MOVE IT UP Team Updates

Operational Changes

As we continue to improve our operations and onboard new staff, we will frequently be implementing new processes and reiterating old ones. Please see our most recent updates below-

Driving to clinics
  • As of now, staff members are no longer allowed to meet the team at the site or eleave right after a clinic. All tteam members are to report to the Annex at their scheduled start time and end their day at the Annex. Only under extenuating circumstances or with prior approval from Monica will anyone be able to drive themselves to and from clinic sites.
Time-off
  • If you need a day off, you must send Monica an email at least 2 weeks in advance and it will be approved on a first come first-served basis.
Schedules
  • Sometimes the schedule may be changed at the last minute due to staffing or project needs. If a change must be made the ONLY thing that will change is the site location and not the scheduled hours. Monica is working on having the schedule done no later than Saturday afternoon for your convenience.
Vehicles
  • UC Davis vehicles are for business use ONLY! See Use of University Vehicles: Bus 46. They are not to be used for personal errands (ex. coffee runs, food, snack run). 
  • The only exception to this rule is when the team is out on a site and there’s no food nearby, then ONE PERSON is allowed to go pick up food for the team. Multiple trips are not allowed for this purpose.
  • Misuse of UC Davis property will not be tolerated.
Lunchtime
  • Only one person should be taking their lunch at a given time. During events if we are overstaffed, a max of 2 people are allowed to take a lunch at the same time – this is at the discretion of the charge nurse (charge nurses please plan accordingly so the lunch guidelines are followed.)
  • Lunch breaks are 30 min. and they start right after you walk away from the clinic. Lunch does not start after you pick up your lunch. (example: if you go buy lunch, your 30 minutes start as you leave not when you return and start to eat your lunch).
Evening supplies restock
  • There have been a couple times at a clinic when the team runs out of supplies. We provide you with enough time every night to restock everything you need so you don’t come across this problem. If there’s a large event happening, you must bring extra supplies and extra giveaways. Since we never know how busy the clinic will be, we need to be prepared. 
Teamwork
  • Lastly, we want to remind everyone that we are a “TEAM” and everyone is expected to work together to get ready for clinics and to pack up our clinics. This includes Charge Nurses, Per-diem Nurses, LVN’s, and MOSC’s. (examples: loading, unloading vans, setting up, gathering supplies etc.)

Testing Staff

Brian Shieh, our lab assistant, lost his father on Saturday, June 4, and he has decided to resign from his position with MIU to be closer to his family in Southern California. Please keep Brian and his family in your thoughts during these challenging times.
 

Conrado Preciado, our clinical research coordinator, who was on loan from our sister project, will be returning to ORALE effective Wednesday, June 8. 

To help with our testing needs Sergio Cuellar, our driver, will begin training this week. If you know others who might be interested in becoming part of our testing staff please have the forward their resumes to Gabby Alaniz mgalaniz@ucdavis.edu and Carmelita Ramirez crrramirez@ucdavis.edu.

Staffing Changes & OOO

Jose Lastra, our Project Coordinator Community Engagement, Supervisor, also suffered the great loss of his father last week. Please keep Jose and his family in your thoughts during these challenging times.

Given this situation, Jose may not be readily accessible this week so please be patient.  Should you have any needs that involve Jose’s role in the project, please reach out to Gabriela Alaniz, Monica Hatch and Carmelita Ramirez. Emailing all three of these staff members will ensure we can get to your needs as soon as possible.

Timecards for TES employees 

Timecards are due by 5 pm this Friday, June 10. Please do not wait until the last minute to submit these.
