unable to make the rehearsal dates.

Purchase your own souvenier Normandy trip cap at the rehearsals.  Here is a picture of the Normandy hat and jacket in production with the folks helping to get us ready to go!

$20/each for hat purchase and will only be available at rehearsals for sale (Cash/Checks only)

PASSPORTS

YOU WILL BE REQUIRED TO HAVE A PASSPORT!.  If you have not yet obtained your passport, proceed ASAP to secure your passport.  DO NOT WAIT - ACT NOW.
Historic Programs will require passport information when you complete your travel questionnaire,
