E-Bulletin : AGM Reports & Notices



As most of you will appreciate, the last couple of months have been very busy for us in preparing for the Conference and the AGM.

In accordance with our Constitution, we have already provided formal notice of the date, place and time of the 2019 AGM, along with the proposed Agenda, in our E-Bulletin in February. The current E-Bulletin includes the AGM Reports received to date as well as an update of the Agenda (necessary because all members are able to submit items of general business up to 21 days prior to the AGM, which means the Agenda cannot be finalised until this deadline has passed).


As we did last year, we are using our E-Bulletins as our way of communicating official notices to our members. This is in accordance with Clause 8.1 that allows us to send out such information "electronically".

Annual General Meeting
 
This E-Bulletin contains important information about the Network's forthcoming Annual General Meeting to be held on Friday 12th April 2019 in the West Tamworth League Club, 58 Phillip St, West Tamworth, 2340, commencing at 10:30 am.
 
The Agenda for the Annual General Meeting will be:

(a) To confirm the minutes of the previous Annual General meeting and of any Special General Meeting held since that meeting;
(b) To receive a report from the President and such other relevant Committee members on the activities of the Network during the preceding financial year;
(c) To receive and consider the statement of the financial affairs of the Network which is required to be submitted to members pursuant to the Associations Incorporation Act ;
(d) To declare the results of the election of the Committee;
(e) To approve or otherwise an increase in membership fees from 2020 
(f) To consider such other general business of which at least 21 days notice has been given (no items received)
(g) Any other general business from the floor admitted at the discretion of the President.

The AGM will be followed by a Members’ Forum, concluding by 11.45am. U3As are invited to submit topics (in writing to the Secretary) on any area of concern or mutual interest for discussion at this Forum.


 

Appointment of Voting Delegates

While any person who is a member of a U3A is welcome to attend the AGM, under Clause 4.3.1 of the Constitution each member U3A may only appoint one Voting Delegate to represent it at the Annual General Meeting. The Network Secretary must be notified at least 24 hours before the AGM as to who that Voting Delegate will be, and only Voting Delegates may vote at the meeting. A Voting Delegate must be a financial member of a member U3A.

While there is no prescribed form for appointing a Voting Delegate (and therefore a letter on a members letterhead, or an email from your current Secretary's email address will do), you may use this form available by clicking here if you wish. This (or any other formal notification) can be posted to the Secretary (PO Box 368, Woy Woy, NSW, 2256), or emailed to info@nsw.u3anet.org.au or handed in person to the Secretary at least 24 hours prior to the AGM.

The following Reports have been received in time for distribution with this E-Bulletin. Any other Reports will be made available at the AGM and on our website.

Proposed Membership Fee Increase

The Network Committee is recommending that the Network Membership Fee (or capitation fee) be increased to 50 cents (from 40c) per person up to a maximum of $600 (currently $200) from 2020. This will increase the income of the Network by a projected $3,500.

Membership fees have not increased since 2014. However, the Network has, particularly over the last two years, ramped up its activities and intends to continue doing so. While we still have a healthy surplus (in part from one-off grant funds) we are budgeting a yearly deficit which will use up this surplus within a couple of years. The increased expenditure will primarily reflect a greater emphasis on State and Regional activities such as meetings and training opportunities, more real and relevant support for our members, and a greater media and online presence.

This should all result in an increased public awareness of U3A, better resourced member U3As, and, we hope, an increase in people wanting to join their local U3A!
