A Word From Council

Brandi Comstock and Yumna GreenIt was such a treat to see so many friendly faces at last week's Council Membership Meeting. It was our first time meeting in person since February of 2020 and the ONLY Council Membership Meeting that Brandi has had in person as Council President.

We know that while some people are thrilled to meet in person, it causes a lot of anxiety and concern for others. We greatly appreciate everyone who was able to be there, and we also appreciate everyone who has participated and remains engaged this year.

During our networking moment, we asked PTA leaders what kinds of questions they would have for the roundtables today and and tomorrow. We saw a lot of common questions, but we'd like to share the questions here, partly to let everyone know that no one PTAs alone. Here are some of the questions that we will try to address during the roundtables this week.

—Brandi Comstock and Yumna Green, LWPTSA Council Co-Presidents

June Board 'To Do' List

  • Share your PTA successes with your members.
  • Recognize and thank volunteers for their efforts this past year.
  • Report new officers to LWPTSA: Email secretary@lwptsa.net.
  • Report new officers to WSPTA: Input newly elected officers into the Memberplanet membership database system.
  • Prepare materials for the transition to the incoming board members. (1) All materials, including notebooks, funds and supplies that belong to the PTA, should be given to incoming officers by June 30. (2) Make sure the incoming board has the latest version of your standing rules, any policies, and be prepared to turn over access to any electronic files or accounts such as your website and Facebook page. (3) Share with the incoming board members where to find relevant resources on the WSPTA website such as position-specific handbooks, WSPTA Uniform Bylaws, WSPTA Policy Manual, WSPTA legislative platform resources, etc.
  • If you are returning to your position, organize 2021-22 materials and documents, and prepare for a new PTA year.
  • If you are leaving your position, hold a transition meeting with your replacement.
  • Work with incoming board members to identify candidates for appointed and non-elected board and chair positions.
  • Work with your PTA's treasurer to finish reimbursements. Follow up with volunteers and school staff.
  • Approve a budget for 2022-2023. PTAs cannot spend any money after June 30, 2022 unless a budget for 2022-2023 has been approved.
  • Close PTA books on June 30 and turn the books over to the financial review committee.
  • Print a copy of your membership roster and file it with your permanent records.
  • If your PTA incorporated in June, your annual Corporation Renewal is due on June 30. The annual corporation report is due regardless of your PTA’s annual income and is separate from the Charitable Organization Registration/Renewal.

To-Do List for Incoming Boards

Your position officially begins on July 1, but you can begin now to set your PTA up for success.
  • Schedule a summer board retreat and next year’s membership meetings.
  • Meet with the school staff to discuss policies, calendars and back-to-school volunteer needs. It might be too early for current staff to help with this, as things continue to change and clear guidelines might not be available until August or September. However, it is still a good idea to open the lines of communication between the PTA and the administration.
  • Begin work on “first-day packet” or “summer mailer” documents.
  • Communicate expectations with board members and chairs that need to get started in August.
  • Ask the principal if you may speak at an August staff meeting. Inform teachers of grant options, classroom support and PTA programs.
