HMIS News & Updates

We are excited to announce the addition of two new team members, Juanita and Sophie!

Sophie Barron is joining our team as the HMIS Training Coordinator. She holds a Bachelor's degree in Psychology and is working on obtaining a Master's degree in Social Work. She has worked in nonprofit organizations in the San Antonio area for several years and has been an HMIS User for over a year. Sophie has experience in adult education and developing training programs and she is passionate about helping those in need.

Juanita Garcia will be joining our team as the HMIS Data Quality Analyst. She recently completed her Bachelor's in Psychology and is working towards her Master's degree in Social Work as well. Juanita has excellent customer services skills and several certifications in areas such as trauma informed care, crisis intervention, and Mental Health Peer Support. She has several years of experience with HMIS in different capacities and is familiar with best practices for data entry to achieve high-quality data. 

Please join us in welcoming these two phenomenal individuals to our team, they are excited to begin working with everyone!

Data Quality Plan and Policies and Procedures Updates

The HMIS Advisory Committee and CoC Board of Directors have approved updates to the local HMIS Data Quality Plan and Policies and Procedures. An overview of the changes will be provided during the Data Standards Updates training sessions on September 22nd and 23rd. Please register for one of the sessions in the section below.

The updates are scheduled to go into effect on October 1st, 2021. The HMIS Team will provide a summary document following the overview training. Please reach out if you have any questions or concerns.

HUD Updates

HMIS Data Standards and Local Policies Update Training

HUD has announced that the updated HMIS Data Standards for FY 2022 will be implemented on October 1st.

The HMIS Team is holding virtual training sessions for all users to prepare for the upcoming Data Standards and Local Policies Updates. All users who enter data into HMIS are encouraged to attend one of the training sessions. SSVF providers should register for the SSVF-specific sessions, all other users should register for the general sessions. These sessions will cover changes to HMIS Data Standards as well as provide an overview of updates to the HMIS Data Quality Plan and HMIS Policies and Procedures.

The training sessions will be offered at the following times:

General Sessions:

  • Wednesday, September 22nd from 9:30-11:00 a.m.
  • Thursday, September 23rd from 1:30-3:00 p.m.
SSVF Sessions:
  • Wednesday, September 22nd from 1:30-3:00 p.m.
  • Thursday, September 23rd from 9:30-11:00 a.m.

HMIS Referrals

Our software vendor provided us with a solution to the address history/referral issue that some users were experiencing and the solution has been implemented. Users should no longer experience issues with the list of providers loading for newly enrolled clients. If any similar issues occur, please submit a ticket to the HMIS Team as soon as possible.

Thank you all for your patience and understanding and we worked with our software vendor to resolve this issue.
 

* Important Reminders *

Housing Move-in Dates

As a reminder, all Permanent Housing (PH) projects are required to record a housing move-in date. This includes Permanent Housing (PH), Permanent Supportive Housing (PSH), and Rapid Rehousing (RRH). Per HUD this is the date the client moved into permanent housing, essentially this is the date the client began physically living in the permanent housing unit. If a client is enrolled in a PH project without a housing move-in date, the client is considered literally homeless in all local and federal reports. It is crucial that the housing-move-in date be recorded for all clients in housing to ensure the accurate length of time homeless is recorded.

FY 2021 Q3 Quarterly Self-Audit Results

The results for our most recent rounds of Quarterly Self-Audits are in! We are happy to share that 2/3 of all participating agencies have scored perfect results in all categories. Additionally, audited projects scored an average Data Accuracy Error Rate of only 4%!

We are all so proud of our participating agencies and the excellent work they are doing to ensure the accuracy of their clients' information.

Remember...

  • Google Chrome is the recommended browser for using HMIS.
  • Make sure your pop-up blocker is set to allow pop-ups from HMIS.
  • Administrators: Please contact the HMIS Team within 24 hours of employee termination so we can deactivate their HMIS account.
  • Project Managers: Please inform the HMIS Team if projects are no longer being used so we can deactivate them.
