2021 ANNUAL GENERAL MEETING NOTIFICATION


Dear Member,

Re -Annual General Meeting 2021.

I am writing to advise you that our 2021 Club AGM is scheduled for Sunday 31st October 2021 commencing at 1300 hours. Due to continuation of the pandemic and fluctuating numbers of Covid positive people in our area we have decided to hold this remotely again via Zoom. I will be circulating the agenda and all supporting papers in due course, similar to last year we will displayed these on the Club website as well as in the Clubhouse. The reason being is that unforecastable spikes of the virus could result in the reintroduction of restrictions and even lockdowns resulting in the Clubhouse or Club site being closed at short notice. Our website therefore guarantees our communication platform for this important event.

To ensure that the membership remains the body who approves minutes, accounts, Committee members etc we will endeavour to ask you to participate in these election/voting processes leading up to the AGM date, leaving the feedback of the outcome to the AGM itself.
This is what we intend to do.

Draft minutes of 2020 AGM. These will be placed on the website on or before the 21st September 2021, for you to scrutinise and suggest any amendments if necessary. If none are received these will be signed as true record at the AGM.

Motions raised by member. If you have a question/queries which are not covered by our normal agenda topics you should submit these by email to me (t-lamb@live.com) no later than 3rd October 2021. I will discuss these issues with the Committee and respond directly to the persons raising the points on the Committees behalf prior to the AGM date. All motions and Committee responses will be read out at the AGM so the full membership has the opportunity to be appraised of these. Please note that any items received after this date will not be placed on the agenda and will not form part of the AGMs business.

Club Rules. This year we have introduced a couple of by-laws to aid the management of the Club. We wish to alert you to these and seek your approval for continuation or adjustment as you see appropriate. Like the above item, we will circulate for you information and responses prior to the AGM date.

Annual Accounts; Audited accounts will be published on the Club Website by 17th October 2021. In the following week you may raise any questions you have on these with the Treasurer, up until the 24th October 2021. He will then respond directly to the individual raising the questions, hopefully to their satisfaction. All questions raised and the Treasurers responses will be read out at the AGM as well as the usual Treasurers report. If there is not an overwhelming challenge to the accounts during this Question period, we will assume that they are acceptable, and they will be signed off at the AGM.

AGM Agenda. This will be published by 3rd October 2021.

Committee Positions; As you will be aware all Officers and Committee Members stand down at the AGM and all nominations are then considered for election to form the next Committee.  As always, we would welcome appropriately nominated members with an interest in supporting and managing the Club to put themselves forward as candidates for all Committee posts. We welcome multiple applications for individual posts as we believe competition provides the membership with the opportunity of choice and to share these responsibilities. Your nominations should be placed on the list which will appears on the Club Website or in the Clubhouse. This can be achieved by contacting David Booth or myself. The closing date for nominations is 14 days before the date of the AGM i.e. 17th October 2021. Where there are more nominations than position(s) the membership will be asked to vote for their favoured candidate. This will be done electronically too. The closing date for these votes will be two days prior to the AGM ie 29rd October 2021. The outcome of this agenda item will be stated at the AGM.

I hope you feel able to contribute to this year’s AGM and processes to influence the future direction and management of the Club. The meeting will be taking place via Zoom and David Booth will circulate joining instructions nearer the date. These continue to be extremely difficult and unusual times and we are doing our best maintain the spirit of our rules regarding this important meeting whilst helping members stay safe and feel involved. Let’s hope that there are further positive developments on managing this virus and that we can continue to build upon what we have already achieved and we can look forward to a more inclusive and dynamic sailing season in 2022.
