Happy Holidays from Cambridge HMIS!

Note on updating a client ROI from "yes" to "no"

Have you tried to update a client's ROI when they previously had a "no" recorded by another agency? You likely encountered an error because there is no end date for the "no." In this case, please reach out to Connor and he will add the appropriate end date so you can enter a new ROI. We realize that this is a hassle for you, especially if you’re obtaining an electronic signature from your client. We have requested our software vendor to update this and will keep you posted. In the meantime, a signed paper ROI can always be uploaded after we make the change for you. Thank you.

What to do when you don't have a client's full DOB

If you are creating a new profile for a client and don't have their full date of birth, it is important to try and collect at least their age and record an "Approximate or partial DOB" with the format 1/1/YYYY for the corresponding year. If you can't obtain an age from the client, then you can use your best judgement to estimate their age and record it with the same approximate date format. Although this is not ideal, and it is never fun to guess someone's age, it allows the system to recognize the client as an adult, preventing a snowball effect of reporting and eligibility errors. For more guidance, please see the section on Date of Birth in the HUD HMIS Data Standards Manual here.

Thank you for all of your work running the HUD Data Quality report and cleaning data in preparation for the LSA report submission!

As we finalize data cleanup for the HUD Longitudinal Systems Analysis report, we would like to share a sneak peek at one of the key metrics viewable in Stella P, a data visualization module for LSA data. This shows the average number of days spent homeless in our system for adult only households. The cleaner the data are, the more reliable these insights are, so thank you for all your work in cleaning your data.
