New HMIS Website!

We are excited to announce the launch of our redesigned HMIS Website, which will go LIVE on Friday, May 7th! Please visit our new website to become familiar with the new layout and additional resources available to you. If you need help finding anything, please submit a ticket for assistance. 

HMIS is Hiring!

We are looking for someone to join our team as the HMIS Security and Compliance Specialist. This individual will be responsible for:

  • Monitoring all HMIS participating organizations within the San Antonio/Bexar County Continuum of Care (CoC)
  • Developing and maintaining a monitoring plan to ensure all roles and responsibilities are clearly established

Calendars In HMIS

The Calendars within HMIS have been corrected and now display properly. If you encounter a partially displayed calendar, please manually enter the date in the text box, then submit a ticket so we can resolve the issue. 

CE APR

The CE (Coordinated Entry) APR is now available in our HUD Compliance Reports. Please note that the CE APR is different than the CoC APR. If you regularly use the CoC APR, please continue to use it as normal. 

Code Migration

The HMIS code migration is tentatively scheduled for Saturday, May 8th.  Beginning at 9:00 a.m. the system will be unavailable to allow the HMIS Team to install updates. Due to the updates, expect the HMIS to be unavailable until 10:00 a.m. Our team will be working diligently to ensure the system is functioning at its optimal capacity and available as soon as possible. Once the HMIS Team has completed testing, we will send you an email to inform you that the code migration is complete.

Merging Client Profiles

HMIS has updated the process of merging client profiles to have the oldest record survive in the merge. When the minimum level of information matches, HMIS uses an automatic batch merge script to merge duplicate profiles within the database. In cases where the profiles do not meet the minimum level of matching data elements, the profiles may be requested to be merged manually by a ticket submission to the HMIS team.

All information will be combined on the 'surviving profile' (profile that exists after merge is complete) except the 'Veteran Background' and 'Demographics' page (both found in the 'Client Details' tab), only the information on the surviving profile will remain.

Providers Update

Over the course of the month, providers will be "Under construction." Users can expect to see changes in the following locations, where the 'Provider' is included:

  • HUD Universal Assessment 'Client Location' Question
  • Organization Workspace
  • Referrals
When completing the 'Client Location' question in the HUD Universal Assessment users are encouraged to select the option that best represents the physical location of the project.
HUD Updates

HMIS Data Standards Manual

HUD has announced that the updated HMIS Data Standards for FY 2020 will be implemented on October 1st.

To prepare for the changes to the Program Specific Data Elements (PSDE), we encourage you to review the Data Standards Manual once it is released. In addition, we plan to host a training in September to cover the changes. Please stay tuned for more information.

Remember...

  • Google Chrome is the recommended browser for using HMIS.
  • Make sure your pop-up blocker is set to allow pop-ups from HMIS.
  • Administrators: Please contact the HMIS Team within 24 hours of employee termination so we can deactivate their HMIS account.
  • Project Managers: Please inform the HMIS Team if projects are no longer being used so we can deactivate them.
