Welcome, Gloria!

Please join us in welcoming the newest addition to the HMIS team Gloria Collins! Gloria has joined the team as the HMIS Training Coordinator. Gloria has been an HMIS user for several years, and brings a plethora of experience working with clients as a SOAR certified Benefit Specialist. She is excited to begin her extensive experience as an HMIS users to help education new users on real life experiences. 

Congratulations, Tre!

We are excited to announce that Trejuan Howard has been promoted to HMIS Data Quality Analyst. Tre has been a member of the HMIS team since February of 2020 as the application support specialist. During this time he assisted users with any issues that were reported through our ticketing system. Tre's Bachelors of Science in Information System and his SQL knowledge will help him be successful in his new role.

The HMIS team is in search of a new application support specialist to add to this awesome team. As the HMIS Lead Agency we work with agencies that use HMIS for the homeless population in San Antonio/Bexar County.

HUD Updates

 

Upcoming HUD Report Updates
 

Updates to the CoC APR, ESG CAPER, and CE APR will be launched on January 1, 2023. This will effect CoC and ESG grant recipients. The changes will be minor however, we want to be sure all recipients are prepared for their SAGE uploads. 
We will be reaching out to all recipients with an upcoming report deadline to ensure a successful upload!

Security Agreement Reminder

  • Protected Health Information (PHI) cannot be shared via unencrypted email
  • Use PHI and disclose the minimum necessary to perform your job duties
  • Users are responsible for ensuring the confidentiality of information even after access to HMIS has ended
  • If you need to use or disclose PHI outside of routine uses and/or disclosures, consult the HMIS Security & Compliance Specialist first.

Code Migration Schedule

The HMIS code migration is scheduled for Thursday, September 8th & 22nd.  Beginning at 8:00 p.m. the system will be unavailable to allow the HMIS Team to install updates.

Upcoming Coordinated Entry Redesign Training

The HMIS team and the SARAH team will be holding training sessions during the month of September to introduce HMIS users to our new coordinated entry system. 
There will be a total of 4 sessions offered but users only need to attend 1 session, all sessions will cover the same content. 

 
All users who complete enrollments in Shelter, Street Outreach, Housing Projects, or Homelink Hubs are highly encouraged to attend.
The new CE systems will impact them and their clients.

 
September 20th 9am -11am & 2pm--4pm
September 21th 1pm -3pm 
September 22th 9am -11am

Please make sure that Zoom is downloaded when preparing for HMIS Trainings. If you have any questions in regards to upcoming virtual training or need a refresher,  please reach out to our Training Coordinator
Important Reminders
Project Managers
Please submit a project modification any time there are changes to your project including funding, bed count, beginning or end of a project, etc. Click Here
Resolved Issues
Annual Assessment
 
The previously identified issue with annual assessments has been resolved. Please continue to record annual assessments using the following click path:
Case management tab> Enrollments> click on enrollment status (Enrolled)> Complete annual assessment
As a reminder the annual assessment should be completed on the anniversary of the client's project start date. Case Managers have a 60 day window to complete the annual assessments. It can be completed up to 30 days before the anniversary date and up to 30 days after.

Remember...

  • Google Chrome is the recommended browser for using HMIS.
  • Make sure your pop-up blocker is set to allow pop-ups from HMIS.
  • Administrators: Please contact the HMIS Team within 24 hours of employee termination so we can deactivate their HMIS account.
  • Project Managers: Please inform the HMIS Team if projects are no longer being used so we can deactivate them.
  • Automatic merges still apply as long as the client ssn, first and last name, and date of birth match on both profiles
