CEnet Services - Google Workspace for Education

In this edition we take a look at another of the services provided by CEnet.

In 2011, CEnet worked with a committee of personnel from within the member dioceses to review and select a new enterprise email solution. The platform selected by the committee was Gmail by Google and at the time, it was internationally recognised.

Shortly after provisioning the solution, Member dioceses started exploring the additional tools available within the Google Apps for Education collaboration platform, and over the last 10 years, we have seen the large majority of member dioceses embed learning and teaching activities using what is now known as Google Workspace for Education.

Through CEnet, each staff member and student on the network is provisioned with a Google Workspace account, and this platform is now used as an important collaboration platform across the CEnet member dioceses. CEnet also provides the capability for member dioceses to enjoy seamless access to other collaboration platforms that they own, including but not limited to Microsoft 365 for Education. This creates an environment where choice is possible for all staff, teachers and students - all via the one CEnet login.

Over the years, the use of the Google platform has grown significantly. CEnet receives a large number of questions around this service, and a common theme being privacy and security.  Below are some sample questions and answers from the Google for Education Privacy and Security Centre

Q: Does Google sell school and student data to third parties?
A: No. Google does not sell your Google Workspace data to third parties, and does not share personal information placed in Google systems with third parties, except in the few exceptional circumstances described in the Google Workspace agreement and our Privacy Policy, such as when you ask Google to share it or when we are required to do so by law.

Q: Is data residing within Google Drive secure?
A: Google is fully committed to the security and privacy of your data and protecting you and your school from attempts to compromise it. Google systems are among the industry’s most secure and the company vigorously resist any unlawful attempt to access our customers’ data.
Google’s data centres use custom hardware running a custom hardened operating system and file system. Each of these systems has been optimised for security and performance. Because Google controls the entire hardware stack, the company is able to respond quickly to any threats or weaknesses that may emerge.
Google encrypts Gmail (including attachments) and Drive data while on the move. This ensures that your messages are safe not only when they move between you and Google's servers, but also as they move between Google's data centres.

Q: Does Google own school data?
A: No. Google doesn’t assume ownership of any customer data in Google Workspace core services, and it says so in our contracts (under 'Intellectual Property').
Google provides powerful, easy-to-use management tools and dashboards to help administrators keep track of their organisation's services, usage and data. Google only keeps your personal information as long as you ask us to keep it. If an education department, school or university decides to stop using Google, the company makes it easy for them to take their data with them.
