Upcoming Holiday: Veterans Day

In observance of Veterans Day, the University and NIH will be closed on Friday, November 11, 2022. Reminder: If an NIH grant application due date falls on a federal holiday, the application deadline is automatically extended to the next business day.

Extending the Thanksgiving Holiday

To allow everyone more time to truly disconnect from work and focus on family, friends, and self-care, Dean Williams has decided to extend the Thanksgiving holiday to begin on Wednesday, Nov. 23. Therefore, Harvard Chan School will be closed for Thanksgiving break from Wednesday, Nov. 23, through Friday, Nov. 25. 

2022 Winter ACE Award for Staff 

The ACE Award is the Harvard Chan School’s way of acknowledging staff (individuals or a team of 2-5) who have made extraordinary efforts in the workplace. In addition to their regular responsibilities, they accomplished something special or exemplified extraordinary commitment to the workplace and the School’s mission. The ACE award is also an opportunity to acknowledge SPH managers who led by example, and effectively developed and recognized staff, while fostering an environment of collaboration.

The deadline to submit an ACE nomination form is on Friday, November 11.  For more information, review the ACE Award overview and guidelines.

SPA Holiday Internal Proposal Deadlines

With the start of November, the holiday season will soon be upon us. SPA would like to remind grant administrators that the upcoming holidays will alter our work schedule. Plan ahead to avoid missing the SPA Internal Proposal Deadlines and the Provost’s 5-day deadline for proposals meeting Provost Criteria. Please note: These deadlines are subject to change, if Harvard extends any of the holiday breaks.

As soon as you are aware of an upcoming proposal, please create the GMAS Request shell, even if you plan to complete the full shell at a later date. The creation of the GMAS shell will allow SPA to see the volume of proposals and plan for the appropriate SRA coverage. If you have any questions or concerns, please contact your SRA as soon as possible.

New HCSRA Page: NIH Data Management & Sharing (DMS) Policy

The January 25, 2023 implementation date for the new NIH Data Management and Sharing (DMS) Policy is right around the corner. Harvard Chan School created the NIH DMS Policy HCSRA Page, which provides guidance, resources, and information relating to this new requirement. The HCSRA Data Management & Sharing (DMS) News link contains all DMS-related news items posted to the website. 

An overview of the HCSRA page will be provided at the next Admin Forum on Nov 9th. An overview of the new NIH DMS Policy will be provided at  Nov 15th Fishbowl.

Where Should My DMS Plan Be Included in My Application for Funding?

For applications being developed for due dates on/after January 25, 2023, Data Management and Sharing (DMS) Plans will be collected in a NEW field called “Other Plans” on the PHS 398 Research Plan and Career Development Award forms. See Writing a DMS Plan for the details on what to include in a Plan.

Note: Any costs to support data management and sharing should be accounted for in either the R&R Detailed Budget Form or the PHS 398 Modular Budget Form along with a brief justification of those costs. See Budgeting for DMS and the Application Instructions for details.

DMS Policy Implementation on Application Forms

  • NIH Implementation on FORMS-H: For NIH, as part of the implementation of the 2023 NIH Data Management and Sharing (DMS) Policy, a new “Other Plan(s)” attachment field has been added to the PHS 398 Research Plan Form and the PHS 398 Career Development Award Supplemental Form. Applicants must attach the required Data Management and Sharing Plan in this new field in FORMS-H applications. See NOT-OD-21-013 and NOT-OD-22-189 for more information. Note: Although the 2023 NIH DMS Policy is not applicable to fellowship and institutional training grant applications, the new attachment field was added for potential future use with other plans. Refer to the FOA and the list of NIH activity codes subject to the DMS Policy for information on whether your application must address a DMS Plan.
  • CDC Implementation: For CDC, please follow the instructions in the published notice of funding opportunity that describe the CDC Data Management Plan (DMP) format and placement in the application.
  • For AHRQ Implementation: AHRQ applicants are reminded to follow the instructions in NOT-HS-20-011: The Agency for Healthcare Research and Quality Data Management Plan Policy, not the guidance for the NIH Policy for Data Management and Sharing.

Navigating New Status Screens in eRA Commons

Several Status screens in eRA Commons moved to a new visual appearance on October 27 [see Oct. 25 eRA News (screens for signing officials) and Oct. 3 eRA News (screens for both SOs and principal investigators)]. Note that this means that there are new ways to navigate to the information you need and new methods to quickly find what you are looking for in Status. For more information, refer to the full NIH Announcement.

How to Create a Grants.gov Account and Link to a Login.gov Account

With the recent changes to the Grants.gov login process, many users may have questions about creating and linking a Grants.gov account with Login.gov. The "How to Create a Grants.gov Account and Link to a Login.gov Account" blog post aims to address the new steps required to create a Grants.gov account and link it with a Login.gov account.

General Contract Review Training

Senior Grants Manager

Description: The SGM will work closely with researchers and other members of the Finance Team to design and prepare budgets, as well as assemble highly-confidential, final grant proposals. The SGM will analyze past data in preparing projections, completing required forms for new grant proposals, and completing competitive renewals and continuations for a number of different sponsors (NIH, subcontractors, and corporations). The SGM will also be responsible for monitoring all deadlines and contacting the School’s Office of Sponsored Programs Administration to resolve any problems or issues that arise.
