District Director Update November 2021 

Hello fellow Toastmasters,

How true is that quote. We are all having to endure the challenges of the pandemic and I can say that it is stressful for all of us. We will get through; when, is anyone’s guess. 

We need to look after each other along with ourselves. I suggest making calls to see how your fellow club members are keeping.

My primary concern is the well-being of our members. We as a trio are cognisant that we are ALL suffering from Zoom/Teams fatigue and would prefer to meet in person. I am sure that there would be a majority agreement with that statement while we still work towards holding Area, Division, and District contests in person. 

It has been challenging with the lockdown in the greater Auckland Region, however at the time of writing we are waiting to hear the latest status for the country as this will impact on the timing for contests. We fully understand the frustration of the situation and ask that all contestants “waiting” please do exercise patience as contests will recommence as soon as the “door” is open. 

To make the events work for us, if you are not competing and qualify as a judge or functionary, please make yourself known to your Area Director as they will be grateful to have as many volunteers available as possible.

Only hours ago the PM has allowed some freedom for Auckland and the far North which is a good sign and I sincerely hope that the situation gets better for all in New Zealand.

Last week the District had another District Executive meeting and it was excellent to see the spirit is still strong within the team.

Next month we have a lot of training ahead with the production of COT #2, this will come out in Wendy Wickliffe’s section of the newsletter. My contribution here is to challenge all clubs to send your complete executive team along to a session as this will help the club in moving forward. Historically this round of training suffers in terms of attendance. I challenge you to prove me wrong by having an amazing attendance. 

Also, this week we have our second Town Hall session and I am looking forward to the team role updates and then being able to respond to any questions asked. Join us early as the pre Town Hall gossip and catch up session is amazing. Let us celebrate the night with a large attendance, the last I heard we have good numbers registered, so I am expecting some challenging and inquiring questions.

The District Conference for next year will be in Taupo and I can visualise a turnout of delegates to match previous years’ numbers, the registration details will soon be available on the District Website. Register quickly, do not miss the occasion. 

There are many clubs who have started preparations for the Evaluation and International Contests,and I thank them for there foresight. The club winners will have plenty of time to practise their speeches and evaluation techniques before the Area and Division contests.

I reiterate, if you are not competing, have you considered being a contest judge or functionary? If this is of interest to you, then please do make yourselves known to your Area Director. You will make a friend for life by helping, trust me.

Finally, please do make a call to someone and see how they are, as it may surprise you how welcome your call has been.

Program Quality Director Update November 2021

Greetings Toastmasters, two updates from your PQD: Pathways questionnaire and the changes to Club Officer training.
 

Pathways Support – Member Questionnaire 

Thank you to Division Directors for sending the questionnaire to their Division Members.
The response from over 400 Members will be valuable to the division team to help shape the training in each division. The division teams will provide an update at the Town Hall on 12 November 2021.
 

Club Officer Training (COT) Is Changing

Why? Because you asked for it

As my DTM project, I reviewed the feedback received from COT round one to shape a proposal to improve training in our district.
 

What’s Changed?

Training is still online, but you can spread your session over several days. For this to work you must pre-register for each session. You have eight choices; to see the dates and to register, please click here.
 

How Has It Changed?

Each of the eight online trainings will run for 3 hours. Each includes two one-hour workshops and one officer breakout, also one hour long. The nominal one-hour session is 50 minutes training and ten minutes break. A Zoom waiting room will run before each, and you need to be in it at the start of the session. To meet TI training requirements, you will not be admitted during a session.
 

What Do I Need To Do?

  • Attend one club officer breakout session for each of your roles. If you have more than one role, please click here for details
  • Attend one workshop from 3 choices – you are welcome to attend as many workshops as you wish, but you mustregister for each one. Please click here for details.
 
Each session can be on a different day if you wish. This gives you the flexibility to choose the training that suits the needs of your club and yourself. You can also commit as much time as you are comfortable with, as long as you meet the minimum training.
 

How Do I Get DCP Credit?

By registering – this creates an attendance log that validates the training records.
 
You need to register for the full session, even if only attending for one hour. Attendance will be based on who is in the waiting room at the start, and who is present during the session. Please aim to arrive ten minutes early to help this process.

Quality Clubs achieve education awards – 50 mins:     15 mins Pathways Adoption Rate – Base Camp Reports, Tracking, 15 mins Education Awards – Triple Crowns, DTM, Projects 4 & 5, 10 mins Pathways Tips and Tricks, 10 mins Panel Discussion – Chat Master.
Club Officer Breakout Sessions – Facilitated, Interactive, Workbook (15 to a room if possible).  President/VP Education: DCP – education awards, Annual Business meeting, New officer installation,  Succession planning. VP Mem & VP Public Relations: DCP – membership & criteria, Online club audit, Social media, Campaigns – membership & PR, Succession planning. Sec, SaA, Treasurer: DCP – administration goals Executive meetings, Financial updates – renewals, Club property, Succession planning.
Multiple Officer Roles: If an officer has multiple roles, they may need to attend another session but only up to a maximum of two sessions.   Scenario 1 – President and two VP Education (3 clubs),     Number of Officer breakout sessions: One – as combined.  Scenario 2 – Secretary, SaA and Treasurer (3 clubs),     Number of Officer breakout sessions: One – as combined.  Scenario 3 – VP Education (3 clubs) – the same role,     Number of Officer breakout sessions: One - only.  Scenario 4 – President and Treasurer (2 clubs),     Number of Officer breakout sessions: Two – 1 as President and attend on another day Treasurer.  Scenario 5 – President, Treasurer and VP Education (3 clubs), Number of Officer breakout sessions: Two – 1 as President/VPE and one as Treasurer.  Scenario 6 – President, VP Membership and VP Relations (4 clubs), Number of Officer breakout sessions: Two – 1 as President and one as VPM & VPR.  Scenario 7 – President, SaA, VP Education, VP Membership (4 clubs), Number of Officer breakout sessions: Two – 1 as President/VPE and choice of SaA or VPM.

 

 

What’s in the Future?

Officer feedback on the first four sessions will influence COT round 2 in February 2022 (if needed).
A survey will be available at each session for officers to provide feedback so we can continually improve the delivery and content of COT.
 
Changes for Club Officer Training Round One – June to August 2022.
Training will continue online as it is convenient and involves less travelling for officers.

  2. Advanced club officer training - experienced club officers - two workshops and one officer breakout session of one hour (3 hours) – August

This represents a slip of 6 clubs from our previous Active number of 160. So, we need to salvage the Low and Ineligible clubs, as well as charter 1 new club per Division, to meet our target goal of Select Distinguished.
 
Promotions
I have received some comments from clubs that they are waiting and hoping for a District publicity campaign to help with their membership drive.  My response to that is, there are District publicity campaigns on-going, but nothing beats targeted promotion in your area. This is my preferred option. Please open your purse strings and promote your club in your local area. If club finances do not allow, then please provide a PR budget to District for approval here: https://forms.gle/6Tx165xxcepvowhs9. Further to that end, if it would be useful, then a VP-PR monthly peer group call could be arranged. Please turn up to either my next Area Director or Club Coach peer group call, to voice your preference.

Thank you to Thomas for putting his hand up this month, to take on another club. Clubs can be assigned up to 2 coaches. Teaming up is a great way for a senior member to impart skills to a junior coach, or for two coaches to bounce ideas off each other.  Why not team up with a buddy?
