Time to Recharge

We hope you’ve had a chance to read the good news from President Bacow, announcing three paid “bonus” days associated with the Memorial Day, Juneteenth, and Independence Day holidays. These include; Tuesday, May 31 (following the Memorial Day holiday); Friday, June 17 (in advance of the Juneteenth holiday); and Friday, July 1 (in advance of the Independence Day holiday).

To help people disconnect from work and relax, the Office of the Dean strongly recommends that, if possible, managers encourage staff to schedule additional vacation days around at least one of these long weekends.

Harvard Chan School Diversity Supplement Matching Initiative

The Office of Research Strategy and Development is happy to announce the launch of the Harvard Chan School Diversity Supplement Matching Initiative. This new program will support the use of NIH-funded supplements to promote diversity by connecting funded principal investigators at the Harvard Chan School to eligible candidates whose research interests align with their work. To be matched, qualified candidates and PIs are encouraged to fill out the appropriate interest form, found on the program’s website.

Diversity supplements are available for most funding mechanisms, including R, U, and D-series grants. Awarded funds in the amount of $5,000-$100,000 can be used to hire new individuals from underrepresented groups onto the research team of funded grants. In all cases, the proposed research experience must be an integral part of the ongoing research of the parent award and must contribute significantly to the research career development of the candidate. The streamlined application process has a higher rate of success with a faster turnaround than a standard NIH-application. Please note that these awards are available only to U.S. citizens or permanent residents.

More information can be found on ORSD’s website or by contacting Vanessa Barton (vbarton@hsph.harvard.edu) in the Office of Research Strategy and Development.

COVID Update: Change in Harvard's Color Testing Setup

We wanted to alert you to a small but important change to the University’s Color testing setup. Please note that the language on the Color landing page has not been updated, so it will be important to highlight this change as you help people create their accounts. This change also will not impact existing users; they’ll continue to login as before.

When setting up a Color account, the system prompts the new user to “enter the email or ID that’s associated with the program”. To date, people have entered their Harvard email. This has proven a bit tricky for the many members of our community who have multiple email addresses tied to their Harvard record. Therefore, effective March 16, all first-time users will need to enter the first eight digits of their HUID instead.

eCERT Certification Period

This is a friendly reminder that FY22 Q2 Certifications are due April 7, 2022.

Harvard Policies & Guidance

New Resource: Participant Support Costs

Participant Support Costs as defined by 2 CFR §200.1, 200.456, are direct costs for items such as stipends or subsistence allowances, travel allowances, and registration fees paid to or on behalf of participants or trainees (but not employees) in connection with conferences, or training projects (note that participant support costs do not apply to NIH training grants).

Last month, we announced the new Participant Supports Cost guidance and procedures to help you manage these expenses. Today, we would like to inform you of OSP's Participant Support Costs Informational Video.

Concur Update: New User Interface

On March 28, Harvard will be transitioning to a new Concur User Interface (NextGen UI). The new UI provides a more intuitive experience that guides users on where to go, reducing errors. The changes with the new interface will impact preparers and delegates, NOT approvers or COA approvers.

Coming Summer 2022: Ability to Consolidate Multiple eRA Commons Accounts

For those eRA Commons users who have multiple accounts in eRA Commons, NIH is pleased to announce the upcoming ability to consolidate multiple accounts. For example, a person may have an account as a Signing Official or Assistant, and another as PI (typically small business applicants).

The capability to consolidate multiple Commons accounts will be available in summer 2022 and NIH strongly recommends that users request this consolidation once it is available. They'll provide more information on the consolidation process, closer to the release date.
