Dear District 86 Voting Members,
 
As a District Officer you have received this email message as you have an important duty to ensure that your club is represented and votes at the virtual District Council Business meeting. The District Council Business meeting is a legal obligation to maintain our District status as outlined in the District Administrative By-Laws. Quorum is required for all district business.  https://www.toastmasters.org/leadership-central/governing-documents#ArticleIXDistrictCouncil230

There are two District Council Meetings a year.
 
  • The first is a Virtual District Council Meeting as required by Toastmasters.
  • The second is the Annual District Council Meeting which occurs at the Spring Conference on April 23, 2022.  Your attendance is required for each part/session of the Council Meeting.

VIRTUAL VOTING REQUIREMENTS: Virtual meeting has a different set of rules. There are no proxies – You cannot assign your vote to another person. You must register - confirm your attendance and your voting information.

Registration is now open. Eligible voters must pre-register before April 16th to receive the ZOOM meeting links and be added to the voter list.  If you have already pre-pregistered, the District thanks you. You must be present for attendance to be on the voter list before the meeting start time. **After registering for each business session, you will receive a confirmation email containing information about joining the meeting. This is your link to join the Council meeting. Save each link to your calendar.

DISTRICT OFFICERS: As a District Officer you are entitled to one vote. No proxy voting is allowed. If you are also a current President or a Vice President of Education of a club in good standing, you are entitled to an additional vote but must indicate on your confirmation of attendance and voting when registering. Please read the new club officer votes section carefully.

CLUB OFFICERS: All Clubs are assigned two votes. The current President and Vice President of Education on record of a club in good standing each have one individual vote. These officers cannot vote on behalf of each other. No proxy voting is allowed.

Register and Attend Town Hall Information & Practice Voting Sessions
Learn about your preparation requirements and practice voting in advance of the Annual Council Meeting.  Town Hall session will begin at 6:30pm.  Register before April 11th to be on the practice voter list.  Choose one of the following practice sessions:
  • April 12th, 6:30 PM – Town Hall Council meeting review and voting practice – register here
  • April 13th, 6:30 PM – Town Hall Council meeting review and voting practice – register here 

At this District Council Meeting, our District will conduct the following business, according to Protocol 7.1:
  • The District Mission is reviewed.
  • The Credentials Committee Report is presented.
  • The Audit Committee Report is presented.
  • The Profit and Loss Statement is presented.
  • The assignment of newly formed clubs to Areas and Divisions is adopted.
  • The Alignment Report is presented
  • The District Director, Program Quality Director, Club Growth Director, Immediate Past District Director, and Public Relations Manager reports on progress toward District goals.
