Did you miss signing up for the assessment CDHS is participating in with DocuSign? There’s still time to join!

CDHS is participating in an assessment with DocuSign to explore possible use cases for the platform at CDHS. The assessment will focus on forms and how those are distributed/collected/managed, both internal to CDHS employees and externally facing to our clients/constituents.

This effort will help evaluate current processes that require a form to be submitted, and help in determining possible options to digitize the forms and/or streamline associated processes. The results of this assessment will also help with the CDHS evaluation in line with the requirements of HB21-1100: Electronic Filing of Government Documents.

Please submit this form to participate and register for one of the upcoming webinars kicking off this effort!

Option 1: Aug. 19, 2-2:30 p.m.
Option 2: Aug. 25, 10-10:30 a.m.

After the webinar, DocuSign will schedule follow-up meetings with each team to review their specific processes and forms.

Employee Profiles

Hello from the Division of Project Management! Every month we will be sharing tips, tricks, and resources with you to help make your everyday job duties a little easier. If you’d like to discuss any of the topics we cover in further detail, feel free to reach out!

Facilitating meetings of any size can be intimidating. Before any meeting, focus on the big picture: your meeting participants are simply humans trying to accomplish a goal. Your purpose as the facilitator is to help them do that. Now, with that mindset, take into consideration the following tips as you are facilitating:

Set the stage and expectations. Begin the meeting by reviewing the purpose and desired outcome.

Be engaged and energetic. Your engagement and energy will keep your participants attentive and focused as well as allow you to pose informed questions and keep the conversation moving.

Make space for everyone to contribute. The different perspectives people provide help the group to think creatively and innovatively and you’ll see a richness in the results.

Be direct and concise, but polite. Everyone’s time is valuable so acknowledge that and run the meeting as such.

Keep an eye on time. To nicely wrap up a meeting, politely interject when there are around 5 minutes remaining to summarize the meeting and decide upon next steps.

As with all new learning experiences in life, you’ll get better with practice. With time, you’ll learn how to read people, understand when it’s appropriate to interject, and better understand the nuances and complexities of human interaction. Start your practice off right by showing up authentically and staying focused on helping your participants achieve their goals!

Google Drive Security Update
Reminder! The Google Drive Security Update requires impacted users to update Google Drive sharing links. You will have until Aug. 26 to view the impacted file list and choose whether to keep the update on impacted files or opt-out. Taking no action will force the update on all impacted files. This will change the file's access link and can cause denial of access on files that are not individually shared with users.
  • View your impacted files here.

NEW! Google Meet Feature Coming Soon: Multiple Moderators/Hosts
Google will be releasing a new feature between Aug.16-Sept. 3 that will enable the ability for multiple hosts on Meet!
  • Assign up to 25 co-hosts per meeting, allowing them to access and utilize the host controls.
  • Use safety features to limit who can share their screen, send chat messages, mute all users and end meetings
  • Use the “Quick access” setting to easily control who needs to request permission to join a meeting.
Check out this video on how to add a co-host in Google Meet  and learn more about this new feature here.

Kudos to our Staff who are Keeping the Lights On

Shannon Mulhall, Administrative Solutions

Today alone, I have heard various people at various times refer to Shannon Mulhall as the following things: an angel, a gem, and a saint. Those descriptors couldn't be more true! She positively impacts countless teams and individuals not only by being great at her job, but also because she interacts with her colleagues with such kindness, openness, and a willingness to support the many needs of the many teams that request her help.
