Dear Families,


On May 25th, students who committed to participate in a study abroad program in the summer or fall participated in a Mandatory Pre-Departure Orientation with our staff. Spring program students will participate in their orientation with us this upcoming fall. Our mandatory pre-departure orientation live session and online modules covered the following topics:

  • Cultural Adjustment
  • SCU Policies and Procedures
  • Health & Safety
  • Diversity & Identity Abroad
  • Course Planning & Earning Credit
  • Billing & Financial Aid
We've included the recording of our live session in this newsletter issue for your convenience, and also posted our online modules on our YouTube Channel for public access.

Program Specific Orientation:
In addition to our orientation, your student will (or may have already) participated in a program-specific orientation with their program. Some program-specific orientations occur upon arrival on-site.

Study abroad programs are organized by program providers and host institutions abroad. Program providers and host institutions can provide specific details about what it's actually like to be a student on their program including housing information, internship placements, on-site arrival instructions, course offerings, and more.

Health & Safety
 
Medications
  • Students should meet with their doctor as soon as possible to make a plan for any prescriptions they need.
  • In general, they should take enough medication to last the length of their program.
  • Students should keep their prescriptions in the original containers and take a copy of the prescription with the generic names of these drugs.
  • Containers should clearly show your student's name & the prescription number on the label.
Physical Exam
It is recommended that student's get a physical exam prior to going abroad, and complete any foreseeable medical or dental work beforehand.


Immunizations and Vaccinations
  • Required: COVID-19 Vaccine + Booster
  • Some countries have additional, specific vaccination and immunization requirements that need to be fulfilled before departure.
  • The Center for Disease Control and Prevention offers advice for travel to specific countries in the “Stay Healthy and Safe” section of each country.
Emergency Response Plan
When an emergency incident occurs abroad, SCU Study Abroad will immediately mobilize resources in coordination with the campus, local onsite staff, and faculty, as well as local authorities and emergency organizations. This defines the lines of communication, the scope of support required, the resources needed to assist students abroad, and any coordination with third-party organizations.

Billing & Financial Aid
 
Billing
Students will be charged to their Student Account via eCampus on the same billing cycle as all other SCU students. The bill will include charges for tuition and the study abroad fee based on a semester or quarter program. More details about billing, ,including dates, will be coming soon!

Financial Aid
Any/all financial aid is applied against the Study Abroad tuition and fees. Any disbursed financial aid remaining after all of SCU tuition and fees are satisfied will be refunded to the student or a parent borrower, as appropriate.

Passports & Visas
 

Apply for (or Renew) Passport

There have been significant processing delays due to the impacts of the global pandemic. If your student needs to apply or renew their passport, please be sure they start the process now.

All students need a passport to travel internationally, and depending on their nationality/program location, they may also need to apply for a visa at a later date. To apply for a visa they'll need to have a valid passport, so this is a critical first step. 

About Visas
Visa application procedures vary from country to country and consulate to consulate. Some countries may not require a visa. The U.S. Department of State’s website has a full list of countries that require visas and details on how to apply. 

Students should be prepared to send out their visa application at least two months in advance, and don’t forget to make copies of your visa and visa number just in case! 

Scheduling an Appointment
Often, the hardest part of obtaining a student visa is scheduling the appointment at the consulate. Students should work to schedule their appointments as early as possible (most consulates will not accept visa appointments more than 90 days in advance of the start of the study abroad program) to ensure the issuance of their visa and to receive their passport and documents with time to spare prior to departure.

Processing Time
The processing time for a visa will depend on the country/consulate students are applying to and their country of citizenship. The process may take as little as one day and as long as ninety days.

IMPORTANT: Enrollment Verification/Visa Letter**

A visa application may require an acceptance letter (also known as an enrollment verification or visa letter). If your student needs one, they should complete the Enrollment Verification - Request Form as soon as possible.

SCU Study Abroad cannot advise on visas. If you or your student have questions about the visa process, please check with their program provider or host university and the specific consulate your student is applying through.
