Community Sustainability Program – On The Road 2024

Following on from a successful 12 months of consultation, workshop delivery, various levels of support and assisting with the execution of some great projects, the Community Sustainability Program is now ready to move into its next phase.

The first phase of this program has offered assistance and upskilling to Community Groups and Sporting Clubs using quite a broad approach. This has seen opportunities presented to participants with varying levels of existing skills, age groups and volunteer participation.

Effectively this program has given our community groups an opportunity to 'dip their toes in the water; plant a seed and begin the thought-provoking process which has many of you keen and motivated to learn more and try new things in order for our Community Groups and Sporting Clubs to build great resilience and remain sustainable.

Phase 2 will see this program begin to start working more intimately with volunteers, providing more personalised assistance and mentoring to navigate through the unique issues or barriers each group are presented with.

This will include, but not limited to:
  • Group visits
  • One on one or Group mentoring
  • Brainstorming
  • Canva sessions
  • Social media sessions
  • Assistance with grant preparation
  • Assistance with fundraising
  • How to host an online meeting
  • Assistance with Strategic Planning
  • Assistance with developing good culture and developing Leaders
  • Micro-volunteering
Community Groups and Sporting Clubs are highly encouraged to reach out to myself to arrange a catch up  and chat about what projects you are pursuing, any difficulities you are currently facing, long term planning, any other areas that you need assistance with or purely just to brainstorm.

In the meantime - have a safe and happy Christmas, I look forward to working with you in the new year.

Local News:
Tailem Bend Bowling Club undertake major upgrades
The Tailem Bend Bowling Club have been busy little bee's over the last couple months in the lead up to their green replacement.

If you are a keen lawn bowler, you would be aware that the Tailem Bend Greens had reached their expiry and were in desperate need for an upgrade.

The Club have worked hard to successfully forge a plan to carry out the much needed upgrades and look forward to hosting many more years of Lawn Bowls at their facility.

Great job and well done to all involved.

Jabuk Community Hall Fundraiser
For anyone familiar with the Mallee town of Jabuk you may have come across the iconic piece of artwork that hangs proudly on the wall of the former Clubrooms - The Jabuk Tapestry.

The Jabuk Jubilee 150 Project was undertaken by the Jabuk Community from 1995 - 2003. Yes, 8 years in the making!

This beautiful piece of Tapestry was a result of creative design by Elizabeth Nicholls and each volunteer contributing time to carefully weave and create a scene of the Jabuk Township in its former glory.

This is your chance to own a piece of history on a stubby holder or postcard.
All proceeds go towards the maintenance and upkeep of the Jabuk Recreations Grounds & Facilities.

Why Manage Risk?
Every manager of a not-for-profit knows that there can be surprises for their organisation at any time, both good and bad.

A volunteer board member may suggest a new funding source or service opportunity that could help the organisation toward achieving its mission.

Equally, a staff member or volunteer may provide an inappropriate service that ends in a legal dispute, or may carelessly or accidentally do something resulting in harm to themselves or others. These events can have a serious impact on the not-for-profit organisation’s effectiveness, as well as on the physical and financial welfare of volunteers, staff or other stakeholders.

These impacts may be:
• Legal actions which deplete organisation’s finances,
• Legal actions personally against the board, senior employees or volunteers,
• Distraction of management in dealing with crisis situations, and
• Adverse publicity affecting the organisation’s reputation.

Some events have such devastating consequences for an organisation that the risk of them happening cannot be left to chance.

Many of these impacts can be avoided or dealt with systematically through a process known as Risk Management.

Is your Organisation's Public Officer up to date?
The Associations Incorporation Act 1985 (the Act) requires that an incorporated association have a public officer.

The public officer must be a natural person of or above the age of 18 years who is a resident in South Australia. It is not necessary for the public officer to be a member of the association. On the other hand he or she may have other responsibilities within the association such as being a member of the committee of management.

Quite often this role can become forgotten and not revisited at an AGM.
Did you know you can perform a free search to check who your organisations listed Public Officer is?
CLICK HERE to search your organisation.

It is a breach of the Act for an association to be without a public officer for longer than a one month period. The public officer’s name and current residential and postal address must, at all times, be registered with CBS.

If the public officer changes his or her residential address, or if the association changes its nominated public officer, CBS must be notified by application within one month (the prescribed time) of the change. No fee is payable if the application is lodged within the prescribed time, however late fees apply if the application is lodged after that time

How meetings can engage rather than enrage volunteers

With so many ineffective, inefficient, or unnecessary meetings, it’s no wonder volunteers have little patience for meetings. The irony is that, while volunteers generally don’t seek out meetings, they do seek ways to connect with and be part of an organisation that delivers great things to their community.

Yet, Organisations generally require meetings of some sort. So, the challenge is to nurture productive organisation culture through well-run meetings that engage rather than enrage volunteers.

Here are a few tips for leveraging meetings to engage and empower volunteers when you are facilitating them or equipping volunteer leaders to do so, whether meeting in person or online.

Agendas are crucial. Ensure the leader sets an agenda with a stated purpose for the meeting and shares the purpose and agenda with all participants in advance.

Honor the schedule. Set the tone for efficiency and demonstrate that you value people’s time by starting and ending on time.

Be aware of body language. If volunteers are truly engaged as partners, be sure that all members are aware of—and avoid—body language that implies that they have final authority. If meeting attendees continually look to one member for approval, that person should use phrases such as, “This isn’t my decision, it’s the groups decision,” or “You don’t need my permission, this is within your authority to decide.” If all else fails (old habits can be hard to break), the member in question should leave the room and simply request that the group report back with its decision.

Conclude with action items and next steps. Before concluding any meeting, develop and review action items or next steps and be sure to identify the responsible person and deadline for each. The names you attach to the action items are a reflection of the relationship and level of authority you are nurturing with volunteers. Ensuring meetings have actions also ensures the progression of your organisations, keeps tasks on track and instills a sense of achievement.

Be sure a meeting is necessary. Of course, if you begin developing the agenda and realize that all this information can be delivered just as effectively via email, then simply cancel the meeting. The way to ensure you engage—rather than enrage—is to respect everyone’s time and only hold meetings when there is actual business to address.

Is your organisation looking for volunteers?

Well thats a silly question isn't it!

Having identified that volunteering is on the decline and according to the ABS, volunteer numbers across the district fell from 35.5% in 2016 to 27% in 2021 correlating to a total reduction of 326 people.

With a total of 129 community groups and sporting clubs that heavily rely on volunteers, this decline is having an impact on project, program, and service delivery.

Community Groups or Sporting Clubs are encouraged to submit a 'Volunteers Needed' flyer to be included in this spot of this monthly newsletter.
