July student employment updates for JM support and managers
University Human Resources (UHR) has launched a new web page, Student Employment Guidance for Managers, on their website. The web page outlines eligibility for student hiring, requirements, standards, practices and tools used to assure compliance with the legal standards set forth in the student hiring process.

In addition, job management (JM) support forums will be held August 2 and 3 to provide continued guidance on hiring student employees. During the forums, attendees can expect demonstrations of updates and changes in Workday, a review of available resources and an opportunity for questions.

Two in-person sessions will be offered at Alliant Energy Lee Liu Auditorium in Howe Hall, but attendees need only to attend one. If you would like to receive an invitation to attend the sessions, please contact Dani Mitchell,

Locating your Support Roles in Workday
You can locate the Support Roles pertaining to your position – such as cost center manager (and cost center), business unit manager, HR coordinator, JM support and more – in one place in Workday.

To view your Support Roles, first navigate to your profile and select Job from the left-side menu. Look for the Support Roles tab at the top of the screen and if available, click into it. If you do not see that specific tab, click More to expand the dropdown and select Support Roles. Instructions for viewing your Support Roles are also available through the ISU Portal, in the article “Workday: View Supporting Roles.”

This regular section shares updates on the WorkCyte Phase II: Student Information and Receivables project. 

Project updates:
  • Workday and Huron will be onsite on August 10, 11, and 12 for a planning workshop focusing on three areas: dates, the system of record and worksets.  

    The dates segment will focus on the key dates during the academic periods for each of the project's functional areas. In contrast to the Workday HCM and Finance implementation, the Workday Student implementation go-live will be staggered based on the academic year. Additionally, the system of record has to be identified for each of the academic periods as the different functional areas start their first use of Workday. Finally, the workshop will focus on dividing the project work into four groupings called worksets, comprising the workset playbook for the project team to follow moving forward. 

     
  • The project leadership team has completed several project initiation strategy documents encompassing governance framework, deliverables process, the project charter, change management, conversion and integration. These documents are now in the approval process. Project governance will be shared with operational area leaders and owners in the coming week. 
     
  • The functional team continues discovery sessions, beginning the transition from current state to future state in their discovery discussions. 
     
  • The conversion team has made progress with select proof-of-concept data loads into a development environment for course subject files and are now working on programs of study and student courses.  
     
  • The integration team continues to make progress in identifying and documenting integrations with vendor systems. The team will begin an inquiry into shadow systems that may exist in the coming weeks.  
     
  • The reporting team continues work on completing the initial reporting inventory and gathering reporting requirements.
