CARL Board Update
Close-up photo of Rachel JaffeDear CARL Members,

On behalf of the CARL board, I want to wish you all a very Happy New Year! I hope you are all safe and healthy. We all know that 2021 was a challenging year for many folks and many organizations, including for CARL. Although the calendar year has changed, we have not yet held our election for 2022 officers. Despite our best efforts, it's been difficult to recruit nominees. As a reminder, here are the open positions:

Vice-President/President Elect, 3-year term
Secretary, 2-year term
Membership Director, 3-year term
Director-at-Large, Community Colleges, 2-year term
Director-at-Large, CSU, 1-year term to complete term
Director-at-Large, Private and Independent Institutions, 2-year term

You can continue to self-nominate up until Wednesday, 1/26/22. We are planning to run the election for 2022 officers the week of 1/31/22. Updates and more information will be coming soon through the CARLALL listserv. Voting in CARL elections is open to paid members. Please login to our membership system at https://carl.site-ym.com/login.aspx to verify that your dues are paid through 2022.

Due to recent executive board staffing changes, those serving on your interim 2022 pre-election leadership team are:

President: Rachel Jaffe (continuing through 2022)
Vice-President/President-Elect: Open
Secretary: Lalitha Nataraj (interim role)
Treasurer: Jennifer Silverman (continuing through 2023)
Director at Large for UC & Web Assessment Project Coordinator: Ken Lyons (continuing through 2022)
Director at Large for CSU: Open
Director at Large for Community Colleges & IG Coordinator: Shamika Simpson (interim role)
Director at Large for Private Colleges: Open
Membership Director & Awards Liaison: Jennifer Silverman (interim role)
Past-President & ACRL Delegate: Kelly Janousek (interim role)

Given the circumstances and the changing needs of our members, the CARL Executive Board has begun to have conversations around the future of CARL and how we might want to reimagine our organization.  We'd like to invite your participation in this reimagining process at an open membership meeting during the 2022 CARL Conference.

Rachel Jaffe, President and Jennifer Silverman, Treasurer, on behalf of the CARL Board

CARL Election Updates
Image of voting box with a ballotWHY HAVEN’T I VOTED FOR THE NEXT CARL BOARD MEMBERS YET?
The Nominating Committee worked and worked and worked, but was not able to get a full slate for election to the CARL board. Since the nominating process began, the Board has had three Board members resign due to job changes. Hence, the slate needs candidates for six different positions. The CARL Board has designated the Nominating Committee to reach out again to fill a slate and run the elections in January 2022.

TIME TO CONSIDER LEADERSHIP
As a longtime member of CARL, and because of the important value it has added to my career as an Academic Librarian, I am reaching out to each of you about this crossroad that CARL is at and the need for members to direct the organization forward. The nominating committee understands that we are all taking steps back from our professional organizations, but we need leaders! YES, YOU!

The value in professional development, networking within California academic libraries, and awards and grants CARL provides proves is a worthy organization to maintain!

Please consider nominating yourself or other good leaders for the following offices by January 19, 2022:
  • Vice-President/President Elect, 3-year term
  • Secretary, 2-year term
  • Membership Director, 3-year term
  • Director-at-Large, Community Colleges, 2-year term
  • Director-at-Large, CSU, 1-year term to complete term
  • Director-at-Large, Private and Independent Institutions, 2-year term
Please send nominations to Michael Yonezawa at michael.yonezawa@ucr.edu.

Best,
Kelly Janousek, CARL Past (Past) President & Chair, Nominations Committee

CARL (Virtual) Conference Call for Proposals and Registration
Image of laptop with 12 people on video conferenceDear CARL Members,

After much discussion by the planning committee and the CARL Board, we have decided to hold the CARL 2022 Conference virtually. Given the uncertainty with the current COVID variants, size of the conference hotel, and our ability to build a conference, we’ve decided the best course of action is to hold the conference virtually.

With a shift to a virtual conference, the CARL Conference Planning Team invites proposals for the following virtual sessions:
  • General Sessions: During the general sessions, presenters may either present original research or engage the audience in discussion or activities with a practical take-away to apply. These sessions will last 45-minutes and should include time for Q&A. Presentations by individuals, groups of presenters, or panelists are encouraged (and possibly formats that we may not have yet imagined?).
  • Poster Sessions: These sessions will be posters on a topic related to the conference theme.
  • Interest Group Showcase: An optional 45-minute session to present on a topic that is related to the conference, and highlight the work of the IG.
All proposals are due February 11, 2022 and will undergo peer-review and an equity check. For more information, please review the Call for Proposals on the CARL 2022 Conference website.

Registration Rates
  • Members = $40
  • Non-Members = $65
Presenters and students can register free of charge. No discounts will be given for multiple registrants from one campus.

If you have any questions, please don’t hesitate to reach out to Allie Carr at acarr@csusm.edu.

MEMBER SPOTLIGHT

Ray Pun
Headshot of Ray PunWhere do you currently work, and what is your job title/role?

Thanks for this opportunity! My name is Ray Pun and I work at the Hoover Institution Library & Archives, Stanford University, as the education and outreach manager. My role is to connect our collections with the campus community through teaching and learning engagement opportunities!

Why did you join CARL? What do you most enjoy about being a CARL member?

I remember joining CARL because I had a great and memorable conversation with the late Gayatri Singh about CARL. Gayatri Singh was an amazing colleague, mentor, and friend to many library workers. She was also a former CARL board member.

Are you working on anything special right now or in the near future you'd like to share with other CARL members?

During fall 2021, I completed two co-edited volume projects (e.g. Ethnic Studies in Academic and Research Libraries and WIkipedia and Academic Libraries: A Global Project). Excited to share with the LIS community! I'm currently serving as a Co-Project Director for "Path to Leadership" program, a national forum funded by the IMLS and supported by the Asian Pacific American Librarians Association (APALA) and the Chinese American Librarians Association (CALA). More research on this joint project to come!

What new approaches to your work have you tried recently? Have any of them been particularly successful or challenging?

Thinking of new ways to engage with students. For example, in the fall quarter, we invited an art studio undergraduate class to visit our exhibits and collections. For their final projects, they created printmaking pieces in response to our exhibits and collections. From there, we are organizing a way to showcase and preserve these impressive lithographs.

What’s something you recently read/watched/listened to that you can’t stop thinking about or is helping you process recent events? Why?

Something I am thinking about: the political erosion of voting rights in this country.

Do you have a colleague you'd like to recommend for the Member Spotlight column? Email the Editor for more information at carlnewsletter@gmail.com.

Meeting Agenda
  • Welcome - 11:05
  • Amend/Approve Agenda
  • Amend/Approve
    • September 2021 Minutes approved
    • November 2021 Special Meeting Minutes approved
  • 2022 CARL Conference (Allie Carr)
    • It is seeming likely that we will move the conference to the virtual format, particularly given spread of Omicron variant.
    • We have to consider the balance between who will present and who will attend; we do have keynotes lined up.
    • We have very few proposals; so far, there are three proposals; IGs have assured AC that they will reach out to constituents and encourage attendance.
    • Out of 48 survey responses, only 20 people indicated that they would attend a conference in person. 7 indicated they would not attend in person.
    • If only 100 people attend, CARL would eat the cost of food/room reservations. Hotel is very small; similar to Sacramento 2010. There is no outdoor space for attendees to gather.
    • AC not convinced CARL should put on an in-person conference; if we cancel by the end of the year, we will owe $27k fee. Or we could request a postponement to 2024. Registration fees could also be used to cover portion of potential cancellation fee.
    • AC encourages IGs to hold in-person networking events, preferably outdoors (which could help with generating interest in conference attendance).
    • Planning committee leaning more towards all-virtual, rather than hybrid (since latter doesn’t allow for us to meet minimum requirements for hosting in person)
    • It’s been difficult to gather volunteers for the conference.
    • RJ: Would we be considering delaying the conference to summer (similar to 2020)?
    • AC: We would prefer not to delay the conference; we run into the issue of who is on-contract at their libraries.
    • RJ: Has anyone looked into the fees for conference platforms?
    • AC: Still investigating -- there is one that has a monthly fee and another that has a flat fee. These aren’t terribly expensive platforms and range in the high hundreds of dollars. We might look into seeing if anyone has an institutional license that we can use.
    • RJ: The board voted to subsidize the registration fees--is this still a possibility if we move to a virtual format?
    • AC: We would potentially incentivize the conference presenters by waiving their fee. And we would potentially have sponsors (call hasn’t gone out yet).
    • RJ: Would the planning committee create space to discuss membership issues during the 2022 conference?
    • AC: Yes, we can create space for a membership meeting.
    • ACTION COMPLETED: CARL Board moved to shift the 2022 conference to a virtual format.
  • Membership meeting & possible strategic planning kick-off @ Conference (Rachel)
    • RJ: Who would like to assist with planning a membership meeting/town hall at the 2022 conference? This may be a good opportunity to launch a conversation around strategic planning. We need to map out future directions to make CARL more meaningful and sustainable to members.
    • MM: Recommends having a virtual town hall well before the conference.
    • RJ: It may be overtaxing the board to create an event and host in early January.
    • KH: For a virtual conference setting (for membership meeting): Cons - not everyone can pitch in; Pros - the people who are there are already more invested.
    • MM: If we are just trying to gather feedback from general membership, why wait until April.
    • RJ: Would not want the conversation to lurch towards a negative mindset.
    • KH: We would have to make sure the conference software could accommodate open/registered attendees (check with Allie).
    • LB: Perhaps the town hall could be used to recruit board members.
    • SS: We could host a meeting that shares buy-in for joining CARL. January is really too soon for a meeting, though.
  • Board Resignations (Rachel)
    • Resignations of: CSU DaL, Membership Director, Private DaL (up for election), Newsletter Co-Editor
    • RJ: Can we consider placing some of these open roles on the ballot, rather than appointing--we need to look at the bylaws.
  • 2021 CARL Election (Kelly)
    • Update on election strategy; follow-up from 11/9 meeting
    • Bylaws change: EI Coordinator
    • We recognized a need to delay the election; we are looking at sometime in February.
    • The Nominating Committee has drafted a message to members, requesting that people consider running for some of these positions.
    • Another possibility is to ask some of the Board to stay on in their roles.
    • SS: Considering running for VP/President-Elect, but unsure of how to change andidacy information on the form.
    • RJ: Possibly consider paying ACRL membership fee for those who win the election.
    • KH: We need to check bylaws to verify whether such an incentive is allowable.
    • For the time being, we will leave the membership meeting/town hall for the CARL 2022 conference.
    • ACTION: Rachel will send Nominating Committee list of associations to share call for board nominations: CLA, SCELC, ACRL, ALA Ethnic Caucuses, LiLi, California Chapter of BCALA
    • ACTION Approved: CARL Board election will be delayed to February 2022
  • Planning for 2022 (Rachel, others)
    • CARLEX orientation
    • DaL orientation
    • IG orientation
  • WASC's 2022 annual Accreditation Resource Conference (ARC 2022) (Rachel, others)
    • Time frame for in-person presentation: April 22, 11:30am - 1:00pm - available to CARL for programming
    • SS: It’s good for CARL to get out there with promotion, but what is the theme of the conference and the expectation of presenters?
    • JS and SS: Willing to present in person as representatives. SS wants to know about the topic, first.
    • Proposal guidelines: https://wascsenior.app.box.com/s/yvso6gef0sm9gtqs078iby35g367i8pt
    • ACTION: RJ will check with WASC regarding expectations of CARL presenters
  • Membership Report (Jennifer, others)
    • RJ: For those that don’t know, Jennifer has largely stepped into the Membership Director role and has been doing double duty.
    • 172 current members as of 12/2/21.
    • 34 members (new & renewals) since I sent out mass email on 11/16. Various issues with using YM (processing payment errors, wrong exp. dates).
    • ACTION: Cleanup of CARLALL listserv
  • Treasurer Report (Jennifer)
    • How/when to use new Paypal account (put Rockman Scholarship donation button on website?).
    • DD: We can add the PayPal link code to the CARL website - perhaps something to discuss with the Rockman Committee?
    • Donation link for Rockman Scholarship: https://www.paypal.com/donate/?hosted_button_id=XW8MGBYNJUBYY
    • ACTION: Lucy will check with Rockman Committee about adding PayPal link code to the CARL website
    • COMPLETED: email with donation link sent to committee chair. Posed question regarding inclusion of link on Rockman page of CARL site. Will share response (s) when received.
    • UPDATE: 3 candidates are currently under review for final selection. Paypal link shared with donor. The Committee Chair will discuss link inclusion on the Rockman site with the committee and share the outcome/ decision.
  • Mentorship Committee Update (Ethan)
    • No new information to report; things are running smoothly
  • Interest Group Coordinator (Shamika)
    • Michelle Porter would appreciate being on the Board; also figuring out how to reactivate SEAL
  • Website Assessment Project (Ken)
    • The Website Assessment Committee has concluded its charge and hereby submits its Final Report
    • ACTION: Ken and David will map out CARL website architecture and make recommendations (including membership and website).
    • ACTION Approved: CARL Board asked Website Assessment Project Committee to move forward with making changes/contacting archivist at CSUDH to assess what CARL can archive on the CARL website.
  • Awards Liaison (Lucy)
  • ACRL (Lucy)
  • Newsletter Editors (Kelli)
    • KH: Are we able to share job postings in newsletter?
    • ACTION: RJ will ask Kelly J. to submit info to KH re: postponement of the election; also reaching out to Allie Carr about promoting the conference.
    • Deadline for Newsletter content is December 15th.
  • EI Coordinator (Liz)
  • Review Action Items (Lalitha)
