Code Migration Schedule

The HMIS code migration is scheduled for Thursday, January 13th & Thursday, January 27th.  Beginning at 8:00 p.m. the system will be unavailable to allow the HMIS Team to install updates. Click here for more details

Automatic Merges

The HMIS application has an automatic merge feature that runs overnight to merge duplicate profiles with identical information. If there are multiple profiles for one client, please be sure that the date of birth, social security number, and first and last name are identical and the profiles will be merged automatically. Additionally, all fields must be complete; profiles with partially complete or missing information will not be merged. Submitting a ticket for client profile merges is no longer necessary as automatic merges are completed every Wednesday and Friday morning. If the profiles do not merge after the user has confirmed that all information is identical, submit a ticket for the HMIS Team to review.

Haven for Hope Project Updates

Haven for Hope has updated their Emergency Shelter projects in HMIS. Effective January 1st, 2022, the H4H Master ES is no longer in use. The following projects have been created to record a client's stay on the H4H campus:

  • H4H Specialty Programs ES
  • H4H Adult Case Management ES
  • H4H Family Case Management ES
  • H4H Couples Case Management ES
  • H4H Emergency Services ES
  • H4H Clinical Services Recovery Team ES
  • Thrive ES

HUD Updates

Longitudinal System Analysis (LSA)

The Longitudinal System Analysis (LSA) is an HMIS report which is used to create the Annual Homeless Assessment Report (AHAR).  The AHAR is a HUD report sent to the U.S. Congress that provides nationwide estimates of homelessness, including information about the demographic characteristics of homeless persons, service use patterns, and the capacity to house homeless persons. The report is based primarily on Homeless Management Information Systems (HMIS) data about persons who experience homelessness during a 12-month period. Read More

System Performance Measures (SPMs)

The SPM Report is a HUD mandated report which is run on the fiscal year of Oct. 1 to Sept 30 and is submitted annually. This year's FY2021 report due date to HUD is Feb 28, 2022. The report consists of seven measures which show how our community is collaborating on a system-wide level to prevent and end homelessness. Known Issues in Progress
HUD Financial Error
The HMIS Team has identified that some users are experiencing issues with HUD Financial Assessments creating invalid data quality errors. We are working with our software vendor to resolve this issue as soon as possible. If you receive this error on your DQ report and cannot correct it, please reach out to the HMIS Team so we may assist with correcting the information in HMIS. We will continue to work diligently to address this issue and will inform users once it is resolved.
* Important Reminders *

Approximate Date Homelessness Started 

We are getting a lot of inquiries about the (3.917) Prior Living Situation questions.  Prior Living Situation questions help in determining a client’s Chronic Homelessness eligibility. Additionally, these questions are included in HUD System Performance Measure reporting. Understanding how to ask your client these questions properly is a crucial part of their intake process. PIT & HIC

The PIT and HIC will occur on January 25, 2022.  For the upcoming HIC and PIT, we hope to simplify the process for your agency!

We will host a joint HIC/PIT training session with the HMIS Team on Jan 19th at 3:30pm-4:30pm.


If you operate a project with bed inventory that serves people experiencing homelessness by HUD's definition, you will be required to report on the PIT and/or HIC. Read More

Remember...

  • Google Chrome is the recommended browser for using HMIS.
  • Make sure your pop-up blocker is set to allow pop-ups from HMIS.
  • Administrators: Please contact the HMIS Team within 24 hours of employee termination so we can deactivate their HMIS account.
  • Project Managers: Please inform the HMIS Team if projects are no longer being used so we can deactivate them.
