Wasabi Install/Updating Helpful Tips

If you are experiencing any issues with Wasabi not opening or an error message, please try following the steps provided below. If you continue to experience issues, please contact Wasabi Support and they will directly assist you with troubleshooting.

  • Update manually
    • You can download and launch the installer using this Wasabi link. Alternatively, if you are on VDI there is a folder on the desktop called "Wasabi Installers" and you can access the link from there.
  • If receiving errors after manually updating
    • VDI - Restart the VDI session by going through the start menu (Start -> power -> "restart") being sure to restart the VDI not your local PC. Log back into VDI and try launching the installer again. If you see an option to "Repair" please select that option
    • VPN - Restart your PC. Try launching the installer again. If you see an option for "Repair" please select that option

GMAS May 2022 Release

The May 2022 GMAS release will be available as of the start of business on Thursday, May 5th 2022. The focus of this release includes enhancements to support displaying preferred names in GMAS. Additional enhancements include updates to the GMAS person feed and tracking if proposals included subrecipients, as well as bug fixes. For full release notes, visit the May 2022 GMAS release page.

Highlight of the changes in this release include:

  • Initial proposals and competing renewals will now ask whether the proposal has subrecipients
  • GMAS will now display a person’s preferred name
  • Continuation and Supplement requests can only be created once the research team has been confirmed
  • Moving the location of comments from the bubble icon in the upper right corner of the screen to a new panel on Cost sharing, International Collaboration, Edit research team, and Confirm research team request

Fiscal Year-End 2022 Deadlines

Harvard's fiscal year 2022 will end on Thursday, June 30th, 2022. As in the past, the University will close the books through a series of steps called "closings." Download a printable version of the Summary Schedule for FY2022 Transactions and Reporting.

Please read the Harvard Administrative News article carefully, as there have been a number of changes to closing dates and times that are different from years past, particularly the highlighted closings.

Year-End Deadline for Cost Transfer Requests

The deadlines below apply to ALL requests for cost transfers to federally sponsored funds (funds in the range from 100000-199999). Note that these requests require supporting documentation. Cost transfer requests should be submitted directly to OSP. OSP will review the request and documentation for appropriateness.

Cost Transfer Submission Deadline to OSP

  • Tuesday, June 28th, 10:00 am
  • Tuesday, July 5th, 10:00 am
  • Thursday, July 14th, 10:00 am

FY22 Q3 Quarterly Project Certifications will be due on Friday, June 2, 2022

A reminder of the ecrt policy:
 
Review period will run between 4/14/2022 to 5/4/2022:  It is at the beginning of this period that grant managers put their statements on hold while they are reviewing effort and correcting effort via journals. They meet with their faculty during this period and resolve any issues.
 
Certification period runs between 5/5/2022 to 6/2/2022:  Review and journals should be completed by this period and certs come off hold, so that faculty have a month to certify due to travel schedules. On 5/5, the system automatically emails faculty to begin certifying.

New Research Administration Portal Now Available

The Research Administration Portal shows faculty and researchers their outstanding research administration and compliance activities in one location. The home page lists the researcher’s tasks in GMAS, including signature requests and International Collaboration and Activities approvals that need to be completed or updated. Additionally, there are pages displaying requests under development, in review, or submitted to sponsor and segments that are currently active or ended within the last twelve months.

The Portal also displays protocols from Data Safety and ESTR-IRB, data use agreements from Agreements-DUA, and certifications from OAIR. Items from these systems that need the researcher’s attention will display on the home page, along with the outstanding tasks in GMAS described above.

New Resource: Research Administration Glossary and Acronyms New Resources

The new Research Administration Glossary and Research Administration Acronyms lists were added to the Resources section of the OSP website. Both of these resources are useful for individuals who are new to managing sponsored awards at Harvard University, as well as to “sponsored veterans” looking to expand their knowledge. You could also view the PDF version of the Research Administration Glossary (PDF).

New B2P Quick Reference Guide 

A new Business Expense Reimbursement (BER) Quick Reference Guide has been added to provide guidance on requesting a BER supplier. 

The BER supplier type can only be used for:

  • A Non-US Individual
  • Reimbursements Only (not honoraria or services)
  • Active for 90 days

New NSF Research.gov Proposal Preparation Functionality and NSF-PAR Enhancements

On May 2nd, NSF released the latest Research.gov proposal preparation functionality updates and NSF Public Access Repository (NSF-PAR) enhancementsBeginning in January 2023, FastLane will no longer be a preparation & submission option and all new proposals must be prepared and submitted on Research.gov or Grants.gov. NSF strongly urges applicants to prepare and submit all eligible proposals in Research.gov now, to support a smooth transition from FastLane proposal preparation and submission to Research.gov in January 2023.

How to Create a Grants.gov Account and Link to a Login.gov Account

As of February 21, 2022, users must sign in to Grants.gov with Login.gov credentials. With the recent changes to the Grants.gov login process, many users may have questions about creating and linking a Grants.gov account with Login.gov. NSF's blog post aims to address the new steps required to create a Grants.gov account and link it with a Login.gov account.

Description: Intended for Grant Managers and staff involved in research administration at Harvard University, this course provides an overview of Harvard's effort reporting policy. Topics covered include:  

  • Risks posed to Principal Investigators, faculty members, and the institution if federal effort reporting requirements are not met 
  • How federal regulations drive the University’s effort reporting policy and procedures
  • Committed effort and “reasonable estimates” 
  • The responsibilities of administrators, PIs and faculty members, and researchers and lab staff with regards to effort reporting and certification 

New B2P Training Requirement for Supplier Portal Users

Date: Ongoing. Effective 5/1/22, this training is required for B2P users to be granted a Supplier Portal User role. Existing users must complete this training by 5/18/22.

Description: This 40-minute online course covers the basic functions of the Supplier Portal module of the Buy to Pay system. It includes an overview of how the Supplier Portal is used at Harvard and how to access and navigate the system. It also includes guides to common tasks in the system, such as Searching for Suppliers, Onboarding Suppliers, and Maintaining Supplier Profiles.

Revised Independent Contractor Policy Zoom Training

Date: Tuesday, May 10, 2022, 1:00PM - 2:30PM

Description: Individuals providing a service to Harvard are considered an employee unless they meet certain criteria. In order for Harvard to meet these obligations, schools and units must follow the Independent Contractor (IC) Policy. This training gives an overview of the policy, the Independent Contractor Questionnaire (ICQ), and provides guidance on roles & responsibilities and when & how to classify an individual (employee versus independent contractor).

Expanded training materials have also been created to help hiring departments, Human Resources, and Finance Offices properly classify and pay these individuals.

Contract Manager Training Opportunity and Guidance

  • Identify the differences between journals and cost transfers

Description: The Department of Immunology and Infectious Diseases (IID) was formed in 1997 when the Departments of Cancer Biology, Molecular and Cellular Toxicology and Tropical Public Health were merged.
