Upcoming JM Support forums April 20 and 22
University Human Resources (UHR) will be hosting two upcoming JM Support Forums on April 20, 1:00 p.m. – 2:30 p.m. and April 22, 10:00 a.m. – 11:30 a.m. (attendees need only attend one of these sessions).
 
Delivered virtually, the forums will provide continued guidance on hiring student employees, demonstrate updates and changes in Workday, review available resources and answer questions. Attendance is encouraged for all JM support staff and managers who process student employee transactions in Workday. If you would like to receive an invitation, please email

Processing student employment renewals and other guidance
As outlined in guidance provided by University Human Resources (UHR), managers and JM support staff may begin processing renewals for students extending their employment through summer or returning for the fall semester. The latest allowable end employment date for renewals is May 31, 2022.

As an additional reminder, student employees are restricted to 20 hours per week through the end of the spring semester. The last day for work-study eligibility for students enrolled this semester is May 15, 2021. The latest allowable end employment dates for student employees (not renewed) are:
  • Graduating seniors: May 31, 2021
  • Graduating international students: May 7, 2021 
  • All other student workers: May 31, 2021

     
WorkCyte Phase II: Student Information and Receivables communication channels
As the WorkCyte Phase II initiative gets started and campus begins planning for the implementation of the Workday Student Information and Receivables software modules, here is a preview of key, anticipated communication channels:
  • WorkCyte website updates: Check out new updates to the WorkCyte website. A section of the website is now dedicated solely to WorkCyte Phase II, the Workday Student Information and Receivables implementation. You will find information on the project, project timeline, project structure, and links to information on the Workday Student functions.
  • An additional newsletter: The monthly WorkCyte Digest newsletter will continue sharing information about Workday Finance, Workday Adaptive Planning and Workday HCM. The project team anticipates an additional NEW newsletter for Iowa State faculty and staff focused on the Workday Student Information and Receivables implementation.
Communication channels may be adjusted to best reach audiences. 

The WorkCyte Phase II project activities have begun in April, which include inviting students and faculty to share their experiences with the current technologies supporting registration, course planning, advising, student financials, and recruiting and admissions. Separate invitations will be delivered to administrative staff in early May. The feedback from these sessions will be translated into discovery meetings and daily activities during the implementation.

Performance evaluation actions in Workday
As many employees and managers complete performance evaluations this time of year, related actions need to be completed in Workday.

For merit employees, the annual evaluation deadline is unique to each employee based on hire date and end of probation. This date can be viewed within the Additional Information tab of an employee’s Workday profile. Professional and scientific (P&S) employees complete annual evaluations on a fiscal year schedule, and faculty complete annual evaluations on a calendar year schedule.

Merit employees will complete all performance evaluation documentation including content in Workday, while P&S employees and faculty primarily complete the “Overall Rating” component. Regardless of job classification,
all Iowa State employees need to acknowledge their overall performance evaluation rating in Workday once the item is in their inbox.  In addition, a real-time meeting (virtual or in-person) must also take place for each performance evaluation outside of Workday processes.

Managers can run the “My Team’s Performance Reviews” report within Workday for status updates. In the coming months, University Human Resources will also consult reports on performance evaluation progress. Check out the

IT Portal celebrates 1 year
In 2019, the ServiceNow platform was implemented as part of the WorkCyte enterprise initiative, primarily used for its service management features by teams like the IT Solution Center, Finance Delivery and HR Delivery. In 2020, the ServiceNow platform also became a space for knowledge management, and in March, the IT Portal and its accompanying knowledge base celebrated one year since launch. Check out the impressive statistics below!
