FIT College Policies:

To Read, or Not to Read, That Is the Question

So? What’s the answer?

Depends on whom you ask! For the folks in the Office of Policy and Compliance (OPC), and the FIT leadership, the answer is a resounding “YES!” That makes sense since we’re all about policy in OPC – it’s right in our department name! But how likely is it that other employees are reading our policies?
 
FIT relies on policies to establish consistency in business practices, standards of working, and expectations of behavior, as well as to safeguard the college, our employees, and our students. No wonder we get so excited about them – but why doesn’t everyone else? Hmm. Could it be things like:

  • Policies can be so long!
  • Not everyone thrives on order, structure, and guidelines. Not interesting!
  • It can be overwhelming to sort through detailed policies to answer a simple question.
  • There never seems to be any time!
  • Won’t my supervisor just tell me anything I really need to know?
  • I’ve never experienced an adverse consequence from not reading policies, so why bother now?
  • I had no idea we had formal policies in the first place. Where?!

 
Preach! We hear you. Let us explain. Here’s how being familiar with college policies helps you.

FIT policies…
 
…let you know where to turn for help.
All our policies have one or more points of contact so you know whom to ask if you have a question, concern, or conflict related to that policy. They also articulate courses of action that support our business strategies; they’re the link between our Mission and Vision and our day-to-day operations.
 
…keep management accountable.
While policies do set principles applicable to all employees, they also sometimes set clear standards specifically for FIT leadership. This helps supervisors understand the standards to which they’ll be held, but also provides transparency to the rest of our employees about what they can in turn expect from their managers.
 
…set expectations.
Firm policies and related business practices, procedures, and models of behavior give employees the tools and empowerment to embody them, and to recognize and report cases where those expectations aren’t met. And when we’re all doing that, it’s a recipe for a respectful and stable working environment.
 
…keep us safe, honest, and respectful.
When we understand our policies, workplace incidents are less likely to occur, and we’re more prepared to handle them if they do. Understanding our policies also helps us all get on the same page about our roles, keep our practices consistent and fair, and reinforce values of trust and respect with our fellow FIT colleagues.

Go to the library!
The College Policy Library contains all formally approved college policies organized in a variety of ways to help you find what you’re looking for. It’s on our FIT website, no special logins required. Bookmark the link for easy access the next time you need to reference a policy. And remember, the links are in each issue of this newsletter in the “At Your Fingertips” section.

Learn our “Dewey Decimal System”.
The College Policy Library is filled with dozens of policies. Here are some ways to locate a policy that interests you:
  • Review by Volume
All volumes are listed on the College Policy Library landing page. Volumes are designated by the areas governed by the policies within them.  For example Finance and Fiscal Management contains policies that relate to accounting,  budgeting, procurement, travel, and other financial functions. If you’re looking for policies about purchasing, travel and reimbursement, or how to report fraud, this volume is the place to go.
  • Review Alphabetically
This might be the way to go if you’re still getting familiar with the types of policies contained in each volume and aren’t sure where to start. Our Policies A-Z page lists all policies in alphabetical order. Policies are named intuitively enough to guide you in the right direction though, as you get more familiar with our policies, you’ll see some of them deliver way more bang for your buck that you’d except. For example, our Employee Code of Ethical Conduct covers everything from conflicts of interest, to bullying, to professional integrity, to good faith reporting and non-retaliation! (And, since this policy is governed by HR, it can be cross referenced in the Human Resources volume.)

Policy on Policies

In an issue on policies, it is almost impossible to pick just one to highlight! That’d be like trying to choose between Cool Ranch and Nacho Cheese. But, in the spirit of our topic, you may want to start with the Policy on Policies. It’s a great way to learn more about our policy process and about the value and ownership of college policies. And by explaining the types of policies included in each volume, it could even help you navigate the College Policy Library more easily.
