We've got your Shout Out! newsletter a day early! We didn't want you to miss today's deadline for Product and Rewards Orders, and we have an exciting announcement about the online portion of the Fall Product Program! Keep reading for all the details. 
Announcement: Due to customer and volunteer requests, we have extended the online portion of the 2020 Fall Product Program through Sunday, October 25 (10:59 p.m.)!

Why the extension? Girl Scouts of Greater Iowa (GSGI) has had multiple requests for late online orders to be filled and avatars to still be created. We are happy to extend the online portion of the program to accommodate these requests!

What does this mean for participants?
  • The new deadline for customer orders for girl-delivery is TODAY, October 21. An email to customers that have not yet purchased will go out through the M2 system, letting people know they can order for girl-delivery through 10:59 p.m. tonight, or they can place direct ship orders through Sunday, 10/25.
  • Customers can purchase from previous email links, as well as any new links sent to them by their favorite Girl Scout. 
  • Girls (and volunteers) can still create avatars and send emails, but no in-person orders can be added in the M2 System (after the program deadline at 10:59 p.m. tonight, October 21). 
  • Troop Product Managers (TPMs) product orders are due today, October 21, and no additional in-person orders can be placed in the M2 System after today. 
  • SUPCs and TPMs will still have access to the system until 10:59 p.m. on Sunday, October 25. However, as long as troop bank accounts and delivery locations have been entered, there will be no other actions required by volunteers after October 21.  
  • The product and reward order delivery timelines remain the same.
  • All financial deadlines (money due and auto-withdrawal) remain the same.
Note: Girls will need to make any additional reward selections that are earned during the extension in the M2 System. As TPMs, you can still help with these selections. For any reward level where a selection is not made by 10:59 p.m. on Sunday, October 25, the M2 system will default to Munch Money as the reward selection for the girl. (If a girl receives late Sunday sales and wants to change a reward choice, please contact us asap on Monday, October 26 so we can adjust!)

Product and Reward Orders in the M2 System are due TODAY, Wednesday, October 21!

 
TPMs must confirm all Product and Reward Orders in the M2 System by TODAY, Wednesday, October 21 at 10:59 p.m.

GSGI staff will be available for support from 8:00 a.m. – 9:00 p.m. at 800-342-8389 today, October 21. There will also be a live Q&A wrap-up session from 6-7 p.m. today, October 21 for anyone who would like help walking through their product and reward order submission. 

Reminder: any online sales by girls are automatically added to the M2 System for you - this includes online orders where the customer selected girl delivery!

To enter in orders for girls in the M2 System:

For Product Orders:
From the Troop Dashboard, select “Paper Order Entry” under the “Product Management” section.

On the next page you will see all of the girls listed under your troop for Fall Product. You can click on a girl’s name to enter her Nut Order Card sales.  Click save, in the bottom left-hand corner, after you have entered her sales from her Nut Order Card.

If a parent/guardian in your troop has already entered their Girl Scout’s Nut Order Card information, all you need to do is verify it is correct.

For Reward Orders:
From the Troop Dashboard, select “Rewards” under the “Rewards and Patches” section.

On the next page you will see all of the girls in your troop who have earned rewards or patches for Fall Product.  If there is a “triangle” symbol to the right of a girl’s name, that means that they still need to make a reward selection.  You can click on the girl’s name and make the selection for her. 

If a parent/guardian has already entered their Girl Scout’s reward selections, all you need to do is verify the information is correct.

Important! Your order will automatically be submitted after Sunday, October 25. Once you have completed both sections for your troop there is no need to do anything else. Your order will automatically be submitted after 10:59 p.m. on October 25.

Note: Keep Nut Order Cards until product delivery. These will be given back to each family so they can deliver orders to their customers.

Shipping Timeline

 
Do you have customers waiting on their shipping confirmations? We were notified today that some direct ship orders, especially large orders, have been taking longer than the standard 1-2 weeks before shipping. This is due to continued delays in shipping and transportation due to the COVID-19 pandemic. Customers will receive a shipping confirmation email once their order has shipped. Thank you for your patience!
 
M2 Customer Service is also available at 800-372-8520 if you need to check the status of any orders.

Fall Product Program Finances - Auto-Withdrawal Email Reminder on October 29

 
There are just a few final steps in wrapping up the Fall Program! Here are some details about the upcoming auto-withdrawal for Fall Program funds.

On October 29, TPMs will receive an email from GSGI with the total amount to be withdrawn for the Fall Program.

If necessary, Payment Adjustment Forms and Girl Shortage Forms are due by 5:00 p.m. on November 2. Any forms received after that date will not be processed in time to change the auto-withdrawal amount. Remember to submit a Product Program Permission Form with all Girl Shortage Forms!

On November 5, the auto-withdrawal will take place. This will automatically withdraw the amount due from your troop bank account (troop proceeds will remain in the account).

Please be sure your bank information is up-to-date in the M2 System! See the October 8 Shout Out if you need a refresher on how to enter this information. Have any questions? We’re happy to help! Email us at info@gsiowa.org.

For Juliettes, or girls selling individually, make sure to deposit all cash and checks, in their original form, no later than October 26 using your deposit-only card. If you would prefer to drop off money at a council shop, check out our current business hours or email info@gsiowa.org to arrange a time.

Pro-tip: If a parent/guardian still needs to turn in money for Fall Product, they can enter the order as a girl-delivered order for their Girl Scout, with them as the customer. Just make sure that you don’t “double count” and also enter the order as a Paper Order Card entry in the M2 System. If a parent/guardian has any checks to turn into you, they cannot use this method, but they can for all cash sales!

Tips for Product Pickup and Distribution

 
Next up are nut and candy deliveries for your troop! These will occur between November 6 and 11. Your Service Unit Product Chair (SUPC) will notify you when they know the date and time your product will be ready to pick up. Rewards will be delivered to the service unit by the beginning of December and will follow the same process.

If your service unit does not have an SUPC, your Volunteer Experience Manager will work with troops in your area to find a delivery location and communicate the delivery date and time once that is determined.

Picking up product and rewards for your troop:
  • Before you go to pick up the nut and candy or rewards for your troop, print your Delivery Ticket (found in M2 under Reports). This will show you what you should be picking up that day.
  • Be sure to count items TWICE before you sign a receipt.
  • If you notice anything damaged or missing, note it on your receipts and let GSGI know as soon as possible!
  • Both you and the SUPC should sign the Delivery Ticket and should each keep a copy.
Distributing items to your troop:
  • To sort items by each girl, print the Girl Order report (found in M2 under reports). Don’t allow any pickups until you have sorted them for everyone.
  • Give parents/guardians a date and time that they can pick up their items.
  • Both of you should count the items TWICE before the receipt is signed.
  • Both of you should sign the Girl Order Report and should each keep a copy.
  • Don’t forget to give girls back their Nut Order Card too!
Be sure to celebrate your troop’s hard work! Both you and the girls worked hard during the Fall Program and should feel great about your results!

Munch Money will be sent directly to each parent/guardian via email by Thanksgiving.

Note: For those troops participating in the Sioux City Mega Drop, you will receive a separate email with pick-up instructions next week!  You will still need to pick-up your rewards from your SUPC!

  • November 5: Payment for product auto-withdrawn from troop bank account
  • November 6-11 Nuts and candy delivered to each service unit, then to troops
  • By November 20: Girls should have product delivered to customers
  • End of November/Beginning of December: Rewards delivered to service units, then to troops and girls as soon as possible
